    HR Coordinator

    Description

    • NACOSA is looking for an HR Coordinator to support the effective delivery of HR services. The successful candidate will be responsible for coordinating a range of HR activities and processes, ensuring efficient administration, accurate record keeping, compliance with organisational policies and procedures, and effective support to employees and managers throughout the employee lifecycle.The HR Coordinator will work closely with the project team and relevant internal stakeholders to support recruitment, onboarding, employee administration, HR reporting, and other people-management processes.

    The key performance areas of the role include:

    • Coordinate and support recruitment and selection processes.
    • Prepare and coordinate job advertisements, interview arrangements, candidate communication, and recruitment documentation.
    • Coordinate employee onboarding and induction processes.
    • Prepare and administer employment contracts, appointment letters, and other HR-related documentation.
    • Maintain accurate, up-to-date, and confidential employee records and personnel files.
    • Support the administration of employee changes, including contract amendments, transfers, and exits.
    • Coordinate probation and performance management administration.
    • Support leave and attendance administration and maintain accurate HR records.
    • Provide HR administrative support to employees, managers, and project stakeholders.
    • Maintain HR trackers, databases, and reporting information.
    • Prepare regular HR reports and provide accurate employee data when required.
    • Ensure HR documentation and processes comply with organisational policies, procedures, and applicable legislation.
    • Support HR compliance reviews, audits, and personnel file checks.
    • Maintain confidentiality and ensure the appropriate handling of sensitive employee information.
    • Coordinate training and employee development administration where required.
    • Support employee engagement and other people-related initiatives.
    • Manage multiple HR requests and competing priorities while ensuring accuracy and timely delivery.
    • Provide general HR coordination and administrative support to the SEF Project.
    • Uphold and exemplify NACOSA, its vision, mission, values, and objectives, etc.

    Requirements

    • A relevant qualification in Human Resources or a related field.
    • A minimum of 3 years’ experience in an HR Officer or HR Coordinator role.
    • Previous experience working within an NGO is required.
    • Strong knowledge and understanding of HR best practices, organisational policies and procedures, and applicable labour legislation.
    • Experience supporting recruitment and employee lifecycle processes, including onboarding, employee changes and exits.
    • Experience maintaining accurate and confidential employee records, personnel files and HR documentation.
    • Experience coordinating multiple HR and administrative processes while effectively managing competing priorities and deadlines.
    • Experience handling confidential and sensitive employee information with a high degree of professionalism and discretion.
    • Exceptional administrative, organisational and time-management skills, with strong attention to detail.
    • Excellent written and verbal communication skills.
    • Strong interpersonal skills and the ability to build and maintain effective relationships with employees and internal stakeholders.
    • Proficiency in Microsoft Office, particularly Excel, Word and Outlook.
    • Proficiency and experience using HR and payroll systems, such as Sage, PaySpace, Kwantu or similar systems.
    • Previous experience in the preparation and submission of Workplace Skills Plan (WSP) and Annual Training Report (ATR) submissions will be advantageous.
    • Experience using HR information systems and/or applicant tracking systems will be advantageous.
    • Experience working in a project-based environment will be advantageous.
    • A valid driver's licence, as travel may be required from time to time.
