    Human Resources Administrator

    About the job

    Responsibilities Includes:

    • Maintain good relationships with leadership, management and all relevant stakeholders to gain the buy-in and support necessary to ensure the successful implementation of TBWA’s HR initiatives
    • Provide advice and guidance to the management and employees in respect of the HR framework and ensure compliance
    • Partner with TA Practitioner to co-ordinate the on-boarding process for all new starters
    • Facilitate and monitor the probation process
    • Drive compensation, benefits and incentives (including recognition & rewards) programmes
    • Ensure completeness and accuracy of payroll documentation in line with set deadlines
    • Provide HR administrative support including maintaining employee files, changes to employment status (promotions, demotions and other related tasks)
    • Assist in any other administration as and when required for the entire HR Department
    • Drive the Employee Engagement initiatives
    • Co-ordinate the Employee Assistance Programme, including Employee Wellness initiatives
    • Contribute to the development and implementation of HR policies, procedures and processes
    • Ensure all policy and procedure information is current and available on the shared drive
    • Support managers in the implementation of HR procedures and processes, including performance and probation management, grievances & disciplinary procedures, leave management, and on-boarding (amongst others)
    • Resolve HR queries within policies, practices and legislation
    • Ensure compliance with relevant laws and policies to ensure that our processes evolve appropriately as we scale
    • Assist with the preparation of the employment equity plans/reports and its implementation
    • Provide monthly, quarterly and ad-hoc reporting to the HR Manager and senior leadership
    • Co-ordinate the delivery of training, as mandated by the HR Manager and or the L&D Manager
    • Provide overall support towards the delivery of HR Services to the business (i.e. Performance Management, Employee Relations, Talent Development, Talent Management, Compensation & Benefits, EAP, Employee Engagements initiatives, amongst others)
    • Maintain organograms updated with hires, terminations and transfers
    • Co-ordinate and administer the employee exit processes within the BU’s
    • Ensure completion of all necessary documentation on termination/transfer of employees' service (Exit Medical, Record of Service, and UIF Card)
    • Administer termination/off-boarding processes and conduct exit interviews
    • Act as a liaison between employees and the HR Manager
    • Be a trusted advisor to the business in all areas of Human Resources

    Requirements:

    • A recognised Degree or National Diploma in HR or related field
    • Minimum of 2 years’ experience in Human Resource of which 1 year should be in HR Co-ordination & Administration
    • Computer Literacy (MS Word, Excel, PowerPoint)
    • Exposure in working on HRIS Systems (SAGE)
    • Prior experience in an advertising environment, will serve as an advantage

    • Knowledge of HR systems and databases
    • In-depth knowledge of labour law and HR best practices
    • People oriented and results driven
    • Excellent active listening, negotiation and presentation skills
    • Competence to build and effectively manage inter-personal relationships at all levels in the group
    • Good analytical and problem-solving skills
    • Excellent leadership and communication skills, both written and verbal
    • Excellent report writing skills
    • Ability to work in a fast-paced environment, while meeting SLA’s
    • Good planning and organizing skills
