    Human Resources Business Partner: Faculty

    Qualifications

    • Grade 12 or Matric
    • National Diploma in Human Resources Management or relevant qualification
    • A degree in Human Resources Management will be advantageous.
    • SAGE, VIP, SAP certificate
    • Driver’s license

    • Excellent written and verbal communication
    • Multilingual with a strong command of English will be an added advantage.

    Preferred skills and experience

    • A minimum of 5 years of HR experience
    • HR experience in an independent or international school will be an added advantage.
    • Sound understanding of the HR  role and its evolution in the workplace. 
    • Sound knowledge of the South African Labour Laws
    • Sound understanding of the Migration processes of expatriate staff.
    • Previous experience in sourcing accommodation/ houses for expatriates
    • Excellent administrative skills and experience 
    • Strong mediation and negotiation skills
    • Sound emotional intelligence traverses cross-cultural diversity 
    • Experience in VIP or Sage Payroll 

    Key Performance Indicators

    • Effective recruitment and selection process
    • Smooth and efficient On-boarding process
    • Effective staff engagement through HR Policies and Processes orientation through the HR Portal
    • Smooth admin and payroll process
    • Sound exit management process. 

    Performance responsibilities:

    Recruitment and selection

    • Support faculty on the recruitment process (advertising, Interviews, and the entire onboarding process)                 
    • Ensure the coordination of the mobilization and demobilization process for expat employees.   
    • Support faculty during contract renewal and administrate letter of intent.            
    • Work with Principals to screen teaching candidates and plan and direct a program for selecting and assigning the best-qualified personnel where and when appropriate. 

    Payroll and Administration

    • Ensure proper employee filing updates.                
    • Ensure insurance coverage and awareness to all faculty members.                     
    •  Ensure payroll input is accurate, authorized, and submitted on time.  
    • Ensure that utilities are paid timeously and deducted via payroll.
    • Provide information and support during the payroll audit.   
    • Ensure opening and closure of bank accounts and deal with possible inconveniences in advance.                  
    • Receive and review qualifications against the pay scale.                  
    • Play an active role during annual salary increases for faculty.                         
    • Facilitate the car hire and car loan process and due administration.               
    •  Negotiate and coordinate house leases for overseas staff and manage landlord and tenant deposits with the legal and finance offices.
    • Obtain quotes for and payment of annual home leave airfares for overseas staff. 

    Mobilization and demobilization

    • Identify housing needs and negotiate lease costs.                            
    • Ensure proper allocation of houses (fully furnished)                          
    • Ensure agility when dealing with housing or residential challenges.                
    • Be available to receive new teachers in the houses.
    • Provide guidance to school administrative and supervisory personnel in matters relating to employee relations!
    • Engage in actively advocating, promoting, and securing the rights of all persons regarding the educational enterprise of which he/she is a part.
    • Coordinate administrative efforts, interpret ideas and decisions to staff and the public, keep management informed of pertinent division developments and events, and seek their counsel or decision as necessary.
    • Ensure organizational compliance with performance management cycles across departments.
    • Monitor and ensure compliance with school grievance and disciplinary procedures.
    • Maintain and support management with discipline in the workplace and ensure industrial relation protocols and procedures are applied consistently across the board to all categories of employees.

    Business Partnering 

    • Attend regular meetings and serve actively to improve communication, cooperation, and planning.
    • Provide information and support to management concerning HR–faculty matters.
    • Be available to Faculty staff and/or Principals for general consultation on both Campuses.
    • Ensure that Faculty staff are aware of the HR procedures and guide them during the process.
    • Ensure that all employees are covered by medical aid, life cover, funeral, etc.
    • Provide administrative support to Principals on all HR-related activities.

    Contracts and Benefits

    • Coordinate and enhance legal compliance of the faculty to the HR governance and ethical standards.
    • Supervise the transitional support for new overseas hire teachers (visa acquisition, housing, orientation, vehicles, shipping, air travel, settling in allowances, etc.)
    • Serve as liaison between employees and insurance benefit providers for medical, life, and disability insurance.
    • Select houses for new overseas staff members.
    • Assist in preparing new houses for occupation, including maintenance, cleaning, and furniture.
    • Assist in preparing new faculty housing kits, including linens, crockery, cutlery, pots, pans, etc.
    • Assume administrative responsibility for adequate property inventories under his/her jurisdiction, including overseas teacher houses. 

    Policies and Procedures

    • Coordinate activities such that HR faculty responds effectively to South African legislative changes in employee relations.
    • Coordinate the planning, development, and revision of personnel management procedures and keep the Faculty Handbooks updated.
    • Coordinate and keep the HR pages of the AISJ website updated concerning Faculty.
    • Other duties may be assigned.
