    Junior Archivist: Content Management

    Key Duties and Responsibilities

    Content retrieval and distribution 

    • Archive product to agreed standards in a Maskew Miller Learning -approved repository  
    • Serve as gatekeeper of all outgoing content to protect the business from potential litigation due to noncompliant use of content 
    • Process content requests, retrieve content from the archive and deliver the content securely in line with Maskew Miller Learning (MML) policy, agreed workflows and agreed delivery times 
    • When possible, retrieve and deliver parts of whole products and/or individual asset 
    • Assume responsibility for internal and external distribution of all products: print and digital 
    • When applicable and using common systems, apply product metadata for distribution as per MML standards 
    • Maintain accurate records of the movement of all distributed content 

    IP protection and management 

    • Monitor and report on instances in which non-compliant requests for content are overridden. 
    • Assess the completion and accuracy of incoming content requests, and communicate to the business where standards are not met 
    • Raise awareness of compliance issues with respect to re-use of content through appropriate feedback to 
    • the business in cases where content may not be released from the archive 
    • Regularly report on content retrieval to show the extent of re-use of content 
    • Business support and training 
    • Support the Content Management Lead to train and support internal people on the use of CM standards systems and tools with respect to content retrieval and product deployment 
    • Participate in the implementing and embedding of new systems and tools 
    • Work directly with vendors when the business requires content files to be remediated. 
    • Identify areas for continuous improvement and implement those improvements within the remit of the Content Management team 

    Educational Requirements

    • Bachelor's degree in Information science/Publishing/Communication 
    • Training in a media environment for print and digital output will be an asset. 

    Experience Requirements

    • Experience and/or training in a media environment for print and digital output will be an asset. 
    • Experience in a Content Management environment an asset. 
    • A high-level understanding of all business processes, control files, business rules and policies to ensure efficient metadata management. 
    • Ensuring that product data aligns to business taxonomies. 
    • Effective personal time management and organization skills. 
    • Experience working in publishing, media or digital industries advantageous 
    • Ability to manage large volumes of print and digital assets 
    • Ability to quality assure files for print and digital output 
    • Experience working with video and audio file formats 

    Skills and Competencies

    • Previous use of archives and repositories for storing print products and digital assets 
    • Ability to work with different modes of file delivery 
    • A working knowledge of metadata and its uses 
    • Excellent knowledge of general Content Management Standards and processes 
    • Knowledge of print and digital products 
    • Knowledge of digital image, audio and video file formats 
    • Fluent in both a Windows and a Mac environment 
    •  Working Knowledge of full Adobe Creative Suite 
    • Fluent in MS Office suite (or similar package), particularly Excel 
    • Excellent communication and teamwork, and presentation skills 
    • Detail oriented with an ability to maintain accurate data and metadata records 
    • Enthusiast who keeps up with developments in technology 
    • Awareness of potential risk to business with respect to copyright issues when re-using content 
    • Project management skills
