    Junior HR Administrator - Johannesburg

    Purpose:

    • The Overall purpose of the role is providing administrative support to the UK Operational, Trainee Development, Payroll, Recruitment, Benefits and Graduate Marketing HR teams based in UK.  The focus is in the delivery of HR processes (Hire to Leaver) as well as updating records on related HR systems for all employees in the UK, including Fee Earners, Trainees, Business Services and PAs.

    Key Performance Areas and Accountabilities:

    HR Administration:

    • Follow processes for key employee, vacation scheme and trainee life cycle events.
    • Carry out associated administrative tasks including the preparation of documentation in line with agreed service level agreements.
    • Focus on Graduate Recruitment references, training contract offers and pre-employment screenings to ensure good onboarding experience for future joiners.
    • Responsible for financial assistance letter production and payments, including discretionary payments.
    • End to end ownership of  core HR processes including but not limited to long service, probation, KIT day payments, spot awards, additional hours, people news, HR Induction, personal detail updates and reference processes.
    • Ownership of assigning requests to the team in line with service level agreements and managing the shared mailbox.
    • Prepare monthly HR reports for compliance requirements and customers.
    • Process and allocate costs for monthly invoices.
    • Establish own process for administering assigned tasks and ensure that these are aligned to the master tracking schedule and service level agreements.
    • Maintain and update data across all HR databases including Workday (HR system), Vero Screening and TeamSeer (holiday recording) to agreed timelines and accuracy.
    • Respond to queries from customers which include Operational HR Managers, Advisors, employees and  external requestors within agreed turnaround time.
    • Provide administrative involvement for discrete human resources projects.

    Additional roles or responsibilities:

    • Perform additional duties or responsibilities, which fall reasonably within the ambit of the job description, or in accordance with operational requirements.

    Requirements profile:

    Education:

    • Grade 12 or equivalent
    • HR Degree or equivalent tertiary qualification

    Mental & Environmental / Legal Requirements:

    • Must be able to work to deadlines
    • Must be able to handle high volumes of work
    • Must maintain high confidentiality at all times
    • Must have an understanding of the organization in order to deal with any general queries

    Experience:

    • Minimum 1 years’ HR Administration experience at Operational level – Required
    • Minimum 0 – 1 years’ experience in Shared Services at Operational level – Recommended

    System Skills:

    • Microsoft Office - Intermediate
    • HR Systems – Recommended
    • Workday – Recommended

    • Good listening, writing and verbal communication skills
    • Work independently and on own initiative within specified guidelines or processes
