    Operations Manager

    About The Position

    A leading Waste Management Company is seeking the services of a veteran Operations Manager for its Depot in Vaal.

    PURPOSE

    Duties And KPA's Herewith Include

    • To supervise and oversee operational administrative tasks and requirements in order to support the management team and ensure the smooth running of operations.
    • Manage the entire waste management operation according to the contract SLA, client scope of work and work specification, whilst adhering and in total compliance of the company's standards and policies.


    OPERATIONS

    • Ensure that all drivers are dispatched at either 6:00 or 7:00am dependant on client requirements
    • Ensure all work is preloaded in the evening to allow minimum down time and ensure efficiencies
    • Any damages or repairs are noted and immediately acted upon. Replacement fleet is then arranged to ensure no interruptions in service offering to client.
    • Forecasting with budget in mind repairs for vehicles, again ensuring no interruptions to service offering
    • Oversee with the controller that all orders received on a day to day basis are recorded on the board / booked and indicated as to when the service must be rendered.
    • Ensure we are maximizing our fleet, route and hours worked during the day. Challenge the routes currently travelled to ensure we are efficient at all times.
    • Ensure payloads are correct and maximised.
    • Trailer applications to be utilised to its maximum productivity
    • Receive regular updates from Controller on productivity for the data
    • Sign off on Weekend work schedule and staff required
    • Motivate any overtime before authorisation is given
    • Be involved with the carry over conversation and planning for the next day ensuring all carry overs receive priority.
    • Operations Support - Controller will contact all clients in event of a carry over, however, Operations Manager will require to get involved with very dissatisfied clients and would be expected to resolve the issue at hand timeously and professionally.
    • Operational challenges with off takes and landfill's to be handled and communicated clearly and quickly so as not to delay any vehicle
    • Manage Tyre company service offering and ensure within budget
    • Manager all service providers with SLA and proposed increases
    • Ensure no full bins are left in the yard - bins stored must be temporary and dispatched the next day
    • Oversee the depot and ensure we are always audit ready with housekeeping
    • Check quality of services providers and compare with market competitors
    • Be instrumental in on board meetings of new clients and ensure smooth transition for site management start up. The same thinking would apply to problematic clients, whereby as a team leader we would sit and strategies how to ensure the best outcome
    • Once monthly hold Workman's Committee meeting with the workforce to assist with any areas of concern that they may have
    • Attend the Health and Safety meeting in house and give input. Plan accordingly for implementation to oversee.
    • Discipline staff as and when required to ensure correct work performance is adhered to. ( Interwaste will provide all necessary training on our policies and procedures
    • Ensuring that a follow up is made with our customers and ensuring they are satisfied with our service. Telephonically and physically onsite visits
    • Managing and monitoring staff working hours on daily basis and making sure correct times are recorded.
    • Approving leave and making contingency plans
    • Report every incident or any change to operations to the General Manager. Every issue must be reported to the manager in order to make him aware and for advice. No matter how simple one thinks the incident is. Failure to report may lead to disciplinary action. Ensuring SheqX is utilised and a full report is filed
    • Responding to on the road spillages with quick and efficient plans, whilst ensuring all parties are kept informed and full reports are submitted after the event
    • Ensuring that vehicles are in good status and compliant at all times
    • Ensuring that drivers and assistants records are up to date, medicals, drivers licences, inductions and any other documentation required to ensure they are eligible to carry out their work. PDP checks etc.
    • Monitor and control Diesel usage ensuring it is correctly utilised and no losses.
    • Assist in the co-ordination and scheduling of driver training requirements (incl. updating of the training matrix, filing and maintenance of all training records).
    • Final signature for hours worked will be yours, before submission to HR for payment.
    • Ensure general and day to day administration tasks are completed in line with company policies and procedures
    • Assist in the collection and the administration of all vehicle documentation (incl. vehicle license, logbooks, fire permits, dip charts, meter calibration certificates, sensor certificates).
    • Assist in the monitoring of operations to ensure organizational goals are met,
    • Establish schedules and methods for providing waste management services; identify resource needs; review needs with appropriate management staff; allocate resources accordingly,
    • Recommend and assist in the implementation of goals and objectives; implement approved policies and procedures,
    • To assist in the implementation of the more technical and complex tasks of the work unit including implementing changes to improve efficiency and plant operation cost effectiveness.
    • Participate in the selection of operations staff; provide or coordinate staff training; work with employees to correct deficiencies; implement discipline procedures.
    • Participate in the preparation and administration of the operations budget; submit budget recommendations; monitor expenditures.
    • To assist in the in the preparation of analytical and statistical reports on operations and activities.
    • Attend and participate in professional group meetings; stay abreast of new trends and innovations in the field of waste management plant operations.
    • To assist in the management, data collection of, submission thereof all administration to the General Manager,
    • Ensuring all activities are inline with client requirements, e.g bin types, delivery dates, etc.
    • Encourage new Business development by meeting clients, building / enhancing relationships with clients, assisting in tenders, documentation and etc.

    logistics experience

    • Knowledge of Sasol(company) procedures
    • Experience in vehicle route scheduling
    • Waste management experience advantage
    • Experience in Industrial relations


    HEALTH AND SAFETY

    • Compliance with all health & safety requirements in line with the company's OHS policies & procedures.
    • Work within the ISO14000 framework and other required by Clients.
    • Ensure all SHEQ policies and requirements are upheld and met.
    • Ensure SHEQ site file is implemented and maintained


    PERSONNEL MANAGEMENT

    • To be responsible for all engagements, pay rate changes, exit documents and ensuring that the necessary documents are completed
    • To ensure that wage input is checked and signed off and are submitted monthly /weekly to the Depot Manager for authorization every week / month. The frequency of the submission of the wage schedules may alter at any time and this new frequency must then be followed.
    • Completing of all leave documents for Logistics staff and submit to HR timeously
    • Ensure that all staff members are adequately trained as per the SLA and OSHA requirements


    COMMUNICATION AND FEEDBACK

    • Ensure all your superiors are notified in a timely manner regarding aspects of your depots as deemed necessary by them.
    • Communicate any vehicle downtime immediately
    • Deal with personnel matters such as reporting incidents, employee complaints, requesting new employees, extension of contracts and terminations to your manager,
    • Ensure your manager is informed off all staff related matters that will affect the organisation in a dire manner immediately (e.g. IR).


    Mentorship And Skills Transference

    • Ensure all subordinates and colleagues are up-skilled and ensure transference of skills through mentorship and coaching,
    • Provide training and guidance for new employees and ensure they are assisted.
