Secretary to the Executive Mayor at Capricorn District Municipality

REQUIREMENTS:

• National Diploma in Office Administration / Secretarial / Public Administration, Computer Literacy, 2 years’ experience in secretarial or/and Office Administration.

KEY PERFORMANCE AREAS:

• Providing a key support function in the Executive Mayor’s office by assisting with administrative issues in the office; Recording and analysing of all and incoming and outgoing mail; Sending out all outgoing mail to internal and external stakeholders; Updating the diary , and acknowledging letters and invitations received; Arranging travel and accommodation for the Executive Mayor, Drivers and Members of the Mayoral Committee; Ordering of stationery and refreshments for the office; Diarizing meetings that the Executive Mayor should attend and send reminders for daily engagements; Arranging meetings with internal and external stakeholders; Provide secretarial support of Members of the Mayoral Committee; Assist Members of the Mayoral Committee with their Constituency Work e.g typing, making copies, faxing, scanning etc; Send out Bulk SMS’s to Members of the Mayoral Committee notifying them of their deployments / engagements; Maintaining proper customer services for the Office of the Executive Mayor; Maintain proper records keeping.
