    Wedding and Events Coordinator

    JOB PURPOSE: 

    To bring in events and weddings to the business. Create profitable revenue stream. Conceptualizing, planning and execution of all events and weddings.   

    MAIN RESPONSIBILITIES 

    • SALES

    • To sell and be involved in all wedding and events and group tour sales as well as children parties and adult events at Adventure Golf. 

    • Respond to and follow up all enquiries in an appropriate and timely manner

    • To proactively contact the clients throughout the enquiry process to increase the opportunity to secure event/sales opportunities.  To ensure that all client enquiries are captured accurately on Commerce 7 and that the correct tags are put in place for each enquiry. 

    • Prepare and deliver show rounds to prospective visitors and guests and sell

    • Benguela Cove to the best of its potential

    • Anticipate guests’ needs where possible to enhance the quality of service and positively promote sales to maximise revenue

    • Proactively upsell to maximise revenue across all departments of the business

    • Cold calling and visiting where required

    • Attending Networking events as required

    • Proactive sales focus, engaging with all tasks and activities related to promoting the estate and generating new leads

    • Attend sales and marketing team meetings and contribute to promotional planning meetings for all market segments

    • Hosting guests when needed ensures accommodation and other items are set up.

    • Dealing with property enquiries from visitors and documenting them on property software as required.

    ADMINISTRATION 

    • Management and databasing of event and wedding information and customers.

    • Uphold data standards and accurately enter all opportunities onto booking systems to ensure accurate reporting of opportunity and conversion.

    • Effectively manage the diary, keep estate staff informed of the expectations of the events team.

    • Ensure that all proposals made to clients are profitable and approved by management

    • To ensure that contracting and deposits for bookings are actioned in a timely fashion, as per the company standards and expectations.

    • To ensure that final details and numbers for invoicing are actioned in a timely manner

    • and as per the booking terms and conditions and company standards and expectations.

    • Report effectively on sales pipeline and business on the books for all market segments as required by the sales manager.

    • To act as the first point of contact for all event and sales enquiries

    • Checking of marketing collateral, displays etc.

    • PR and media management

    CUSTOMER EXPERIENCE 

    • To create and deliver first-class customer experiences from the point of enquiry through to the day of the event, through proposals in order to support an increase in conversion on enquiries and guest experience, wow show rounds, and continually exceeding customer expectations through regular communication throughout the booking process.

    • To create, manage, promote and host innovative show-rounds and events

    • To support in any Client show-cases organised by the property

    • To ensure great attention to detail and care is taken in the creation and communication of confirmed events to operations teams on site.

    • Attend wedding tasting meals and conduct final appointments for handover to the

    • F&B team

    • Meet and greet clients on arrival and introduce them to the operational point of contact wherever possible.

    MARKETING AND BRAND 

    • To ensure ownership and consistency in the Brand on any collateral/marketing pieces being used by Benguela Cove

    • To be a positive ambassador for Benguela Cove at all times

    • Liaise marketing function roles within the business to ensure seamless communication between the sales and marketing teams

    • Be aware of guest experience online - follow the journey

    • Perform all duties and responsibilities in a timely and efficient manner in accordance with established company policies and procedures to achieve the overall objectives of this position

    • Display a professional image of Benguela Cove by delivering the company values and demonstrating our courtesy standards at all times

    • Keeps immediate supervisor promptly and fully informed of all problems or unusual

    • matters of significance

    • To attend all training courses as and when required.

    • As the estate level of business varies considerably, there is a need for flexibility in attitude, approach and working hours.

    SKILLS & EXPERIENCE 

    • Event and sales background essential

    • Capability to demonstrate good computer literacy

    • Experience with Google Analytics, Google Ads and Facebook Ads advantageous

    • Experience with content management systems an advantage but not essential (WordPress, Squarespace etc.)

    • Excellent English both written and spoken

    • Excellent administration skills with high attention to detail and accuracy.

    • Ability to work well under pressure and maintain a professional manner

    • Excellent organizational skills

    • Strong interpersonal and communication skills

    • Team player and able to work on own initiative

    • Self-starter who is tech-savvy

    • Has ideally worked with luxury and premium brands
