    Operations Manager

    About the role

    • We are seeking an Operations Manager to oversee a cluster of buildings within our client portfolio. The ideal candidate will possess strong leadership skills, excellent organisational abilities, and a proven track record in property management operations. This role requires effective communication with tenants,mechanical, maintenance, tenant installations, preparation and management of an annual budget, inspections, management of Service Providers and Contractors, day to day activities within the Centre/Property, dealing with customers/shoppers/tenants to the Centre and Property, and overall understanding of how all these aspects fit into each other in order for a Centre/Property to be managed successfully

    What you will bring
    Inherent requirements for the position (non-negotiable)

    • Minimum Grade 12 qualification
    • Between 3 – 5 years of relevant experience in Facilities or Operations Management
    • Electrical, mechanical, or construction background, as well as technical skills
    • Experience in overseeing daily operations and coordinating team efforts.

    Additional demonstrable requirements:

    • Proficiency in computer applications including MS Office (Excel, Word, Powerpoint), as well as business systems such as SAP and MDA.
    • Awareness and implementation of quality standards.
    • Basic contract management abilities.
    • Proven experience in managing and maintaining service level agreements (SLAs) with vendors and service providers.
    • Working knowledge and understanding of lease conditions.

    What you will be doing

    In this role, you will lead efforts in budgeting and expense control, building management and administration, facilities maintenance, and tenant installations. Some of the most important tasks include the following:

    • Check registers of cleaning & security on daily basis – sign off and report in writing immediately if not complying
    • Check and sign off OB Book on a daily basis
    • Daily walk-around inspection in morning and before leaving at night
    • Daily inspection of the all the service passages – suggest a formal format – to be done by Site supervisor and signed off by Operations Manager
    • Generate purchase orders, once Approval Form has been approved
    • Keep all signed off Approval Forms – very important for auditing purposes
    • Sign off GRN once work has been completed
    • Do regular inspections to tenants storage areas to ensure that stacking levels are in order – inspection to form part of reporting in operations manager’ report for management pack
    • Manage expenses as per the approved budget – no deviations unless approved
    • Ensure that all contractors that work on site have signed in at the Security Control room
    • Generator Test
    • Sprinkler Pump Test
    • Panic Button Test
    • Fire Panel Test
    • Comprehensive list of all contractors used + emergency numbers
    • Work according to the emergency plan
    • Manage and ensure that updates of CCTV footage are done if and when a
    • Obtain 1st Aid training
    • Manage budget expenses vs. actual expenses – determine and plan items per month as per the approved budget
    • Manage proposed projects per annum as per the approved budget
    • Ensure all contractors on site adhere to OSH ACT Regulations when working in the common areas
    • Manage Tenant Installations in terms of OSH ACT Regulations even if tenant is conducting the Tenant installation
    • Arrange for Gutter inspections
    • Emergency Evacuation Simulation
    • Take on and take back inspections if and when required
    • Assist with tender information when required

    Retail Shopping Centre Manager - Moruleng

    About the role

    • We are seeking a Centre Manager to manage the building by optimizing all trading opportunities, including lease agreements, and ensuring that the portfolio’s financial performance remains sound and optimizing the building's income stream by establishing and maintaining mutually beneficial relationships with tenants, managing and controlling personnel, service contractors, repairs, revamps, tenant installations, inspections, and general building administration.
    • This position will require an all-rounded property professional.

    What you will bring
    Inherent requirements for the position (non-negotiable)

    • Minimum Grade 12 qualification
    • Between 3 – 5 years of relevant experience in the property/centre management industry
    • Must hold a valid Fidelity Fund Certificate and satisfy the requirements as set out by the
    • PPRA and current legislation for the position.
    • Proven retail shopping centre management experience, including overseeing daily operations, staff supervision, leasing management and customer service in a retail environment.

    • People Management: Training & development, Corporate culture change, living the values of the company
    • Marketing of Space & Renewals: Ensure the correctness of the vacancy, marketing plan based on vacancy list, including determining tenant mix, lease negotiations according to approval framework & mandate, draft motivation for approvals of deals, communication with brokers, sustainable income stream secured whilst taking account of the viability of tenant (trade densities) and required tenant mix, as well as profile and image of the building, retain or replace tenant in time at an optimal rate, contract administration is accurate, complete, and on time, tenants fully installed and in time as per, specifications within the agreed time frame, attract and approve targeted tenants.
    • Property Management: Prepare the management pack, in conjunction with Finance, coordinate, arrange & attend management meetings.
    • Budgeting: Income & Expense Control
    • Budgeting: Provide inputs into income & expense budgets based on knowledge of the property market in the cluster, manage income & expenses
    • Income: Monitor actual income vs. budget, evaluate outstanding rent-roll -by timeously following-up & implementing corrective measures, involvement & monitoring of legal cases, vacant space strategy in conjunction with the Regional Manager, confirm the validity of transactions for commission claims

    National Utilities Manager

    About the role

    • We are seeking a National Utility Manager to manage and improve utilities consumption within the organisation in line with agreed policy and strategy; so that environmental footprint and carbon emissions are minimised economically and sustainably. Report on variances to the client, provides support to business units on utility matters, manage the SLAs with the different service providers on behalf of the client, administer utility billings to tenants and report on utility income, report on utility expense and queries. Manage staff effectively and provide guidance in terms of utility tasks, present annual utility training to the team to ensure all parties are up to date with the latest workflow and industry standards, meet client’s standards and global standards in terms of utility management as set out in the Service Level Agreement with the client. The term utilities includes water, electricity, gas consumption, waste collection and data consumption.

    • Engineering Degree in Electrical Engineering or Mechatronic Engineering

    What you will be doing

    In this role, you will be required to:

    • Investigate variances via worksheet that includes net utility figures, accruals and notes on queries
    • Identify and isolate the problem and period involved. Provide a solution and inform landlord, and other stakeholders.
    • Various monthly meetings with service providers including utility company to conclude reporting
    • Setup meetings with asset managers monthly to report on NET UTILITY variances
    • Process includes investigating both expenses and income side of buildings in the portfolio.
    • Collaborate with Utility management service provider(s), asset and property managers; providing key financial information and relevant data to support the drive for management buy in to proposed Energy/Water/Revenue Recovery projects/initiatives.
    • Match technical information (readings, meters, tariffs per consumption) on council accounts with the sites
    • Approve council account variances after investigated and confirmed
    • Integration with finance and accounts payable department. 
    • Approve / confirm new building take on (meters charged correctly) for buildings on the portfolio in consultation with the local utilities managers/utility controllers sitting at building level.
    • Monthly accrual process calculation and management as per client’s accrual policy
    • Identify technical risk to landlord – calculate accruals in accordance to the client’s accrual policy and resolve council queries
    • Manage service providers including utility management company, gas supply companies etc. (ensure their system matches our system, provide tenant movements, double check recons, check billing)
    • Load utility billings to tenant accounts to the company's deadline. Check, identify and address issues relating to billing
    • Manage billing process in terms of debtor administrators checking pre-billing, ensure new tenant movements gets updated with utility company
    • Forecasting, Budget Planning and Maintenance
    • Input into annual formulation of budgets – both Opex and Capex.
    • Financial management and monthly reporting on expenditure and variances
    • Perform procurement duties: RFI, RFP and RFQ Process Management in collaboration with Group Procurement Department.
    • Adhoc and Special Projects
    • Manage projects in accordance with sound project management processes to achieve objectives.
    • Keep abreast with current trends so that the organization keeps up to date with environmental impact factors which determine the overall footprint.
    • Understand clearly how the carbon footprint for a typical building is calculated and how the utility streams influence this calculation.

    Technical Manager

    About the role

    • We are seeking a skilled and experienced Technical Manager to oversee the comprehensive operational infrastructure and management of our portfolio. In this pivotal role, you will be responsible for planning, directing, coordinating, and budgeting all technical activities related to the operational management of our facilities.
    • You will manage a wide range of systems and equipment, including building construction and repairs, air-conditioning systems, electrical equipment, fire safety equipment, smoke ventilation systems, evacuation equipment, fire extinguishers, domestic water pumps, electrical motors, lifts, escalators, and generators. Your responsibilities will also include maintaining and overseeing the repair and service of uninterruptible power supplies (UPS).
    • As the Technical Manager, you will either personally or through subordinate personnel, ensure the efficient and effective operation of all technical aspects of the portfolio. Your role will involve setting budgets, coordinating maintenance activities, and ensuring compliance with all relevant safety and operational standards.
    • This role requires a proactive individual with a strong technical background and excellent managerial skills to maintain the high standards of our facilities.

    What you will bring

    • Tertiary qualifications in Project Management, Construction Management, or similar technical fields.
    • Strong technical background and skills.
    • Between 5 to 7 years’ experience in Facilities Management within large-scale retail, commercial, or industrial property environments, including tenant installations.
    • Expertise in implementing and managing Service Level Agreements (SLAs).
    • Proficiency in cost budgeting and control.
    • Additional demonstrable requirements:
    • Strong administrative skills, including reporting and adherence to administration principles.
    • Excellent interpersonal and negotiation skills.
    • Effective planning, organizing, and time management abilities.
    • Own transport and a valid driver’s license.
    • Understanding of lease conditions and house rules and housekeeping principles
    • Proficient in Occupational Health and Safety (OHS) and Safety, Health, and Environment (SHE) Acts.
    • Basic knowledge of the Building Control Act (BCE).
    • Advanced technical knowledge related to facilities management.
    • Experience in contract management.

    What you will be doing

    Inspections and Reports (25%):

    • Conduct inspections and perform both minor and major repairs on air-conditioning systems, electrical MV and LV installations, transformers, and earth monitoring systems.
    • Inspect lifts, escalators, fire protection systems, BMS energy management systems, water pumps, electrical motors, and generators.
    • Maintain and service UPS systems and pressure vessels.
    • Ensure efficient operation of building equipment, maintaining smooth and cost-effective performance while adhering to budget constraints.

    People Management (5%):

    • Oversee performance management, training, and development of personnel.
    • Ensure all staff are fully competent in their duties.
    • Address and support non-performers with appropriate training and coaching.
    • Manage staff performance to avoid prolonged underperformance and address skill gaps effectively.

    Expense Control (10%):

    • Control monthly budgets and recurring expenses, providing input into annual and yearly budgets.
    • Create purchase orders, maintain the stock register, and issue work orders in coordination with the Procurement department.
    • Ensure procurement from authorized suppliers stays within budget limits and keep accurate financial records.
    • Manage building maintenance expenses to be below market rates and ensure financial compliance with technical and building services budgets.

    Building Management and Administration (60%):

    • Implement and ensure compliance with relevant Acts and regulations.
    • Manage compliance and certificates for evacuation systems, standby generators, UPS power factor correction, and lifts and escalators.
    • Record and review building information, ensuring adherence to OHS Act requirements and contractor service specifications.
    • Oversee in-house servicing and maintenance, including inspections, reporting, and logging of calls.
    • Address daily tenant queries, perform minor repairs, and investigate and resolve minor M&E problems.
    • Assist with onsite project plans, obtain quotations for small projects and tenant installations, and liaise with Service Consultants and Project Managers.
    • Ensure all contractor work complies with specifications and is signed off, maintaining a good working relationship with tenants and solving all queries efficiently.
