    Technical Services Secretary (Temporary Position) -City Hospital

    PURPOSE OF POSITION

    • To provide efficient administrative and secretarial support to the Technical Services Department, ensuring effective coordination, accurate record keeping, communication and smooth daily operations.

    KEY PERFORMANCE AREAS

    • Provide efficient administrative and secretarial support to the Maintenance Department.
    • Manage electronic diaries, appointments, meetings, agendas and meeting minutes.
    • Screen and manage incoming calls, emails and internal/external correspondence.
    • Receive, allocate, track and capture job cards, ensuring timely follow-up and resolution of queries.
    • Liaise with contractors, suppliers and service providers regarding maintenance, repairs and equipment.
    • Maintain accurate filing systems, departmental records, asset registers, stock records and equipment checklists.
    • Conduct and maintain daily stock, equipment and asset control processes.
    • Managing staff timecards, including leave, standby, and overtime, on the Kronos system.
    • Assist with procurement processes, including supplier liaison, equipment motivations, orders and invoices.
    • Manage contractor access, visitor stickers and contractor registers.
    • Prepare, type, proofread and distribute departmental correspondence, notices and reports.
    • Provide general administrative support to the Maintenance Department and assist with data capturing, scanning and record keeping.

    MINIMUM REQUIREMENTS

    • Grade 12 / Matric certificate.
    • Secretarial, Administration, Office Management or related qualification will be an advantage.
    • 2–3 years' relevant administrative/secretarial experience, preferably in a hospital, maintenance, facilities or technical environment.
    • Computer literacy, particularly Microsoft Word, Excel and Outlook.

    Admissions Clerk -City Hospital

    PURPOSE OF POSITION

    • To provide an efficient, professional and patient-focused admissions service by accurately administering patient admissions and related reception processes; assisting patients with medical-aid and private-patient requirements; and processing deposits and payments securely. The Admissions Clerk supports smooth patient flow, accurate records, effective communication and compliance with JMH policies and procedures.

    KEY PERFORMANCE AREAS

    • Welcome and assist patients, visitors, doctors and stakeholders in a professional and courteous manner.
    • Register patient admissions and ensure all information and documentation are accurate and complete.
    • Verify medical aid details and obtain required authorizations.
    • Process patient deposits, co-payments and private fees in accordance with company procedures.
    • Capture and update patient information accurately on the hospital information system.
    • Coordinate admissions, bed bookings and patient flow with relevant hospital departments.
    • Assist with billing-related administration and resolve admission-related queries.
    • Maintain confidentiality of patient information and comply with all hospital policies and procedures.
    • Provide excellent customer service while working effectively within a multidisciplinary team.
    • Support switchboard and reception functions as required.

    MINIMUM REQUIREMENTS

    • Matric / Grade 12.
    • Computer literate.
    • Must have minimum 1-2 years relevant hospital experience.
    • Experience with the Delta 9 system is required.
    • Experience with medical aids and pre-authorizations is essential.
    • Knowledge of the hospital admissions process.
    • Must be prepared to do shiftwork (Night shift / Day Shift).
    • Switchboard experience is an added advantage.

    Relief Case Manager

    PURPOSE OF POSITION

    • The Relief Case Manager provides flexible support within the Case Management Departments by covering staff absences, vacancies and periods of increased workload. The role is responsible for managing patient authorisations, monitoring length of stay, liaising with medical schemes and funders, and identifying clinical and financial risks to ensure continuity of care, operational efficiency and optimal funding outcomes. The incumbent must be adaptable, able to work across multiple hospital units and specialties, and committed to delivering high-quality case management support.

    KEY PERFORMANCE AREAS

    • Provide case management support and cover across hospital departments to ensure continuity of service.
    • Manage patient admissions, authorizations and length of stay in line with clinical and funding requirements.
    • Liaise with medical schemes, funders and healthcare professionals to obtain and maintain authorizations.
    • Monitor high-risk, high-cost and extended-stay patients, identifying potential funding risks and escalating where necessary.
    • Track patient length of stay and support timely discharge planning to optimize patient flow.
    • Ensure accurate management of patient funding, benefits verification and authorization processes.
    • Identify and mitigate financial risks related to admissions, treatment and hospitalization.
    • Collaborate with clinical, billing, debtors and hospital management teams to resolve funding and case management queries.
    • Maintain accurate records, documentation and communication relating to patient cases and authorizations.
    • Support operational priorities, workload management and service delivery within the Case Management Department.

    MINIMUM REQUIREMENTS

    • Relevant healthcare qualification, preferably in Nursing or another appropriate clinical discipline.
    • Previous hospital Case Management experience.
    • Experience working with medical schemes and funders.
    • Understanding hospital admission, authorization, length of stay and discharge processes.
    • Knowledge of medical aid rules and funding requirements.
    • Computer literacy.
    • Sound knowledge of ICD-10 and clinical coding principles.

    ADVANTAGEOUS EXPERIENCE

    • Experience across multiple hospital specialties.
    • Experience in private hospital Case Management.
    • Experience managing high-cost and complex patient cases.
    • Experience with hospital information systems and case management systems.

    Technical Assistant

    PURPOSE OF POSITION

    • To provide technical, maintenance, and administrative support by ensuring that equipment, systems, and assets are effectively maintained, monitored, and managed to support efficient departmental operations and service delivery.

    KEY PERFORMANCE AREAS

    • Conduct routine inspections of plant rooms and hospital technical infrastructure.
    • Assist with preventative and reactive maintenance, including breakdown response.
    • Monitor and support generators, UPS systems, HVAC, pumps, water systems, medical gases, lifts, and related equipment.
    • Perform basic fault finding and escalate complex technical issues where required.
    • Maintain accurate maintenance records, job cards, and service reports.
    • Assist with asset management, inventory control, and equipment tracking.
    • Coordinate and monitor contractors working on site.
    • Follow up on outstanding maintenance work and verify completed repairs.
    • Assist with minor projects, installations, and renovations.
    • Provide technical support to theatres, ICU, wards, emergency units, and other critical hospital areas.
    • Ensure compliance with hospital health, safety, infection prevention, and regulatory requirements.

    MINIMUM REQUIREMENTS

    • Grade 12 (Matric) certificate.
    • N6 Mechanical or Electrical Engineering qualification (essential).
    • Minimum 1 year of experience in a healthcare facilities environment.
    • Basic knowledge of hospital engineering systems and maintenance practices will be advantageous.
