    Company Secretarial Specialist

    Job Purpose 

    As a Company Secretarial Specialist, you will provide company secretarial services to TMF’s clients.  All company secretarial and associated tasks must be completed in an efficient, professional and timely manner, providing a high quality of service to the client. In addition, required to maintain a good working relationship with the client, answer queries and provide them with any requested documentation. 

    Duties and Responsibilities

    • Responsible for meeting company secretarial compliance requirements through accurate, complete and timely processing of annual compliance
    • Ability to provide strong board and committee support with the minute taking is essential
    • Supports Company Secretarial Assistants and Trainees, whilst maintaining overall responsibility for task accuracy and completeness, keeping the Client Account Manager or Line Manager updated as appropriate
    • Responsible for meeting the indicated deadlines for each allocated client tasks
    • Performing tasks in compliance with company policies relating to company secretarial services, ensuring requirements are followed consistently and in full
    • Perform standard defined tasks to on board new clients
    • Identify out-of-scope service and providing respective information to the Client Account Manager or Line Manager as appropriate
    • Keeps up to date with changes in local company legislation
    • Escalates any concerns to Client Account Manager or Line Manager in a timely manner
    • Uses TMF’s company secretarial software effectively
    • Maintains relevant databases, client records and other tracking tools as required
    • Provides administrative support to the company secretarial team as required
    • Attends client meetings as required
    • To undertake any other duties as reasonably expected for the role

    Skills Required

    • 2 - 3 years experience dealing company secretarial transactions and annual compliance
    • Resourceful, independent and strong problem-solving abilities
    • Able to articulate and communicate with clients in a concise and professional manner
    • Fluency in English is essential

    Senior Legal Officer

    Purpose

    • Assist with the administration relating to end-to-end dealings with clients to support SSA
    • Provide internal and external clients with administration and relevant expertise
    • Ensure internal and external clients are provided with an efficient, professional and high-quality services which meets all their obligations

    Key responsibilities

    • Under the supervision and guidance of the Manager, you will primarily be responsible for ensuring overall the effective and efficient delivery of TMF’s services:

    Client Relationship Management

    • Arrange for signature and timely return of contracts.
    • Liaise with clients to schedule meetings and resolve diary conflicts as required.
    • Telephone management and coordination of conference calls.
    • Channeling of communication to appropriate destinations (timeously).

    Service Delivery

    • Maintain record-keeping processes relating to client information.

    On quotation:

    • Load, update & track progress of all issued quotes on CRM and internal quote systems.
    • ensure adequate recordkeeping of accepted quotes (including z drive, Sales App, Evo, CRM, etc.)

    On quote acceptance:

    • update relevant database systems.
    • Prepare, maintain and update client and subcontractor lists (per ISO requirements)
    • In conjunction with the Managing Director or Project Manager, assist with the provision of input in respect of the creation of a client profile and/or file on all core systems including, but not limited to, Evo, TMF network, TimeWare, SecWare, TaxWare, CaseWare, etc., as appropriate
    • Assist with the resolution of client queries and coordinate the related communication on a timely basis.
    • Ensure that all tasks required to effectively onboard a client or subcontractor within required timelines are completed efficiently, professionally, and timeously
    • Act as a point of escalation for clients, subcontractors, and within TMF
    • Hold the service line teams to account ensuring administrative activities are completed as planned and in line with applicable timelines

    Legal, Risk, and Compliance

    • In conjunction with the Managing Director or Project Manager, prepare the Local Service Agreement (“LSA”), Statement of Work (“SoW”), amendments, subcontractor agreements, and secure client and/or subcontractor sign-off.
    • In conjunction with the Managing Director or Project Manager, complete the TMF Group compliance process (KYC) and secure client, subcontractor, or internal sign-off.
    • Maintain legal email inbox on a daily basis.
    • Upload updated draft legal agreements on the z drive.
    • Update the BCP and ISO business processes and procedures as they relate to the business unit.
    • Implement and maintain record-keeping processes relating to legal documentation and client/ subcontractor information.
    • Adhere to TMF internal procedures and ensure compliance with TMF’s Risk and Control framework and processes.
    • Attend and participate in regular and appropriate training on relevant policies, legislation, and regulations affecting TMF, clients and subcontractors.

    General

    • Provide exceptional customer service whilst being empathetic with customers
    • Identify, map and manage business unit-related projects
    • Be an escalation point for operational matters within the business unit
    • Execute on agreed deliverables and/or ensure that all deliverables are delivered timeously and according to agreed quality standards

    Integration Consultant (Workday) - Senior Specialist

    Job purpose

    TMF Group is committed to offering a world class service with a focus on specific client needs in conjunction with our local office network capabilities to deliver an optimal global solution. A key part of TMF’s Global Delivery team focus is to develop and deliver fit-for-purpose integration solutions for multi jurisdictional clients, taking into account the local country-specific requirements, to enhance the TMF Global HRP offering to both prospective clients and for existing client HR System migrations and keeping client engagement at the forefront of HRP solutions.

    This position requires a HR & Payroll professional experienced in Systems Integration to play a significant role in supporting our HRP Global Practice and Global Solutions team in offering and delivering a wide range of options to meet the ever-changing requirements in the global HCM technology landscape

    Key responsibilities

    • Provide professional support and input into delivering TMF's Integration Service offering to prospective local and regional clients and guidance into the best fit to meet a client's specific requirements in collaboration with Global Solutions and Onboarding teams
    • Support the roll-out of TMF's Workday certified integrations to new clients including new features and functionality
    • Support the development and delivery of TMF Integration Service for clients utilizing other HCM solutions 
    • Supports complex client technology transformation projects including leading the business requirement gathering and ownership of blueprinting phase
    • Undertake periodic reviews of solution optimization, document process improvements and work with IT Services to roadmap the improvements
    • Ensure integrations are maintained to manage ongoing country deviations/Workday funtionality enhancements
    • Work with local offices and TMF IT development to build mappings documents to support transformation of client integration files for processing by TMF Local Offices
    • Become technical SME on all global TMF integration solutions
    • Track, escalate and support the resolution of any solution or integration risks and issues as necessary in conjunction with TMF and/or Client Project Manager(s)
    • Support Global Solutions Team in pre-sales activities where required including presentations on technical solutions to both new and existing clients

    Key Requirements

    • At least three years of experience working in the HR & Payroll sector
    • At least three years of experience working on integrations with HCM and ERP systems (Previous experience with Workday HCM including integration methodology is desired)
    • Experience and understanding of commercial contracts and SOW's and delivering global transformation projects in line with the obligations therein
    • Presentation skills and background in working with functional and technical stakeholders
    • Spanish or Portuguese native speaker would be ideal

    Head of Accounting & Tax Sales

    Job Purpose

    The Head of A&T Sales is responsible for driving sales growth within the A&T space, globally. Leading by example, the position holder will be the effective visible face and the ambassador for A&T related sales opportunities, offering guidance and contributing with his/her acumen and sound commercial experience to the success of the wider leadership team (including Regional/Market Heads and Team Leaders). 

    This is a proactive role, actively responsible for key activities that will include driving strategic A&T discussions and help spar cases with the sellers in the region, deal coaching and supervision of the top in-flight deals and helping to set win strategies for each and supporting the sales force in complex, RFPs and client facing meetings if needed be.   

    The Head of A&T Sales will also own a personal sales target as well as the agreed overall ‘roll-up’ sales target for A&T overall, as outlined in the latest Sales Incentive Arrangements of the 2023 Plan.  The A&T Lead will also encourage the regional teams’ adherence to the formal governance, sales and commercial processes, including BFF and the effective use of CRM for all deals. 

    Key Responsibilities

    • Soundly contributes to accelerates growth by building new A&T business pipeline
    • Owning the overall number for ACV (Annual Contract Value) for his/her respective vertical engaging with the business i.e. Market Heads, HBDs, Team Leads etc
    • Represent TMF in the marketplace, contributing to its competitive position by developing and maintaining a network of client/intermediary relationships that will enable a strong, consistent pipeline for conversion into sales.
    • Utilise effective relationships to maximize opportunities for cross referrals.
    • Facilitate open discussions and foster better synergies with key stakeholders such as Practice Heads and other SMEs and local teams with the ultimate goal of bringing in new business that adds long term value to the organization.
    • Help remove roadblocks quickly and effectively leverage input from other internal teams to maximize overall deal value to the business.
    • Support GTM constructive discussions with internal teams with the aim of improving TMF´s value proposition based on client feedback on pricing, service and quality improvements.
    • In tight collaboration with Marketing and the Commercial Excellence and Transformation team, contribute to any A&T specific activities/meetings that can add value to the company
    • In alignment with other A&T Lead peers in other regions, this position holder could (as an example) organize recurring drop-in sessions to spar A&T cases to help contribute to TMF´s monthly, quarterly, and annual ACV targets, aligned with the company’s objectives
    • Identify and recommend training needs for the sales force.
    • When and where required, contribute to part of A&T-specific sales recruitment proces

    Commercial Excellence Product Manager

    Job purpose

    • This role is focusing on product management for the commercial transformation projects portfolio, by understanding sales and marketing business needs and working with the product development team in solutioning and prioritizing towards those business needs, participating in project plan development, prioritizing user stories, identifying and managing risks, identifying dependencies and contributing to engage with the different teams across the organization to deliver each project result.
    • The role will partner with the Commercial Excellence Director & D365 CRM Product Owner and the Commercial Transformation Director in commercial initiatives from design to implementation, including sales processes and best practices.
    • Partnering with relevant stakeholders interlocking with the sales function and supported by members of the relevant teams, this will be an established thought leader, identifying and developing process related improvements that are in line with the company’s mission and goals.
    • The role holder will also contribute to the new D365 CRM implementation, landing the existing project into BAU with back office operational efficiency and process managing as an effective liaison with other departments binding with GST.

    Responsibilities

    • Develop user stories (because of understanding commercial business needs), participate in stand ups to ensure alignment with product development team and participate in project plan development for each transformation initiative, considering business priorities, development, testing capacity and dependencies and identifying key resources across the organization to be involve in, that results in a Product development planning that match with business priorities.  
    • Managing sprint´s plan to identify critical path, manage and mitigate risks and ensure deliveries are on track.
    • Managing the Product user’s readiness and communication strategy.
    • Oversees and helps successfully implement improvement projects within the Marketing and Sales Discipline ranging from: Campaign Management, Lead generation, Prospect research and analysis among other enablement initiatives, Opportunity, Pipeline and Forecasting management, Account & Relationship Planning.
    • In coordination and hand in hand partnership with the Sales Operations team members, provides commercial teams with data insights and sales intelligence and information to help improve processes, simplifying and making the sales experience and journey more effective within TMF for internal commercial resources
    • Effectively partnering with Marketing, Service Line leaders and Regional Heads of Business development contributes to the planning execution of Go to market strategies and workshops including customer segmentation (existing and new logos), whitespace identification, coverage & accountability model.
    • Contribute to Develop and Controls the CRM solution development roadmap and works with the technical team and BA to drive ambiguity out and set clear paths for config tasks and backlog. QA alongside the Business Analyst and solution architect of the stories, tasks set up for configuration and associated test / acceptance criteria. Maintains “flow” so that there is always a full, approved set of stories set up in a quality way for a given sprint. Is part of the acceptance / test process and acts as the “receiver” in terms of user acceptance testing. Ultimate caller on feature releasing, definition owner.

    Qualifications

    • Academic background with 5+ year's relevant experience. MBA or similar graduate degree preferred
    • Experience with Microsoft Dynamics 365, CRM and Power BI and ability to liaise with technical teams effectively (Marketing and Sales)
    • Experience in a similar position as part of the Management Team
    • Experience in programme and change management
    • Experience with the conception and implementation of new business processes
    • Result-driven, have a hands-on mentality and is proactive, working carefully and accurately.
    • Very strong analytical skills, proficient in the use and set up of planning, resource allocation, productivity and other excel based reporting tools.

    Transformation Program Manager Sales

    Job purpose

    • The role of Transformation Program Manager is to be a senior advisor and delivery leader supporting the Sales & Marketing organization. 
    • Reporting to the Global Head of Applications, the Transformation Program Manager for Sales & Marketing needs to work closely with the wider Sales & Marketing key business stakeholders to define and translate the business vision into a tangible set of deliverables underpinned by relevant technologies.
    • The Transformation Program Manager should possess a deep understanding of our clients, our sales business model, and how these need to be embedded into a suite of technology products to enable market differentiation and sales insights for growth.
    • They should be an experienced senior professional, capable of complex stakeholder management and ensuring the right level of governance to align strategic goals. They should also have the ability to control, govern and implement an effective operating model to ensure multiple teams can collaboratively deliver solutions aligning to collective goals.

    Key outcomes:

    • Define an application portfolio roadmap which outlines deliverables across each of the key areas of Sales/Marketing, enabling an effective governance model in line with cross and inter dependent risks and issues.

    Experience & Qualifications

    • Minimum 10+ year experience in Program and Portfolio Management, with a focus on transformation and change management not only of technology deliverables but driving business change.
    • Degree level preferred
    • Aptitude for understanding and articulating business problems and analyzing to find a path to resolution
    • Strong product knowledge in line with sales platforms (Microsoft CRM and associated modules an advantage)
    • Proficiency with development methodologies and experience working with distributed global teams and vendors
