• Prepare Issuer Sponsored Nominee (ISN) letters for shareholders in our CSDP.

Some of your key responsibilities will include: 

• Ensure that SENS is received and SWIFT message within 2 hours of release is received from Strate. Check SENS and swift and read circular if available (ensure that the draft and final are read as it could have changed and all important pertinent information is communicated on Spec)
• Ensure that all spec/ISIN/election FOE and statements is prepared, authorised and sent timeously to the various stakeholders for processing – within 48 hours of swift is received
• Ensure that all fee estimations and file is ready for first sign off with all the relevant dividers therein. Reduce the number of documents returned due to incompleteness or errors
• Perusing draft circulars and giving input and understanding the corporate event. Final circular in file and on W drive (Word and PDF formats)
• Printing numbers is obtained and communication with the printer and requests are sent timeously - 5 days before posting of circular. Reduce the number of documents returned due to incompleteness or errors
• Ensure that all consent letters is ready for first sign off with all the relevant dividers therein. Reduce the number of documents returned due to incompleteness or errors
• Processing of all elections received and execution of the events from start to finish of the project/event

What will you bring to the role?                 

• Grade 12 certificate or equivalent 
• Corporate Actions knowledge and experience
• Knowledge of Registry Systems
• Degree will be an advantage
• Strate examination certificate
• Knowledge of Strate, JSE listing requirements, Companies Act and the FMA in respect of corporate events

What key accountabilities you will have in the role? 

• Check the register figures and the issued capital
• Assess the quality of a wide range of customer enquiries/updates, ensuring Customer Service Representatives (CSRs) provide exceptional levels of service, up to date information and deliver first point resolutions
• Maintain a comprehensive working knowledge of processes and systems across all product lines
• Evaluate and record the quality and performance during each call, summarising findings; providing coaching, advice and guidance based on audit finding (Voice only)
• Evaluate and assess correspondence/transactions providing coaching via live coaching and/or Workflow coaching (Corres/TSG)
• Utilise findings constructively to provide support and subject matter expertise to update processes, procedures, providing feedback to our Technical Learning & Development teams where applicable.
• Develop job aids and other tools to assist CSRs in improving overall quality of interactions
• Support/motivate staff to achieve demonstrably improved results, providing intervention where necessary
• Work within Data Protection guidelines to ensure customer data is protected
• Act on ad-hoc requests from Quality Manager/relevant Contact Centre Manager to ensure quality standards are met
• Working in conjunction with Team Leaders to support improvement/development plans and provide quality performance updates

What skills and experience will you bring to the role?   

• Grade 12
• 1 - 3 years QA experience in a Contact Centre environment (Preferred)
• Relevant qualifications in relation to coaching/QA
• Any courses completed on internal LMS with regards to coaching/QA
• Diploma/Degree in Business or equivalent (Advantageous)
