    Triton Express: Customer Service

    RESPONSIBILITIES:

    Delivering customer support services by:

    • Conducting daily customer service level surveys by making daily telephonic contact, questioning and recording responses
    • Ensuring that collection requests are logged correctly on the collection/approval site 
    • Preparing freight quotations by requesting and processing freightware data (A/c no, area senders & receivers), service levels, quotations, dimensions, weights), faxing printed quotation(s) to customers
    • Investigating and resolving queries / problems through waybill and discrepancy report. 
    • Analysing, verifying, and determining status, communicating such findings to customers
    • Maintaining / supplying customer stationery
    • Administering discrepancy manifest in terms of collating all discrepancy reports to master records (Excel)
    • Advising customers and communicating with branches regarding misroutes
    • Checking scanning details; updating master record information, recording bay schedules in master report; reviewing endorsed waybills via claims and administering claims procedure
    • Monitoring third party agent POD’s by printing outstanding POD report (per day) verifying status, marking dispatch trip sheets, resolving queries and faxing copy waybill/s to customer

    REQUIREMENTS:

    • Grade 12 (Matric) – Minimum
    • Studying towards certificate in customer care / call center management would be beneficial
    • 2 years general clerical experience
    • 3 years working experience within call center environment
    • Basic understanding of Freightware or similar freight management system
    • Excellent geographical location skills would be beneficial
    • Ability to work with both mass and volumetric weightings
    • Excellent verbal and written communication skills
    • Computer literate – specific software applications: MS Word, Excel, MS Outlook
    • Commercial arithmetic calculations
    • Ability to operate general office equipment
    • Excellent interpersonal skills

    Triton Express: Operations Supervisor Night-Shift

    RESPONSIBILITIES:

    • Capturing of fuel/bowser and EDC Fills onto monthly recon
    • Processing of fuel orders
    • Supervising fuel fills at depot bowser 

    Inbound Freight:

    • Monitoring effective off-loading of line-hauls
    • Printing incoming manifests, separating and splitting to vehicle manifests, opening seal
    • Signing delivery notes, creating scan numbers for off-loading
    • Advising warehouse staff of off-loading instructions
    • Sorting waybills into delivery routes 
    • Monitoring line-haul consignment off-loading and sorting

    • Ensuring information systems are functioning and all required data is captured and entered
    • Handling client queries

    • Monitoring and ensuring maintenance of warehouse equipment
    • Selecting, orientating and training new warehouse staff

    REQUIREMENTS:

    • Grade 12 minimum (Matric)
    • Diploma in Road Transportation or Freight Management not a prerequisite but would be an advantage
    • Industry specific experience is not a prerequisite, but a strong successful background in Operations is required
    • Computer literate – good understanding of Freightware or similar management system.
    • A valid driver’s license (code 08)

    Triton Express: Volume Checker

    RESPONSIBILITIES:

    Weight & Dimension checks by

    • Ensuring daily weight and dimension checks are done in accordance with company policy
    • Advising Supervisor or Assistant Operations Manager on all variances
    • Daily feedback to Supervisor or Assistant Operations Manager with regards to customers under declaring weight and dimensions
    • Ensuring that all measuring equipment (Scales & SWAD) machine are in 100% working order

    Data Capturing by

    • Ensuring that updated weight and dimensions are captured onto freightware
    • Ensuring that waybill information is captured correctly with respect to weight and dimensions

    REQUIREMENTS:

    • Grade 12 ( Matric ) minimum
    • Basic understanding of cargo handling
    • Basic understanding of Freightware or similar freight management system
    • Operation of general office equipment
    • Ability to work under pressure

    Triton Express: Receiving and Dispatch Controller

    RESPONSIBILITIES:

    Process Data Capturing by: 

    • Capturing waybills and POD data
    • Issuing agent waybill numbers, printing manifests and obtaining signatures

    COD’S, Preparing quotes and collection by:

    • Entering client waybill and delivery requirement details as dictated by Freightware
    • Providing client quotations
    • Contacting clients viz parcel collections, verifying waybill no. via system, collect / delivery, cash payments and releasing goods

    Supervising Pre-delivery Loading Procedures by:

    • Collecting and sorting of waybills according to route requirements
    • Checking cargo in terms of damages, shortages, type and verifying waybills against cargo stickers
    • Creating scanning numbers for delivery and collection lists
    • Scanning parcels into trucks for delivery
    • Supervising of cargo loading, handling of safety compliances
    • Liaising with clients as is required / indicated

    Monitoring Delivery and Collection Procedures by:

    • Conducting bay checks, investigating no deliveries, completing daily bay schedules and submissions
    • Monitoring daily / ad-hoc collections and providing collection instructions (by radio)
    • Responding to delivery / collection clears and resolving queries / problems as indicated
    • Liaising with clients regarding delivery and collection information, data and instructions

    Supervising Inbound Freight Received Services by:

    • Processing agents’ freight by verifying quantities, destinations, parcel conditions, and affixing destination stickers
    • Supervising sortation and loading in designated storage area

    • Ensuring collection schedules are debriefed (daily)
    • Verifying airfreight lodging within required time frame
    • Scanning of inbound airfreight into depot and hands cargo to Senior Supervisor for delivery / sortation

    Supervising Of Outbound/Dispatch Services by:

    • Processing upliftment of all freight to satisfy agents’ cut-off times by waybill verification
    • Scanning all out-going parcels / cargo
    • Printing trip sheets
    • Supervise loading
    • Obtaining driver trip sheet acceptance (signature), hand waybills (copy) and record vehicle registration numbers
    • Ensuring collections for outlying areas are communicated and followed up with all agents on a daily basis
    • Verifying that POD’s are received within the required time frames and airfreight delivered as required

    Supervising of vehicle debriefing / off-loading procedures by:

    • Directing parcel sorting into destination area / location
    • Verifying waybill against parcel and parcel stickers
    • Scanning parcels into Freightware by waybills and submitting to data capturers
    • Checking scanning on system
    • Recording cheques received in zone files and submit to data capturers
    • Log-off
    • Verifying documentation in terms of signatures, waybill no’s., etc

    REQUIREMENTS:

    • Grade 12 (Minimum)
    • 2 years general clerical experience
    • Basic understanding of warehousing / stores procedure
    • Basic understanding of Freightware or similar
    • Freight management system preferred
    • Computer operation
    • Commercial arithmetic calculations
    • Operation of general office equipment
    • Basic customer care skills
    • Ability to work Mon-Fri 7h00-17h00
    • Ability to communicate verbally in both English.

    REQUIREMENTS:

    • Grade 12 minimum (Matric)
    • 3 – 4 years in freight / transportation 
    • Ability to converse in both English / Afrikaans language
    • Ability to do arithmetic calculations
    • Industry specific experience is not a prerequisite, but would assist 
    • A basic understanding of a store / warehousing environment
    • A good understanding of transportation routing within area of operation
    • A good understanding of freight packaging requirements and load distribution
    • A basic technical understanding of motor vehicles and general traffic ordinances
    • Computer literate – basic understanding of Freight ware or similar management system
    • A unendorsed valid driver’s code 10

    Plennegy: Bookkeeper

    RESPONSIBILITIES:

    Monthly procedures:

    • Accurately and timeously prepare month-end reports as required
    • Monthly actual vs budget feedback
    • Meet month-end deadlines

    Debtors:

    • Assist with capturing invoices and receipts
    • Provide accurate monthly statements that are sent to debtors
    • Attend to all Debtors’ queries
    • Follow-up on outstanding Debtors
    • For new Debtors obtain Credit References and ensure all the relevant paperwork is completed

    Creditors:

    • Prepare creditor reconciliations accurately and timeously
    • Address creditor queries before payments are made
    • Prepare and allocate all Purchase Orders as requested

    Journals:

    • Process monthly accrual and depreciation journal entries.

    Cash Book:

    • Prepare daily and monthly payments
    • Load payments on the online banking system
    • Capture all payments
    • Prepare monthly bank reconciliation

    VAT:

    • Prepare VAT reconciliations and submit the VAT201 return.

    Preparation of Annual Budget:

    • Analysis of annual income and expenditure for budget purposes
    • Preparing the necessary working to support the budget amounts
    • Preparation of a draft annual budget for review

    REQUIREMENTS:

    Education:

    • Min:    Certificate in Bookkeeping

    Legal Requirements:

    • Min:    Valid driver’s license

    Training:

    • Min:    SAGE Pastel experience and Excel experience required

    Experience:

    • Min:    At least 3-5 years’ experience in bookkeeping
