    Assistant Facilities Manager

     Role Description:

    • Sygnia is an innovative FinTech company based in South Africa and listed on the main board of the JSE. The company provides asset management, stockbroking and administration services, as well as a wide range of savings products, to institutional and retail clients. All that we do is supported by leading-edge technology platforms.
    • The main purpose of the role is to support the Facilities Manager in the management of services and processes that support the core business of Sygnia Asset Management and to provide support to the Management team.

    Duties and daily responsibilities:

    • Control the day-to-day operational activities of various suppliers across the site, ensuring that all contractors are issued and are following the permit-to-work system.
    • Complete site inspections to proactively identify risks to health and safety across Sygnia, daily by identifying hazards both physical and working practises and taking appropriate corrective action.
    • Manage site contractors to ensure operational performance, ensuring that all team members follow the approved procedures and adhere to uniform standards.
    • Carry out supplier meetings and complete supplier KPI’s at the end of each period.
    • Manage the H&S reporting system and log all incidents and accidents into the system.
    • Manage the access control system to ensure security of all sites remains high priority
    • Ensure that safe practices are followed including the use of suitable PPE where necessary.
    • To establish, review and enhance processes to support and facilitate service delivery.
    • Maintain high levels of service at all times.
    • Undertake any other reasonable task as required by the Management Team.
    • Train employees in occupational health and safety procedures,
    • Assist management with Implementing, monitoring and auditing the H&S system at all Sygnia offices/sites
    • Investigating incidents to ensure safe and healthy working conditions
    • Administration of Health and Safety related matters
    • Ensure compliance with health and safety legislation
    • Carry out internal audits and participate in external audits 

    Education & Experience

    • Knowledge of safety regulations
    • Exceptional administrative skills with proficiency in compiling an electronic records keeping system.
    • Skilled in planning, organizing, prioritizing and Time Management
    • Outstanding communication and interpersonal abilities
    • Experience with managing supply chain teams
    • Relevant Facilities Management experience
    • A flexible and adaptable attitude regarding shift times and working hours to fit business needs
    • A basic Health & Safety qualification including knowledge of Risk Assessments & Method Statements
    • Grade 12 Certificate

    Team Leader – Retail Client Service

    ROLE DESCRIPTION:

    • We are looking for a Team Leader to join our dynamic and growing LISP, within the Retail Operations Team. You will be responsible for the leadership of a diverse and multi-talented group of consultants as well as managing the daily operational requirements/processes in alignment with the value structures of the broader retail department. You will be measured, amongst others, on the outputs of an engaged and motivated workforce; the maintenance of stable and autonomous operations; and the application of well-balanced service and compliance principles to those processes.

    • People Management: Engage and invest in people.
    • Motivate and influence staff toward a culture that promotes accountability and service excellence.

    • Creating, analysing and reporting on key metrics of the team

    ROLE QUALIFICATIONS AND EXPERIENCE:

    • Relevant and applicable tertiary qualification, e.g. BCom.
    • 3 continuous years’ experience as a team leader in a similar industry.
    • Knowledge of Pension Fund Act, IFRS, Income Tax Act, Long Term Insurance Act, CISCA, JSE regulations.
    • Advanced MS Excel skills.

    Client Relationship Manager

    • We are looking for an exceptional individual to join our team Retail Investment Services Team in the capacity of Client Relationship Manager (CRM).

    DUTIES AND DAILY RESPONSIBILITIES:

    • Engage with Clients, Independent Financial Advisers (IFAs) and their support staff (occasionally face-to-face) within SLA and in accordance with Sygnia’s servicing standards.
    • Discuss and explain all funds, products and services offered by Sygnia as well as all operational processes and requirements.
    • Educate and support clients/IFAs on procedures, quotes systems, portal sites and completion of instruction forms, application forms and supporting documents pertaining to FICA and FAIS.
    • Own and manage every client/IFA interaction from start to end and provide feedback in the format requested by the client/IFA within SLA.
    • Effectively manage personal queues – ‘Today’s Work Today’ (TWT principle).
    • Attend to and refer all escalated queries to the departments responsible, follow up on feedback and manage client/IFA expectations.
    • Eliminate and de-escalate any occurrences of client/IFA dissatisfaction.
    • Ensure client/IFA satisfaction and retention through proactive and targeted servicing and relationship building efforts.
    • Optimise Client Relationship Management skills and processes to deliver the maximum service impact to clients/IFAs.
    • Maintain a good internal department relationship to ensure that you get the maximum support and collaboration.
    • Partner with the relevant Business Development Executive (BDE) to ensure holistic and effective FSP support.
    • Maintain a healthy team spirit by assisting peers where needed and proactively communicate.

    ROLE QUALIFICATIONS AND EXPERIENCE:

    • BCom or equivalent undergraduate degree/diploma is preferable.
    • At least 3 years’ experience in Client and IFA Servicing within investment/financial services
    • Experience in the Linked Investment Service Provider (LISP) environment administration is preferable.
    • Experience in the following Financial Services industries is an advantage:
    • LISP
    • Collective Investment Schemes
    • Retirement Funds
    • Linked Life Companies (Just Life)
    • Exchange Traded Funds (ETFs)
    • Advanced Excel skills
