Main Outputs and Responsibilities for This Position
Attend to client queries:
- Confirm documents have been received for loan applications; amendments; changes to beneficiaries; noting of cessions; payment method change; broker notes or cancellation enquiries (TCF)
Process changes to payment methods; personal and contact details and beneficiaries:
- Validate clients personal information (TCF)
- Update changes on the system (changes to debit order; or to PERSAL) (TCF)
- Update changes to personal and contact details (TCF)
- Update changes to beneficiaries (TCF)
- Make notes on the system (TCF)
Process cancellations:
- Validate client personal information (TCF)
- Retirement: (TCF)
- Check values on the system
- Process the cancellation and refer to the Actuarial department
- Suspend premium payment
- Process payment if value is less than minimum required by SARS
- Activate paid up status if the value exceeds the minimum required by SARS
- Inform the client and make notes on the system
Surrender (TCF)
- Check values on the system
- Cancel the policy
- Submit documents to Supervisor for payment
- Single Premium (TCF)
- Check if there was any partial surrender within the first 5 years
- Inform the client the request cannot be processed if there was a partial surrender
- Process request and submit for payment if there was no partial surrender
- Policies without values
Process the cancellation
Make notes on the system
Re-in state policies:
- Validate clients personal information (TCF)
- Check policy type (TCF)
- Refer to new business for medical if there is life cover and waivers (TCF)
- Process re-instatement if it is within the allowed period (TCF)
- Make notes on the system (TCF)
Process cessions:
- Validate clients personal information (TCF)
- Note cession according to the bank request (TCF)
- Inform the bank and the client in writing (TCF)
- Make notes on the system (TCF)
Validate client correspondence:
- Verify correctness of client information (TCF)
- Attend to incoming documents
Requirements
Formal Education:
Technical/Legal Certification :
- RE 5 (Advantage)
- 60 or 120 credits on NQF level 5 Wealth Management (Advantage)
Experience:
- 2 Years’ experience in client services administration.

- Assist the manager to ensure that the compliance function is in compliance with law,and industry and regulatory body requirements.
- Promote the prevention of legal and regulatory risk in the company (TCF).
- Maintain efficient and effective operations in Compliance.
- Ensure that policies and procedures with regards to the Compliance function are being adhered to (TCF).
- Attend specific forums as may be required to represent the Compliance and Regulatory Affairs department.
Responsible for Compliance Monitoring and Reporting
- Monitor compliance risk, policies and procedures at Head Office and branches of Assupol Group.
- Maintain the standardized monitoring procedure.
- Complete monitoring reports.
- Provide overall compliance assistance, guidance and advice to Assupol Group of Companies.
- Contribute to the development of compliance risk management plans.
- Contribute to the completion of compliance reporting (internal and regulatory).
Provide Training and Awareness on Compliance Matters
- Create awareness in Assupol Group of Companies with legal requirements (TCF).
- Inform employees about relevant compliance matters.
- Develop, educate and enabling healthy and business orientated compliance culture.
- Regularly meet with stakeholders, including the regional managers of the specific business units to identify and address compliance risks.

Financial Administration of accounts
- Processing of purchase orders and invoices
- Day to day record tracking of expenses against budget
- Assist with budget planning
Provide secretarial and administrative duties
- Book meetings

Description
To provide professional first line support to clients and sales support
Render client services
- Adhere to client service procedures: maturities, policy contracts, loan applications, cancellations, amendments, financial and general enquiries
- Update client personal details and AIMS notes
- Provide correct and accurate advice to clients on products and services (TCF)
- Inform clients and update changes to their policy (TCF)
- Liaise with relevant departments to gather information to resolve clients’ queries
- Maintain required business retention rate
- Handle all complaints and enquiries
- Escalate complaints to Office Manager and Complaints Handling Officer
- Follow complaints procedure
- Handle all incoming calls and walk-in clients
Administrate Claims
- Verify claims documents as per standard procedure
- Assist clients with the completion of claim forms
- Submit all claims received to Head office
- Submit any outstanding documentation as per Head Office request
- Keep claims register up to date
Advise clients on cancelations
- Advise the client of the process and disadvantages of cancelation
- Retain the policy by proposing different options (loan, partial surrender paid up)
- Inform relevant Sales Manager of the intended cancelation for retention
- As per clients request follow the standard cancelation procedure
Administrate demutualization process
- Capture client information
- Inform clients of status of their shares
- Update clients information on Aims systems
- Register and forward to Head office
Office Administration
- Manage mail and fax
- Prepare statistical reports
- Assist with data capturing when required
- Encourage clients to complete the survey
Fit and Proper Requirements
- Adhere and comply to FSB board notice in terms of FAIS
Documentation and filing procedures
- Keep record systems up to date
- File and keep documentation for a period as required by the legislation

FORMAL EDUCATION
Matric
TECHNICAL/LEGAL CERTIFICATION
- Recognised Qualification as per the FSCA (Advantage)
- RE 5
- Registration as an Employee Representative (FSCA)

EXPERIENCE
- 2 Years’ Experience in the Insurance Industry;
- 1 Year Client Services
- 1 Years’ experience in: Category A, B, C and retail benefits (Advantage)
