    Project Officer: Database and Help Desk

    Minimum Requirements    

    • Qualification: NQF 7, Degree in SET with Statistics, Microsoft Excel and Access proficiency
    • Work Experience: Skilled worker with 3 – 5 years of experience.
    • Two years of experience in preparing datasets for reporting purposes
    • Two years of experience working with Issue Tracker assigning and escalating tasks
    • Strong administrative skills.
    • Attention to detail.
    • Ability to work under pressure and extended hours.
    • Must possess good written and verbal communication skills.
    • Excellent interpersonal skills.
    • Must be able to work well within a team as well as independently.
    • Customer-centric and solution-driven.
    • Advanced computer skills, including high proficiency in MS Office applications.
    • Must be a SA Citizen.

    Duties & Responsibilities    

    • Data capturing and updating of the DSI-HSRC Internship Programme Operational Database;
    • Data capturing and updating of the Intern, Mentor and Host Administrator Spreadsheets;
    • Internship Performance data analysis for the DSI quarterly reports;
    • Management of the response of queries or allocation of responses on the DSI-HSRC Internship Queries Mailbox and the Online Platform Issue Tracker;
    • Uploading of contracts to successful interns on the Online Submission System;
    • Perform data cleaning and data analysis tasks for the operational database for programme reporting.
    • Coordinating the submission and follow-ups for monthly intern registers;
    • Capturing minutes for weekly team meetings;
    • Taking on any other ad hoc tasks as required.

    Project Officer: Platform Management and IT

    Minimum Requirements    

    • Qualification NQF 7, in an IT related qualification
    • Skilled worker with 3 – 5 years of experience.
    • Microsoft licensing knowledge is an added advantage.
    • Strong administrative skills to perform general administration and support functions relevant to their work.
    • Attention to detail.
    • Ability to work under pressure and extended hours.

    Duties & Responsibilities    

    Will include, but not be limited to the following:

    • Consolidate and update the list of users (Host administrators, mentors and interns) currently registered on the SharePoint platform.
    • Ensure that all users are granted licenses and utilize the DSI-HSRC Online platform to submit resignations, leave, timesheets and goal-setting/work plans online.
    • Download monthly leave reports, resignations, timesheets and intern transfers.
    • Link new mentors to interns on the DSI-HSRC Online platform.
    • Manage the reset password requests from users and liaise with HSRC IT to generate the passwords.
    • Facilitate the migration of the current mentor HSRC email accounts into the use of their non-microsoft accounts.
    • Communicate with stakeholders and respond to queries.
    • Monitor the issue tracker dashboard.
    • Generate monthly issue tracker reports.
    • Manage the content update on the DSI-HSRC online platform.
    • Assist with the re-design of the landing page of the DSI-HSRC internship application system.
    • Facilitate training workshops on the internship management portal for inductions and other related events.
    • Assist with the integration of intern data from the DSI-HSRC management system into the current operation database.
    • Compile a list of newly recruited interns and liaise with HSRC IT to assign licences.
    • Share login details with new interns.
    • Activate the new intern’s accounts on the DSI-HSRC online platform and link them to their respective mentors.
    • Assist with the DSI-HSRC online platform user guide.
    • Perform data cleaning and data analysis tasks for the operational database for programme reporting.
    • Record notes and feedback from meetings.
    • Support and manage the repository of documents as required for operational and accountability purposes.
    • Taking on any other ad hoc tasks as required.

    Executive Personal Assistant and Administrator

    Minimum Requirements    

    • A minimum of a post-matric qualification (Diploma in Office Administration or a Secretarial qualification);
    • A minimum of three years of proven experience as a high-level executive PA and Administrator;
    • Proficiency in English, with excellent written and verbal communication skills;
    • Proven proficiency in the use of computer software applications, notably the MS Office suite, electronic mail and diary management and Internet;
    • The ability to function independently and under pressure;
    • High level of integrity and professionalism to liaise with top-level stakeholders and perform duties in a sensitive and confidential manner;
    • Excellent time management and prioritization skills;
    • A commitment to excellence, attention to detail and meticulous and accurate execution of tasks;
    • Must be able to work in a diverse and multi-cultural environment.

    Duties & Responsibilities    

    • Assist in providing administrative support to the Group Executive: Shared Services office.
    • Liaise with SCM on financial and procurement issues in relation to Shared Services matters;
    • Coordinate and facilitate the Group Executive’s diary, email, correspondence and travel;
    • Screening of incoming correspondence to prioritize and assess for further action;
    • Preparation of letters, memoranda, presentations, spreadsheets and other documents and review and editing of documents prepared for the Group Executive’s endorsement;
    • Preparation of agendas and materials for meetings; minute taking and record keeping of proceedings;
    • Establish and maintain filing and record management systems;
    • Assist with the effective functioning of the Division;
    • Liaison between the Group Executive and staff in Shared Services;
    • Transmission of directives, instructions, and assignments to staff;
    • Follow-up and reporting back to the Group Executive;
    • Coordinates and or collates reports to inform EXCO meetings, Board Meetings and other committees/forums.
