    Senior Travel Designer - Retail (Sandton)

    PRIMARY PURPOSE

    To generate and grow sales whilst maintaining required GP%, great relationships and high-level customer service by offering world-class itineraries to exceed guests' expectations.

    To secure, cost and present product to the agent/guest accurately, efficiently, timeously by creating inspirational luxury travel. Have an excellent knowledge and good geographical understanding of all Southern and East African destinations as well as day-to-day regional logistics.

    Detailed Responsibilities:

    Develop relationships with Agents:

    • Liaise with the Reservations Manager on sales potential and any development on the agent relationship for all bookings.
    • Continuous communication and excellent service delivery to agents at all times.
    • Build relationships with agents based on trust and support, knowing their business trends and guests needs.

    General:

    • Keep Agents’ booking information updated in the ARM (likes/dislikes – booking habits etc.) 
    • Keep updated with all Wilderness and 3rd party product (AP), as well as technology updates.
    • Streamline operational negotiations by also reducing dead beds, waitlist chasing and maximising camp operations role to create those life-changing journeys for guests.

    Quoting bookings – Design, develop and plan guests’ journeys:

    • Quote accurately and timeously keeping in mind our strategic and preferred AP and upsell where possible to benefit both WS and the agent ensuring relevant information is obtained from the ARM prior to quoting.
    • Stipulate and utilize applicable specials in the WW and make appropriate notes as required as per AP’s systems and procedures.
    • Understand the agents/guests needs in each booking. Design itineraries around company guidelines and product knowledge e.g. area, variety, product status and service consistency in accommodation standard, distances travelled and time saving aspects.
    • Follow up on all outstanding provisional bookings with the agents, consistently understanding the yield implication of provisional space held.
    • Measure sales and GP% per agent in conjunction with Sales, identifying variations and maintaining good GP’s per booking.

    Confirmed Bookings in accordance with company procedures:

    • Create the automated deposit invoice including all services that are confirmed and need to be delivered in accordance to the agents agreed T&Cs, ensure bookings are not exposed on the TFS reports.
    • Ensure that the deposit requirements in the WW match what the AP advises on the quote to mitigate exposure risk in each booking.
    • Process any additional changes/updates after confirmation to the itinerary.
    • All required travel information to be obtained from the Agent and sent to the Operations Specialist e.g. bed configuration, dietaries, ages of children, group dynamics and any other additional information from the agent.
    • Review guest travel docs completed in conjunction with the operations team support and ensure details are correct prior to sending out to the agent.

    CANDIDATE PROFILE

    Qualification:

    • Matric certificate – with math's (minimum standard grade or above) 
    • Tertiary certificate in Travel & Tourism/hospitality. 

    Experience:                     

    • 4-5 years’ experience at a senior level.
    • Experience in handling customer relationships and developing & promoting product and services in the inbound travel industry.
    • Computer Literate (Microsoft Office, email, Internet).
    • Proven English literacy.
    • Working knowledge of TourPlan and WISH or similar booking/operating system. 
    • Great product knowledge on Southern & East Africa.
    • Personal or educational travel experience required.
    • Excellent attention to detail.

    Skills:

    Reservations Operations Manager - Retail & Latin ( Sandton)

    Primary Purpose:

    The primary purpose of the Reservations Operations Manager is to manage the overall performance of the operations team by ensuring the administration behind every booking is handled with speed, accuracy and efficiency. The Reservations Operations Manager is specifically accountable for the performance and leadership of the Operations Specialists ( Asia Pacific & Private Guides), with the ultimate goal to achieve efficient turnarounds, booking accuracy and improved workflow allowing the Travel Designers (Journey Specialists) to increase the volumes and speed of sales.

    Responsibilities:

    Team Management

    • Offer first line assistance to the Operations Specialists, allocating tasks of availability, confirmation and post confirmation services while maintaining workloads and a high level of efficiency within the team as a whole.
    • Develop and mentor staff and talent to their full potential through performance development programs; identify training needs and addressing product knowledge training requirements to help the team improve the operations performance.
    • Manage teams leave and their performance.

    General

    • Attend regular management meetings to discuss day-to-day issues, assisting in finding solutions and possible areas of strategic importance, constructive feedback and best practices across the Wilderness group.
    • Liaise with the Head of Operations & Global Integration to ensure the company strategy is implemented, and that systems are used to the maximum potential to increase efficiencies.
    • Attend Associate Product meetings & presentations, ensuring the Operations Specialists are up to date with detailed knowledge of all the main regions we operate in.
    • Be proactive in problem solving and offering advice to Operations Specialists and using each opportunity to train and upskill the knowledge base in your team.
    • Reservations Operations Performance
    • Review all supplier invoices and make sure they are sent to finance timeously.
    • Ensure supplier invoices match with rates loaded.
    • Liaise with RARA to update TP accordingly.
    • Manage daily reports, extensions, provisionals, waitlists and dead beds etc. to minimize the unnecessary blocking of space and all accuracy with room configurations.
    • Authorise and process all credit notes and booking amendments, ensuring invoice efficiencies are done based on company threshold, eliminate/reduce credits by reducing errors.
    • Review outstanding vouchers on bookings and close off vouchers which have been over/incorrectly stated.
    • Assist the team with extensions, waivers, cancellations, ad hoc discounting required and approved by the Head of Yield & Revenue Management based on yield allowances.
    • Review product analysis and drive product sales in order to benefit from negotiated incentives
    • Implement reporting measures within your team in conjunction with the Yield team.
    • Review processes and take measures to implement and improve cost efficiencies and services.

    Technology & Reporting

    • Optimise business processes - continuously striving to improve business effectiveness and efficiency with innovation, flexibility, and integration within the business’s technology.
    • Ensure the Operations Specialists use the Wilderness Window efficiently and correctly adhering to the functionality in order to perform accurately and with fast turnaround times.
    • Use reports to analyse booking conversion ratios, agent trends and feedback to the external sales team to aid in acknowledgement/recognition, training and/or upskilling where necessary.
    • Using the WW and other reporting tools keep abreast of supplier stats, agent trends and reaching supplier incentive targets.

    Candidate profile: 

    Qualification:              

    • Matric certificate – with Maths (minimum standard grade or above)
    • Tertiary qualification in Travel & Tourism/Hospitality.

    Experience:

    • 8-10 years in the Travel & Tourism industry

    Intermediate Operations Specialist -Latin (Sandton)

    PRIMARY PURPOSE

    To fill a full operations role in the booking process, working hand in hand with the Travel Designer, but being the first line in relationships with suppliers and administration of the entire backend of each booking made by the Travel Designer.

    To secure the booking with all services providers including travel designers accurately, efficiently, timeously and with zero errors.

    Detailed Responsibilities:

    Develop relationships with Agents:

    • Liaise with travel designers on all bookings in an operational capacity
    • Communicate continuous with suppliers and internal sales support teams which includes trust and excellent support

    General:

    • Keep all booking information updated in the system ensuring CRM is continually up to date.
    • Add all special requests from the agent into WW e.g. honeymoon, birders, dietaries, ages etc.
    • Advise RARA if rates are not loaded or correctly linked on the WW once booking is handed over and any new discrepancies are found after confirmation.
    • Keep updated with all WS and AP product updates, as well as technology updates.
    • Keep abreast with company policies, procedures and system updates.

    Bookings Operations:

    • Contact suppliers in writing to confirm or cancel relevant services giving them all special requirements as mentioned above, ensuring that cancelled space has indeed been cancelled.
    • Receive a confirmed booking from Travel Designer including special requests e.g. bed configuration, dietaries, ages of children, group dynamics and any other additional information from the agent. Ensure all service lines are loaded correctly in the WW.
    • On receipt of confirmed bookings from Travel Designer – check for any discrepancies between the voucher in TP and the suppliers invoice and that all information is saved in WW.
    • Update and review all information in WW match the supplier documents.
    • Arrange welcome letters for guests and send to suppliers.
    • Accuracy when compiling document packs when required for distribution.
    • Present doc packs to the travel designer for final review.
    • Complete electronic version of the travel itinerary confirmed with times, flight details and contact details of properties and guides.
    • Pre-tour information - verify and edit info where necessary to accommodate the itinerary.
    • Qualify guests' expectations when complaints are made and if they are requiring refunds or FOC services and communicate options to Travel designers to present to agents.
    • Electronically file and archive travelled booking files 6 months after date of travel.

    Junior Internal Legal Counsel

    Primary Purpose:

    The Junior Internal Legal Counsel provides legal support and guidance to the organization on a wide range of legal issues. This position assists Group Head of Legal in various aspects of legal work, including research, document review, contract drafting, and compliance matters.

    Key Responsibilities

    • Conduct legal research to support senior legal staff in their decision-making processes, staying up-to-date with relevant laws and regulations.
    • Review legal documents, contracts, and agreements to ensure compliance with applicable laws and regulations.
    • Assist in drafting and reviewing contracts, including employment agreements, vendor contracts, and customer agreements.
    • Monitor and ensure compliance with various legal requirements, such as data protection and privacy laws, labour laws, and industry-specific regulations.

    POSITION REQUIREMENTS

    QUALIFICATIONS & EXPERIENCE

    • LLB degree from an accredited law school.
    • Admission.
    • Previous experience as an admitted attorney, internal counsel or similar role (preferred).
    • Knowledge of relevant laws and regulations.
    • Knowledge of corporate governance and compliance (preferred)
    • Familiarity with specific industry regulations (preferred)
    • Proven experience in strong legal research
    • Ability to review and draft legal documents accurately
