Executive Assistant to the CFO & COO

    Job Description

    • We are seeking a highly strategic, operationally sound, and financially literate Executive Assistant (EA) to support our dual-role CFO & COO. In this critical position, you will act as the ultimate gatekeeper, air-traffic controller, and strategic partner to a leader managing the entire financial health and operational execution of our medical insurance business.
    • Because this executive wears two high-stakes hats, you will be responsible for managing intense context-switching, safeguarding their cognitive load, and ensuring neither long-term financial strategy nor day-to-day operational excellence is compromised.
    • The ideal candidate has deep experience in highly regulated environments, understands insurance fundamentals, and thrives in a fast-paced corporate setting.

    Key Responsibilities

    Calendar, Energy & Context Management

    • Dual-Hat Calendar Optimization: Strategically architect the executive’s calendar by grouping tasks and meetings into distinct "CFO blocks" (audits, actuarial reviews, solvency) and "COO blocks" (claims operations, IT infrastructure, provider networks) to minimize decision fatigue.
    • Meeting Pre-Briefing & Readiness: Ensure the executive is fully prepared for every meeting. You will curate briefing packs, clarify the context (Financial vs. Operational), define the required outcomes, and ensure relevant data is reviewed beforehand.
    • Gatekeeping & Inbox Triaging: Act as a diplomatic but firm shield against "operational noise." Route routine claims, customer service, or vendor escalations to department heads, ensuring only critical systemic issues reach the executive.

Financial & Regulatory Administration (CFO Support)

    • Regulatory Calendar Tracking: Take absolute ownership of strict, non-negotiable statutory filing windows, regulatory audit cycles, and annual product/plan restructuring deadlines.
    • High-Stakes Deliverable Coordination: Assist in compiling and formatting board decks, investor relations materials, reinsurer briefs, and financial forecast models.
    • Financial Literacy Execution: Comfortably handle sensitive financial documents (P&L statements, solvency margins, expense reports) with absolute discretion.

Operational Oversight & Governance (COO Support)

    • Cross-Functional Tracking: Monitor progress on major operational milestones (e.g., system migrations, provider network negotiations, claims turnaround time targets) using project management tools.
    • Stakeholder Bridge: Serve as a seamless professional conduit between the executive and diverse stakeholders, including actuarial consultants, corporate clients, hospital networks, and regulatory bodies.
    • Process Optimization: Identify and implement ways to streamline the executive's office operations, internal communications, and sign-off workflows (e.g., DocuSign queues).

    Qualifications

    • Experience: Minimum of 5–7+ years of experience as an Executive Assistant supporting C-suite executives. Experience in medical insurance, medical schemes, financial services, or healthcare logistics is highly preferred.
    • Industry Knowledge: Familiarity with or an ability to rapidly learn medical insurance metrics and concepts (e.g., Claims/Loss Ratios, IBNR reserves, provider networks, statutory solvency).
    • Technical Skills: Advanced mastery of calendar management tools (Outlook/Google Workspace), communication channels (Slack/Teams), and project tracking tools (Asana, Monday.com, or similar). High comfort level with Excel/Google Sheets is a plus.
    • Discretion: A flawless track record of handling highly confidential board-level financial data and sensitive personnel information.
    • Attributes: Exceptional emotional intelligence, a calm demeanor under high-pressure deadlines, strong assertive communication skills, and an innate ability to predict an executive's needs three steps ahead.

    Working Conditions

    • This role is typically office-based. Occasional extended hours may be required to support executive schedules.

    Additional Information

    Behavioural Competencies

    • High integrity and confidentiality
    • Proactive and solutions-driven
    • Resilient and adaptable
    • Professional and dependable
    • Strong ownership and accountability
    • Independent yet collaborative
    • Professionally presented

    Innovation Hub Manager

    Role Purpose

    • The Innovation Hub Manager builds and runs Kaelo’s research and development capability. The department exists to identify, prove and industrialise new product concepts, agentic and AI-based capability, and emerging technology that can create commercial advantage for the organisation. It works ahead of the production estate, taking ideas from opportunity through to a proven, de-risked solution that graduates into Systems Solutions for production ownership.
    • This is a management role rather than a hands-on engineering role. The incumbent supports the IT Executive in executing the AI and innovation strategy, acting as an enabler, and is accountable for the quality of the innovation pipeline, the rigour with which ideas are tested and the commercial return the portfolio generates.
    • They achieve this by building a capable team from a largely greenfield base, empowering the AI Architect to own technical direction, and holding the portfolio to account through stage-gated governance, documented operating procedures and honest reporting of results.

    Key Responsibilities

    Managing & Team Capability

    • Manage the Innovation Hub, setting into action the direction set by the IT Executive, prioritising initiatives, establishing ways of working and maintaining a culture in which disciplined experimentation and early stopping are treated as productive outcomes.
    • Manage the team from a largely greenfield base; develop and retain scarce AI, analysis and design skills.
    • Delegate technical ownership appropriately, empowering the AI Architect to set reference architecture and engineering standards.
    • Set objectives, manage performance and manage departmental budget, capacity, partners and vendors.
    • Develop and maintain standard operating procedures (SOPs) for the Innovation Hub, including stage-gate, experimentation and handover procedures.
    • Operationalise and enforce Kaelo’s policies within the department, including responsible AI, information security and data protection policies, and address non-compliance.

    Innovation Strategy & Portfolio

    • Translate the AI and innovation strategy set by the IT Executive into a sequenced portfolio of initiatives balancing near-term return against longer-horizon capability.
    • Run stage-gated governance through the Project Manager so that initiatives are funded incrementally and stopped decisively when evidence does not support them.
    • Horizon-scan emerging technology, particularly in artificial intelligence, and assess its applicability to health insurance and financial services.
    • Report portfolio progress, learning and realised benefit to the IT Executive and business leadership.

    Opportunity Identification & Commercial Validation

    • Engage business and executive stakeholders to identify opportunities of genuine commercial or member value.
    • Ensure every initiative has a framed use case, value hypothesis, success criteria and measurement approach before build effort is committed.
    • Ensure realised benefit is measured honestly after solutions reach production.
    • Build relationships with external partners, vendors, start-ups and academic institutions where they accelerate capability.

    Responsible AI & Risk

    • Establish responsible AI practices covering fairness, bias, explainability, human oversight, data provenance and model risk.
    • Ensure the use of member or production data in experimentation is governed, minimised, anonymised where possible and formally approved under POPIA.
    • Ensure third-party and model supply chain risk from AI vendors and foundation model providers is assessed and managed.
    • Ensure security requirements are considered from the outset, in partnership with the Security Engineer, rather than retrofitted at handover.

    Graduation to Production

    • Agree with the Systems Solutions Manager the acceptance criteria and boundary of responsibility for solutions entering production.
    • Ensure graduating solutions carry the documentation, test coverage, observability and operational runbooks required for production acceptance.
    • Ensure productionisation work is planned and resourced jointly with Systems Solutions.

    Stakeholders & Governance

    • Act as a trusted partner to the business, building demand for the Hub’s work while setting realistic expectations of what AI can deliver.
    • Identify, record and escalate delivery, ethical, regulatory and vendor risks.
    • Maintain the records required to evidence governance of the innovation portfolio to internal audit and regulators.

    Alignment, Reporting & Escalation

    • Align the department’s work to, and execute, the direction and strategy set by the IT Executive.
    • Communicate progress to the IT Executive, and escalate issues, risks and decisions requiring direction promptly and transparently.

    Qualifications

    REQ-02

    Qualifications & Experience

    Qualifications

    • Bachelor’s degree in Computer Science, Engineering, Information Systems, Data Science or a related field.

    • Minimum 8 years’ experience in technology, including at least 3 years managing teams in a research, innovation, product or advanced engineering function.
    • Demonstrated experience taking new technology concepts from idea through proof of concept to production adoption.
    • Practical, current knowledge of the AI landscape, including large language models, agentic systems and machine learning operations.
    • Experience establishing governance for exploratory work, including stage gating and portfolio-level decision making.

    Preferred Experience

    • Delivery of the departmental build-out against the approved resourcing plan.
    • Team engagement, capability growth and retention.

Reporting to the Head of IT, the role combines hands-on engineering of security controls across the technology estate with the governance, risk and compliance work required to evidence those controls to regulators, auditors and customers.
    • A significant part of the role is security assurance in both directions: completing the security questionnaires that customers send to Kaelo, assessing Kaelo itself and its vendors, and working with internal teams or the vendor concerned to close the gaps found.

    • Support statutory notification obligations, including POPIA breach notification and reporting under the Cybercrimes Act.

    Security Questionnaires & Third-Party Assurance

    • Complete security questionnaires received from customers and prospective customers, providing accurate responses and supporting evidence on Kaelo’s behalf.

    • Issue security questionnaires to Kaelo’s vendors and service providers, assess the responses and rate the risk.
    • Self-assess Kaelo against its own policies and the frameworks it aligns to, identifying control gaps.
    • Work with internal teams or the relevant vendor to agree remediation of gaps and track it through to closure.

    ISMS, Governance & Compliance

    • Maintain the ISMS under the direction of the IT executive, including the risk register, risk treatment plan and Statement of Applicability.
