    Clinical Nurse Practitioner - Thabazimbi

    • We are looking for a Clinical Nurse Practitioner (CNP) to provide technical support and direct service delivery to ensure comprehensive, integrated mental health care is provided at Primary Healthcare Clinics (PHC). CNP will also be responsible for quality assurance of mental health, compliance to clinical and dispensing standards and be required to provide reports. The CNP will report to the Project Manager and be expected to coordinate the activities of the social auxiliary workers and counsellors etc.

    Key duties and responsibilities:

    Provide Technical Support to Primary Healthcare Clinics for Integration of Mental Health Services                      

    • Train and mentor facility nurses to conduct integrated chronic, mental health care visits and manage common mental illnesses with the support of a psychiatrist.
    • Coordinate the multi-disciplinary team to provide comprehensive support to clients with mental health issues.
    • Disseminate, develop algorithms, guidelines and job aids to support mental health as and when required.
    • Support counsellors in conduct mental health screening and support provision, including training and mentoring of DoH counsellors.
    • Support supply chain of mental health care medications to ensure constant availability at PHCs.
    • Conduct facility file audits to identify clients with unmet mental health needs and to ensure quality care has been provided.

    Provide Quality Mental Health Care

    • Diagnose and manage common mental health disorders.
    • Create mental health management plans for clients including clinical care, psychosocial support and referral into hospital and/or community support organisations.
    • Liaise with the psychiatrist and psychologist to schedule facility visits and provide clinical advice to project and the DoH staff.
    • Administer and dispense medication accordingly, including continuation of mental health medications available to the PHC.
    • Monitor medication or therapy effectiveness and propose regimen/dosage change to psychiatrist should it be required.
    • Partner with patient family members to help integrate the mental rehabilitation process.
    • Ensure that client information is kept confidential and the POPI act is adhered to all times.

    Project Coordination and Team Management        

    • Coordinate mental health activities to ensure objectives of the project are met.
    • Liaise with other stakeholders & keep up to date with relevant trends to ensure that best practices that align with statutory requirements are always applied.
    • Coordinate with DoH and other stakeholders to improve and track referral and linkage to care of clients.
    • Daily supervision, mentorship and support of project social auxiliary workers and counsellors.
    • Identify training needs and opportunities for programme staff development, facilitate and arrange required development interventions.

    Project Administration and Support

    • Ensure that all staff are complying to the relevant SOP’s and relevant statutory requirements.
    • Complete, compile, and submit the relevant technical assistance tool/reports to line manager and submit as and when required.
    • Ensure compliance to ethical conduct of the principles of medical ethics when dealing with patients and patients records.
    • Prepare and participate in audit processes.
    • Support Anova and its stakeholders, attend relevant meetings to facilitate the implementation of the mental health project, particularly within the district, local municipality and supported facilities.
    • Ensure reports are submitted to the facility and project manager - regarding project activities.
    • Conduct quality reviews and improvement processes to ensure best practices are rendered to our clients.
    • Attend and participate in both internal and external trainings for continuous professional development.
    • Communicate efficiently and professionally with all relevant stakeholders.

    Data Management

    • Ensure all patient records and registers are completed accurately.
    • Store and maintain all relevant records.
    • Maintain accurate, up-to-date records of medical supplies, equipment and drugs in own area of operation.
    • Ensure 100% compliance to data management SOP, internal quality control guidelines and other quality assurance SOP.

    Any other relevant tasks as agreed with line manager.

    Minimum qualifications, experience and skills required:

    • Degree/Diploma in Nursing with Psychiatric or any other relevant qualification.
    • Registered with SANC (South African Nursing Council).
    • Certificate in PC 101/Adult Primary Care
    • Dispensing license.
    • Post-graduate degree in psychiatric or mental health qualification would be added advantage.
    • 2 years’ experience in mental health programme.
    • Familiar with various mental therapeutic methods.
    • Knowledge of mental health and community health issues.
    • Must be patient and resilient.
    • Strong interpersonal, written, and oral communication skills are required.
    • Ability to speak regional targeted communities’ languages.

    Monitoring, Learning & Evaluation Officer - Kathu

    • We are looking for Monitoring, Evaluation & Learning (MEL) Officer to assist with the collection, cleaning, verifying, analysing, interpretation and reporting of data for the mental health programme. The MEL officer will help with the formulation of structures, systems, tools and documentation of the relevant data required. The MEL officer will also manage, mentor and train data captures and or relevant Anova stakeholders. The MEL officer will be overseeing the Northern Cape (Joe Morolong, Gamagara, Ga-Segonyane and Tsantsabane) and Limpopo (Thabazimbi) districts.

    Key duties and responsibilities:

    Develop Data Collection & Quality Assurance Tools

    • Develop and maintain relevant data collection, monitoring tools and SOP’s or data flow structures from the facility and the community.
    • Conduct regular backups for all relevant project databases.
    • Design and provide guides for audit and surveys for quality assurance for data captured and corrective measures.
    • Propose and suggest data related improvement methods and tools.
    • Contribute to development of ad hoc research data collection and reporting tools.
    • Help in creating MEL systems for ad hoc research beneficial to the program.
    • Provide oversight to data collection activities for project evaluation.
    • Participate in program evaluation processes.

    Supervise Data Capturers                 

    • Daily supervision of Anova data capturing teams.
    • Coordinate facility data capturing teams and help resolve/fix data quality issues.
    • Supervise, mentor, coach and capacitate data capturers in ensuring data objectives are met.
    • Maintain a schedule of facility site visits to support data quality collection and reporting.

    Data Management

    • Clean, verify and collate monthly data for reporting.
    • Ensure accurate and complete project performance reports are generated, quality assured and produced on time for Anova, project funders and other relevant stakeholders as and when required.
    • Ensure data is accurately reported within the project and within the expected timelines.
    • Data collection methods aligns and comply with required reporting objectives, SOP’s and are reviewed as and when changes occur.

    Facilitate Feedback, Reporting and Fast Tracking of Data Solutions.

    • Respond to ad hoc project manager, funder or any relevant stakeholder reporting requests as and when required and communicate any urgent information.
    • Communicate timelines and changes in data systems or processes.
    • Complete the mental health programme for DoH and any other required registers to be submitted according to required timeframes.
    • Regularly engage with the Project Manager to discuss and update on relevant tasks.

     Contribute to Data Process review and Procurement of Tools or Systems

    • Partner with Anova head-office Strategic Information Department to align with overall Anova processes and policies.
    • Collaborate and support DoH data managers to improve routine data analysis and use.
    • Ensure project data processes are updated according to best practices.
    • Run independent data cleaning, editing, modifications and mass corrections and updates to data files regularly.
    • Generate reports for research, observe and identify any trends and or disease profiles.

    Any other relevant tasks as agreed with line manager.

    Minimum qualifications, experience and skills required:

    • Grade 12 or Matric
    • Advance diploma in Data Management, Information Systems, Public Health, Health Informatics any other relevant qualification. (or more than 3 years training or work experience)
    • 3 years’ experience working with health indicators, M&E, Data quality and reporting to DOH or PEPFAR.
    • Ability to keep neat, accurate, and complete records.
    • Knowledge of working with DoH Information Systems.

    Finance Administrator - Johannesburg

    Key duties and responsibilities:

    Document Management

    • Receive payment request documentation from the projects.
    • Review the documentation to validate the accuracy and completeness of the supporting documentation and to ensure compliant in terms of Anova’s financial standard operating procedures and donor requirements.
    • Corrective action to be taken in the event of non-compliance.
    • Capture the purchase order and insert the reference number onto the supporting documentation.
    • Ensure that all payment documents are submitted within the required deadlines to the respective bank signatories for approval.

    Data Capturing

    • Generate an AP (Accounts Payable) batch within the accounting system.
    • Capture the supplier invoice/s against the relevant supplier code and allocate the expense to the respective project code and line item, through purchase order.
    • Forward the documentation to the Bookkeeper to confirm and post the purchase order/ AP batch into the accounting system within the correct accounting period.

    Process Payments

    • Generate EFT payment batches on the Nedbank Electronic banking system and ensure that daily cut off procedures are adhered to.
    • All new payment/supplier beneficiaries must be approved by the accountant and the new supplier details filed alphabetically by month.
    • A printout of the EFT payment batch must be attached to the relevant supporting documentation.
    • All payment batches must be submitted through to the accountant for approval to verify the completeness and accuracy of the payment details.
    • Once approved, the payment batch will be posted on the banking system.
    • The payment batch must be released by 2 authorised company officials in terms of the bank mandate and delegated level of authority.

    Document management & filing

    • Attach a copy of the remittance advice to the supporting documentation and stamp all documentation “Paid” to avoid resubmission.
    • File all EFT payment documents in the payment files in numerical sequence and by project daily.
    • Forward a copy of the remittance advice to the respective supplier as proof of payment.  

    Supplier Reconciliation

    • Obtain supplier statements monthly.
    • Develop a supplier reconciliation template and constantly improve.
    • Ensure that reconciliations are done monthly and forwarded to accountant for review and signed off by both accountant and financial manager.
    • Corrective action to be taken in the event of non-compliance.
    • Crucial to submit within the given deadlines.

    Debit orders reconciliation process

    • Follow up with relevant bookkeeper, to obtain the invoices and prepare relevant documentation.

    • Ensure that debit order requests for payments as well as purchase orders are created and signed off by the Project Managers / DCFO and CFO, for all projects. 

    Cash Management

    • Notify the Accountant when funding is low. 

    Payment recovery process

    • Prepare the purchase order, forward to bookkeepers for posting and follow the payment process.
    • Assist bookkeepers with the account payable / accounts receivable reconciliations.

    Other

    • Assist the bookkeeper and accountant with any adhoc queries / cost recoveries.

    Any other tasks as agreed with line manager.

    Minimum qualifications and experience:

    • Matric
    • Diploma in Accounting and 3 years’ financial administrative experience.
    • Experience of the Nedbank Electronic banking system.
    • Pastel Evolution experience.

    Skills, competencies, and attributes:
