    Project/Programme Administrator

Our client, a major player in the banking industry is seeking a proactive and versatile Project/Programme Administrator to join their dynamic team for a 12 month contract. In this pivotal role, you’ll provide essential support across a wide range of programme activities — from scheduling meetings and coordinating reports to managing documentation, tracking deliverables, and ensuring seamless communication with stakeholders and partners.     Requirements

    • Matric
    • A short course or certification in Programme or Project Administration
    • 5 - 8 years experience in Programme/Project Administration
    • Computer literacy especially in the MS Office Products and advanced knowledge of MS Project 
    • High level of written and spoken English

    Key Responsibilities

    • Provide comprehensive administrative and coordination support across programme projects.
    • Compile and maintain essential project documentation, including project charters, business cases, project plans, and change requests in line with PMO standards.
    • Collate, manage, and distribute project reports and updates to ensure stakeholders are consistently informed.
    • Liaise with internal and external stakeholders throughout the project lifecycle to support clear communication and alignment.
    • Update and monitor project schedules, flagging deviations and supporting planning adjustments as needed.
    • Maintain an organised project repository, ensuring information is accessible and audit-ready.
    • Schedule meetings, prepare materials, capture minutes, and ensure follow-up of agreed actions.
    • Maintain logs for lessons learned, risks, issues, and actions to support proactive project management.
    • Support ongoing project activity in the absence of the Project Manager to ensure continuity.
    • Assist with financial tracking including invoice processing, liaising with vendors, and coordinating with IT finance teams.
    • Support resource allocation and onboarding processes as required.

    Project Management: Resource Specialist

    Duties and Responsibilities

    • Conduct proactive capacity planning.
    • Assess Project Office's capacity to accept new projects.
    • Optimise resource allocation across the portfolio.
    • Maintain an inventory of all resources and skills to inform and guide resource allocation and investment.
    • Plan for future oriented workforce, including capabilities and skills set to balance growing and reduced IT demand and capability.
    • Collate and analyse the allocation of existing external and internal resources to meet the demand.
    • Assign available resources to portfolios, programs and projects in accordance with their skillset, experience and availability.
    • Monitor and manage project teams' workload, utilisation and overtime hours.
    • Manage resource conflicts or over-utilisation
    • Overcome resource shortages by reallocating resources, assigning more resources etc; informing relevant stakeholders of any issues relating to inability to meet clients' needs due to resourcing.
    • Support project teams with resource management issues and improve resource management processes.
    • Compile monthly resource allocation and utilisation reports.
    • Review and recommend improvements on project and programme capacitation strategies.
