    Events and Administration Coordinator

    The Role:

    • The Events and Administration Coordinator plays a pivotal role within the Marketing function, supporting the execution of brand initiatives, corporate events and operational coordination across the business.
    • This is a hands-on, high-responsibility role suited to a highly organised and proactive individual who thrives in a fast-moving environment and can manage multiple workstreams simultaneously. The role requires strong operational discipline, attention to detail and the ability to deliver consistently high standards across both events and administrative functions.
    • This is an office-based role in Cape Town (Monday – Friday).

    The duties and responsibilities of this position include (but are not limited to):

    Travel & Logistics Coordination

    • Manage domestic and international travel arrangements for staff, including flights, accommodation and transfers.
    • Maintain accurate travel records and ensure adherence to company travel policies.

    Executive & Operational Support

    • Provide executive administrative support when required, including diary coordination and correspondence.
    • Act as backup to the Executive Assistant during periods of absence or peak demand.
    • Maintain strong operational oversight to ensure seamless day-to-day coordination.

    Events & Brand Activations

    • Plan, coordinate and execute internal staff events, corporate functions and brand activations.
    • Manage event logistics end-to-end, including venue sourcing, supplier coordination, catering, setup and on-site execution.
    • Ensure all events are delivered on time, within budget and aligned with Sygnia’s brand standards.
    • Coordinate logistics and provide on-site support for marketing shoots, including research, location sourcing and preparation. (Flexibility to work outside standard hours when required.)

    Procurement & Supplier Management

    • Manage supplier relationships, track orders and oversee payments to ensure timely delivery and resolution of discrepancies.
    • Source new vendors where required and negotiate within approved budget parameters.

    Marketing Collateral & Client Gifting

    • Oversee the distribution and management of marketing collateral, branded materials and promotional items.
    • Conceptualise and coordinate client gift packs in line with brand guidelines and budget controls.

    Social Media & Content Support

    • Capture high-quality content at company events and staff functions.
    • Compile and deliver content assets to the Marketing team for publication across relevant platforms.

    Qualifications and Experience:

    • Relevant tertiary qualification.
    • 3–5 years’ experience in events coordination, marketing operations, administration or executive support within a corporate environment.
    • Advanced proficiency in Microsoft Office.
    • Strong organisational and project management skills.
    • Excellent written and verbal communication skills.
    • Strong brand awareness and attention to detail.
    • Valid driver’s licence with own reliable vehicle.
    • Demonstrated ability to work independently and manage competing priorities effectively.

    Junior Employee Benefits Claims Administrator

    ROLE DESCRIPTION:

    • Sygnia is the fastest-growing multi-management company in South Africa. Join this dynamic company by becoming a part of their Employee Benefits Administration team as a Junior Employee Benefits Claims Administrator.

    DUTIES AND DAILY RESPONSIBILITIES:

    • Checking documentation received for benefit claims is complete and following up on outstanding documentation.
    • Disinvestment and payment of all types of claims within the required turnaround times (e.g. divorce, death, retirement etc.)
    • Applications for tax directives from SARS.
    • Following up promptly where tax has failed.
    • Updating claim notes on workflows directly onto Everest.
    • Monitor workflow reports daily.
    • Scanning and archiving physical documents in the department.
    • Capturing nomination of beneficiary forms onto Everest.
    • Working closely with all relevant parties, e.g. internal and external consultants, administrators, management, fund accountants etc.
    • Assisting members, consultants and other stakeholders with queries via both email and telephone.

    ROLE QUALIFICATIONS AND EXPERIENCE:

    • Matric is essential, as a minimum requirement.
    • Working knowledge of Excel and Microsoft Outlook.

    COMPETENCIES REQUIRED:

    • Must be fluent and articulate in English. Strong communication skills are essential – both written and verbal

    Operations Consultant: Indexing

    ROLE DESCRIPTION:

    • We are looking for a detail-oriented and efficient Indexer to join our team. In this role, you will be responsible for indexing information and integrating it into our workflow systems.  The successful candidate will ensure that all data is properly categorised, searchable, and accessible, allowing for smooth tracking and management.  Your work will help ensure that all case-related documentation is organized and routed correctly through various stages of the workflow process. 

    DUTIES AND RESPONSIBILITIES:

    • Working in a LISP environment administration.
    • Index incoming emails to ensure proper categorisation and easy retrieval within our email management system
    • Analyze and Index of all incoming documents timeously within the agreed Service Level Agreement.
    • Ability to split incoming documents received before indexing.
    • Accurately Input case data into a central case management system
    • Managing undelivered emails
    • Investigating and resolving all items not indexed within the Service Level Agreement.
    • Collaboration between the Retail operations team and the Client Service Team.
    • Collaborate with IT and systems teams to ensure email indexing tools and software are effectively configured and performing optimally.
    • Maintain a good internal department relationship to ensure that you get the maximum support collaboration.
    • Understand and adhere to the policies, standards and procedures applicable to the role.
    • Monitor workflow processes to identify potential bottlenecks and recommend improvements for efficiency and accuracy in case indexing. Immediately report any findings to the Retail Manager for discussion and resolution.
    • Assist in training and onboarding new team members in case indexing procedures and workflow systems
    • Facilitate that all timing standards are maintained and that you report anomalies to the Line manager to investigate.
    • Ensure all case data is properly stored, archived, or disposed of according to company policies and compliance requirements
    • Maintain a healthy team spirit by assisting peers where needed.

    ROLE QUALIFICATIONS AND EXPERIENCE:

    • Post Matric
    • 1 year experience of data capturing or in administration.
    • Excellent written and verbal communication.
    • Strong working knowledge of word processing, and spreadsheets (Microsoft office).
    • Product knowledge of Lisp and Retirement Products.
