    Executive Assistant - CFO

    Purpose of the position:

    The purpose of this position is to provide a professional, effective administrative support and assistance to the Chief Financial Officer (CFO).

    Minimum Requirements    

    • Degree / diploma in Secretarial/Business Administration; or two to three years related experience and/or training; or equivalent combination of education and experience
    • Minimum of 5 years related experience in a medium sized organization
    • Experience in online systems (e.g. Fraxion, SharePoint)
    • Proficiency in Microsoft packages
    • Proficiency in writing and verbal communication
    • A valid driver’s licence

    Duties and Responsibilities    

    • Administration
    • Processes managers’ correspondence and prepares drafts, edits and formats letters and documents; collects and analyzes information; initiates communications on behalf of the CFO.
    • Manages telephone calls, coordinates daily and monthly schedule, coordinates arrangements for meetings and appointments for the CFO and provide support to direct reports as necessary,
    • Maintains appointment schedule/diary by planning and scheduling meetings, conferences, online meetings for the CFO and provide support to direct reports as necessary,
    • Maintains an effective and confidential recording and filing system, including archiving of the relevant records
    • Processes documents requiring signature and assists with facilitating requests as necessary
    • Provides administrative support to CFO teams as required (including managing banking relationships)

    Meetings

    • Attends to and monitors urgent enquiries and issues, ensuring that they are brought to the CFO’s attention and, where relevant, referring matters on to appropriate staff for response.
    • Provides comprehensive support to meetings, including preparing minutes of meetings, transcription and dictation
    • Liaises with internal departments and unit managers regarding operational issues
    • Organises meetings and conferences, linking with venues and facilitators

    Travel

    • Provides coordination support for the CFO’s travel as well as CFO direct reports as required
    • Assists the travel desk with ad hoc travel requests

    Office Management

    • Supports the office manager to ensures adequate office supplies by checking stock to determine inventory level and anticipating needed supplies
    • Petty cash supervision and cash dispensing

    Operations (subsidiary company)

    • Provide active logistical and operational support for training activities (including accreditation)
    • Provide administrative support for processing and signing of transactions
    • Promotion and marketing of the subsidiary organisation’s profile through social media and other platforms

    Other

    • Follows up on work assigned to managers to ensure that deadlines are met
    • Prepares reports by collecting and analyzing information as requested by CFO
    • Other tasks as required by the CFO
    • Provides operational support to the entities subsidiary company
    • Arranging of events for staff related milestones and supporting team building activities

    General Worker

    Purpose of the position:

    • To ensure that the offices are kept clean and tidy and that the refreshment areas are stocked with refreshments and crockery at all times. (This is a contract position renewable based on funding)

    Duties and Responsibilities    

    • Cleans all offices, training/meeting/boardrooms, kitchens and refreshment areas on a daily basis
    • Empties bins on a daily basis
    • Prepares tea/coffee for office staff or visitors
    • Keeps the tea/coffee area stocked with clean crockery and cutlery
    • Checks that there is sufficient stock of all consumables i.e. coffee, tea, sugar, milk in the refreshment area
    • Places orders for stock of tea, coffee, milk and sugar timeously
    • Maintains a constant supply of hot water by regularly replenishing the water in the urn
    • De-scales the urn on a regular basis

    Nurse Clinician

    Purpose of the position: 

    The nurse clinician ensures linkage to care and ARV initiation within the inmate population across multiple correctional centres.  The nurse clinician will provide quality assurance around HIV testing (RT-CQI) and mentorship of correctional service staff on HIV management and ARV initiation.

    Minimum Requirements    

    • Grade 12 / matric
    • Nursing degree (4 years) / diploma
    • Proven supervisory / management experience (3 years)
    • SANC Registered (current)
    • NIMART (with PoE) certified with a proven track record of ARV initiations
    • Dispensing licence - an advantage
    • Proficiency in English & isiZulu languages
    • Valid code driver’s licence & own transport
    • Clear criminal record

    Duties and Responsibilities    

    • Provides HTS support, linkage to care and NIMART to inmates and remand detainees
    • Ensures that HIV positive inmates have CD4 counts, are staged, started on ART as per guidelines. 
    • Ensures 100% of inmates living with HIV receive ART
    • Proactively manages viral load suppression of inmates on ARVs
    • Ensures that eligible inmates are offered isoniazid preventive therapy (IPT)
    • Ensures linkage officers are capacitated to follow current HIV, TB and STI screening guidelines. This includes NSP (2017 – 2022) ; 95-95-95 strategy; plus NDoH initiatives eg: Operation Phuthuma
    • Provides onsite training and mentoring of clinical staff (linkage officers) to ensure HTS targets are reached
    • Works in close collaboration with DCS staff to meet annual performance plan (APP) for HTS and linkage to care targets
    • Works closely with the QA/QI manager to support correctional centre-based QA/QI initiatives. Assess local data to identify gaps (PDSA) and implement change ideas
    • Supports HTS based quality assurance (RT-CQI)
    • Interacts regularly with each correctional centre across the allocated management areas on a rotation basis
    • Ensure all THC centre-based staff submit monthly narrative timesheets, leave applications (annual / sick / family responsibility)
    • Submits centre-based reports on HTS linked targets
    • Supports national / regional / management area / centre programme meetings where required
    • Coordinate regular staff meetings with linkage officers and clinic staff (on site);
    • Attends technical team meetings.  Maintain a current understanding of all HTS linked guidelines, and NDoH developments with respect to procedures, protocols and clinical care

    Facilitator

    The purpose of this position is to facilitate multisession evidence based structural programmes to vulnerable AGYW to provide information and promote positive behaviour change in a safe space.

    Minimum Requirements    

    • Grade 12 certificate 
    • Accredited / recognised counselling certificate 
    • Facilitation training and beneficiary of PPPrev programme would be an advantage 
    • One-year experience working in the community or completed the THC economic strengthening programme /internship 
    • Computer literate in MS office

    Duties and Responsibilities    

    • Introduce structural programmes and obtain entry in schools, institutions of higher learning

    • Conduct vulnerability screening and identify the vulnerable girls to participate in structural sessions 
    • Provide multisession structural programmes 
    • Ensure layering between structural programmes and behavioural and biomedical services

    Peer Educator

    Purpose of the position:

    The peer educator  will conduct mobilization and case management of beneficiaries of the HIV Prevention program and become an integral part of the entry point to the HIV Prevention program in a Non-Clinical site and/or community that links the community into care. 

    Minimum Requirements    

    • Grade 12 / matric 
    • 1-year related experience and training; or equivalent combination of education and experience 
    • HIV Counselling certificates 
    • Certified to conduct finger prick testing

    Duties and Responsibilities    

    • Conducts mapping to identify hots spots to conduct mobilization and identifies CBOs /youth ambassadors 
    • Conducts mobilizing by using all the mobilization strategies trained on and ensure that they meet their daily mobilization targets and record in the mobilization register 
    • Provide virtual and face to face support according to the needs of the AGYW 
    • Supports the team in assessing the needs of youth in relation to HIV prevention, linkage to care and adherence to treatment and implements effective case management strategies 
    • Submits mobilization and case management tools weekly to peer coordinator
    • Participates in interdisciplinary team meetings and case management

    Clinical Trainer

    Purpose of the position:

    Oversee, facilitate and support training which is conducted by the organization in the field of HIV, TB, STI, primary health care and structural programs with TB HIV Care, Department of Health and partners. (This is a contract position renewable based on funding)

    Minimum Requirements    

    • Post-graduate Diploma in Nursing education /Certificate/diploma in HIV/AIDS management 
    • An accredited certificate in facilitation and assessment or equivalent experience 
    • 5 years’ experience as Clinical Trainer or Training within HIV field 
    • 2 years’ experience in initiating patients 
    • NIMART trained and certified
    • Trained on PC101 (Adult Primary Care) 
    • Computer literate in MS Office 
    • Proficiency in English and IsiZulu languages 
    • Valid code 08 driver’s license

    Duties and Responsibilities    

    • Liaise with regional manager and training department to carry out training according to work plan and organizational priorities
    • Conducts training on the following topics TB, HIV, ART, STI’s, Adult Primary Care (PC101), NIMART, PMTCT, HIV rapid testing, RTCQI, IPC, CQIMMC, including guideline updates and refresher training 
    • Conducts skills audits and develops training plans in liaison with key programme staff and Department of Health and others in accordance with required outputs 
    • Evaluates trainees using standardized assessment procedures 
    • Conducts assessments and supports the completion of POEs for training where required 
    • Maintains good working relationships with the Department of Health, Regional Training Centre and other stakeholders 
    • Completes necessary reports after each training event, as well as weekly and monthly reports 
    • Ensures training events facilitated by external parties comply with reporting requirements

    Peer Educator

    To conduct out-reach activities in the sex worker community by providing current accurate health information, mobilisation of SWs to the mobile unit and linkage to care.

    Minimum Requirements    

    • Grade 10
    • Accredited or recognised counselling certificate
    • Minimum 1 – 3 years’ work experience in the sex industry or experience as a peer educator
