    Payroll Administrator

    Job description

    Reports to: Payroll Manager

    Primary Purpose(s) Of Position

    To ensure the smooth running of both payroll and human resources administration.

    Responsibilities

    • Payroll Administration
      • Process monthly input which include engagement, discharges, allowances, deductions, leave forms and overtime and issue employee pay slips.
      • Complete all necessary systems and control documentation relating to employees’ employment, pay and benefits.
      • Ensure that all employees have an up to date annexure A on their files.
      • Responsible for UIF reconciliation and submission of UIF file to declaration departments.
      • Ensure excellent customer service in terms of handling any remuneration and benefits queries promptly and professionally.
      • Compilation and distribution of IRP’5 and IT3 (a) certificates to employees and SARS (midyear (August) and annually (February).
      • Ensure that all employees are taxed correctly and that their PAYE balances at the end of the tax year.
      • Ensure that OID report is done annually by April of each year and payment done on time.
      • Compilation of monthly accounting journal for Aftermarket payroll. Compilation of various payroll reports for finance department at month-end.
      • Reconciliation of all payroll deductions at month-end and ensure payments are made to all 3rd parties on time.
      • Printing of payslips for all payrolls on a monthly basis.
      • Compile employee time, production and payroll data from the time and attendance system (Kronos) and other records.
      • Ensure calculation of overtime worked is correct.
      • Verify attendance, hours worked and pay adjustments and post information onto designated records.
      • Record employee information, such as resignations, promotions and personal detail changes to maintain and update payroll records.
      • Issue and record adjustments to pay related to previous errors or retroactive increases.
      • Keep informed about changes in tax and deduction laws that apply to the payroll process.
      • Keep accurate record of leave entitlement.
      • Reconcile payroll to financial balance and income sheets.
      • Assist with payroll audit preparation.
      • Responsible to complete and meet all deadlines on assignments and projects received from the Payroll Manager.
    • Employment Equity
      • Ensure correct setup of Employment Equity screens and reports on VIP for all payrolls.
      • Assist with Employment Equity newsletter.
      • Skills Development
      • Ensure correct setup of Skills Development screens and reports on VIP for all payrolls.
      • Assist all staff with TMS when requested.
      • Assist with Skills Development newsletter.
    • HR Administration
      • Maintain all existing employees‘ files and archive ex-employees files – accurately and timely.
      • Participate in, and assist with any other HR/People events and interventions as and when required e.g. induction presentation, on boarding of new employees.
      • Initiate purchase orders and payment requisitions in line with set procedures.
      • Ongoing advice & support on company HR policies, benefits and procedures to employees and all business units.
      • Responsible to complete and meet all deadlines on assignments and projects received from the HR Director
      • Process, verify and maintain documentation relating to employee activities such as training, grievances, disciplinary hearings and performance reviews.
      • Compile and submit various monthly headcounts, absenteeism, organogram (incl photo organogram), hourly reports, sick & annual leave reports and Hyperion Headcount report by the 3rd of each month.
      • Terminate employees on TMS.
      • Book employees on training and ensure that invoices are paid.
      • Ensure all employees’ have an updated Job Description on file.
    • General
      • You undertake to obey, comply and carry out all lawful and reasonable duties and instructions, as from time to time assigned to you by your Manager.

    Requirements

    Education

    • Matric, Tertiary qualification in Human Resources/Payroll Administration
    • Advanced VIP Payroll Administration Certificate

    Experience

    Minimum/Essential: 5 years experience in HR and Payroll
