Effective managing of the OPFA’s mailboxes (emails and faxes), attending to incoming mail within 24 hours from receipt.
Distribute further submissions from complainants/funds/employers to Administrative Assistants, Case Officers, and Assistant Adjudicators within agreed timeframes.
Respond to emails or faxes requesting further information where submissions are inadequate or misdirected and refer complaints to the correct entity if necessary.
Capture new complaints received via email on software program (Respond) within 48 hours of receipt.
Check for accuracy of data and use appropriate sources to obtain correct data (Google, FSCA Website, CIPC Search, Respond, etc)
Submit monthly statistics regarding new complaints received via email and processed.
Assist walk-in and email complainants with lodging complaints and gathering all required documentation.
Ensure that complaint information on complaint form is correctly recorded and provide guidance to complainants on the necessary documentation.
Implement instructions from the NCU Supervisor efficiently and accurately.
Demonstrate a customer-centric approach and respond to all enquiries and complaints timeously and professionally.
Maintain clear and professional communication with complainants and internal stakeholders.
Requirements
Matric (Grade 12).
At least 2 years’ experience in office administration and data capturing.
Proficiency in Microsoft Office, especially Outlook and excel.
Strong verbal and written communication skills.
Good customer service and interpersonal abilities.
