    Administrative Assistant x1 (Internal/External) Hay level 9 (North West)

    Description

    • Documentation Management – correct typing of documents, memos and letters as required.
    • Filing – maintain efficient documentation management system, including deviations.
    • Administering of all incoming and outgoing mail.
    • Book meetings and minute taking.
    • Effective telephone etiquette (making and receiving telephone calls, screening calls, taking messages, etc.)
    • Reports – compile monthly, memorandums and other reports as required by department.
    • Help manager(s) with Management Committee document preparation, submissions, and proper filling for ease of retrieval.
    • Conference room booking – ensure that conference room occupation is managed and ready for use.
    • Organising of team building sessions and departmental functions; and
    • Any other job that the Manager/department deems necessary for the smooth flow of business for the department to advantage and facilitating NTP’s sustainability.
    • Submission/ keeping records of all overtime/sheets.
    • Assist with diary management.
    • Assist with travel arrangements (including transport, accommodation, etc.); and
    • Access arrangement for external visitors and all necessary preparations
    • Maintain sufficient stock levels of consumables and stationery.
    • Ordering of consumables/stationery and receiving of orders.
    • Placing orders and following up with releases.
    • Manage use of consumables; making sure that everything is utilized properly and good control.
    • Daily maintenance of printers (Ensuring there is enough paper in and that printer is in a workable state); and
    • Creating of purchase requisition on the workflow system
    • Ensure that all departmental Lebo observations are handed in.
    • Assist with booking of safety training and maintain departmental training Metrix  

    Requirements
    KEY KNOWLEDGE & SKILLS

    • Providing comprehensive and efficient administrative support to the Maintenance department.
    • A consistent awareness of the requirements that will ensure a safe working environment.

    MINIMUM QUALIFICATIONS & EXPERIENCE

    • N6 or Diploma in Administration/Secretarial
    • 1 to 3 years’ experience in administration / secretarial role
    • Microsoft office proficiency
