    Admissions Administrator

    Job Description

    • The South African College of Applied Psychology (SACAP) is the leading independent provider of education in psychology, counselling and coaching, offering accredited undergraduate and postgraduate qualifications. 
    • SACAP is looking for an Admissions Administrator for the Pretoria Campus. The Admissions Administrator is responsible for the administration, documents and tracking of all new students at SACAP. This position is a supportive position for the Admissions Manager and duties stipulated by him/her.

    Responsibilities:
    The candidate will be required to perform various functions that would include:

     Follow up and refer all enquiries using the CRM system in close collaboration with other staff in the admissions department:

    • Send templates to each student
    • Refer students who request a call to the relevant Admissions Officer
    • Allocate new leads to Admissions Officers
    • Input all new enquiries onto the CRM system

    Assist the marketing team at SACAP with in-house and external events:

    • School Expo’s
    • Make sure there is enough marketing material
    • Represent the College in a professional way

     Organize all application procedures for specialized programmes:

    • Set up interviews
    • Checking documents
    • Acceptance letters
    • Letter of regret
    • Waiting list and letters
    • Liaise between students and programme heads

    Participate at SACAP Information Evenings and Open Days throughout the year:

    • Make sure information packs are made
    • Make sure all information given is up to date
    • Assist with arranging orientation programs, educational workshops and graduation programs for students

     Monitor and update ALL SACAP Social Networks and the CRM system:

    • Updating all systems such as CRM, Student Base and student Manager, insuring tagging and inserted information is correct.
    • Linking students with other departments within SACAP
    • Input all necessary data on all information systems (finance, administration, student support etc)

     Monitor and follow through with all prospective students:

    • Leads on CRM
    • Refer Walk ins, Emails, Telephone calls to Admissions Officers

     Provide information for all stakeholders of SACAP on the various qualifications:

    • Maintain a database of student information, telephone logs and student feedbacks in order to generate student reports for management whenever required

    Assist students with registration process and study plan:

    • Application forms
    • Registration forms
    • Financial Documents
    • Provide assistance to the students to complete the enrolment forms
    • Review all the students’ applications and refer the students to financial services personnel if required
    • BioPsychoSocials
    • Visa letters
    • Other relevant documents

     Filing and tracking all new student documentation:

    • File and track all documents received in an organized manner
    • Follow up on all outstanding documents required by Admissions Officers
    • Maintain tracking forms for all additional processes that fall outside of the general application form

    Student Support:

    • BiopsychoSocials
    • Visa letters

    Finance:

    • Debit Orders
    • Term payments
    • Annual payments

    Specialised programmes:

    • Honours application processes
    • BPsych application processes
    • PGDC application processes


     Tasks as indicated by the Recruitment Manager from time to time:

    • Provide reports on admissions activities, student interviews, admission publications, and information sessions
    • Provide support to the Administrators when needed


    Qualifications and Experience:

    • Diploma level or above in related field
    • Experience in the field of marketing/ sales/ administration

    Skills:

    • Excellent administration, organizational and time-management skills
    • Excellent written and computer skills suitable for tracking all administrative processes within the admissions department
