    GEM Assistant

    Purpose of the role

    Global Entity Management assistant responsibilities include providing support services including, but not limited to, document/filing preparation, review to ensure compliance and good standing, and building and maintaining client relationships through high quality service delivery. The right candidate will have exceptional customer service skills and time management.

    Key Functions and Responsibilities

    • Manage multiple clients with governance work;
    • Respond to general entity management requests, on a day-to-day basis from clients, auditors and internal staff;
    • Manage client entity governance data as new clients onboard or exit and as governance data changes from time to time.
    • Work with service teams to establish reporting to be pulled periodically from the database to support deadlines.
    • Take on special projects
    • To work simultaneously with various entity and file management platforms.
    • Support to business for client onboarding process for service delivery and implementation of tools
    • Collaboration and coordination of service delivery with local offices, client and Client Service Relationship  and Onboarding teams.
    • Expected to use Viewpoint, workflow technology and any other technologies/tools that make day to day work more efficient and improve our client experience.

    Competencies and Skills

    • Understanding of legal language and principles, research methods, and other related matters.
    • Excellent verbal and written communication skills. Advanced English verbally and in writing
    • Ability to embed new way of working and technology
    • Accountable, Proactive and Thoughtful
    • Knowledge of Microsoft Office applications
    • Self-starter; proactive and solution-oriented
    • Detail-oriented, analytical, flexible, and able to adjust easily to changing work demands
    • Ability to handle sensitive and confidential information with care and in line with business requirements
    • Excellent interpersonal and customer service skills.
    • Excellent time management skills with a proven ability to meet deadlines.
    • Strong analytical and problem-solving skills.
    • Ability to function well in a high-paced and at times stressful environment.

    Experience and Qualifications

    • Paralegal or Admin diploma
    • 1-2 years  working experience
    • Fluent, clear, and concise in English written and oral communication.
    • Embraces and drives for change.
    • Passion, dynamism, and drive
