    HR Project Administrator (6 Months FTC)

    Role Purpose:

    • The Overall purpose of the role is to provide project administration support for the UK annual HR projects and processes.  The focus is in the delivery of HR projects including but not limited to Trainee’s, Graduate Recruitment, Salary Review and Fee Earner Practicing Certificates.

    Roles & Responsibilities:

    Graduate Recruitment:

    • Provide project support for graduate vacation schemes.
    • Manage and coordinate all onboarding documentation required.
    • Manage project timelines.
    • Set up new joiner instructions in iPublish.
    • Manage Right to Work and Conflict checks.
    • Prepare payroll information packs.
    • Prepare and send trainee offers.
    • Coordinate timelines and preparation for financial assistance for the students

    Trainee Development:

    • Coordinate trainee life cycle events including trainee onboarding, newly qualified admission and promotions, seat moves and secondments.
    • Manage project timelines and coordinate support including setting up project meetings, minuting project meetings and circulating to stakeholders.
    • Set up new joiner communication in iPublish
    • Monitor and manage trainee onboarding including pre-employment screenings, conflicts, medicals, and onboarding documentation.
    • Establish own process for administering assigned tasks and ensure that these are aligned to the project timelines.
    • Monitor pre-employment screening and flag any issues with the Senior HR Operations Manager.

    Practicing Certificates:

    • Support Senior HR Operations Manager in the global annual practicing certificate renewal
    • Reach out to International offices to maintain up to date lists of England and Wales qualified lawyers.
    • Set up and coordinate project meetings.
    • Maintain SRA website with new joiners and leavers.
    • Coordinate project timelines with Senior HR Operations Manager and key project stakeholders.

    Additional roles or responsibilities:

    • Set up monthly payroll meetings with payroll team and HR Ops team.
    • Ensure that the monthly third party invoices are paid in line with Service Agreements.
    • Coordinate and support additional key HR projects.
    • Perform additional duties or responsibilities, which fall reasonably within the ambit of the job description, or in accordance with operational requirements.

    Requirements profile:

    Education:

    • Grade 12 or equivalent
    • HR Degree or equivalent tertiary qualification

    Experience:

    • Minimum 2-3 years’ experience working in an administration role
    • Experience working in a shared service or international organization

    System Skills:

    • Microsoft Office - Advanced
    • HR Systems – Recommended
    • Workday – Recommended

    Mental & Environmental / Legal Requirements:

    • Must be extremely organized.
    • Must be able to work to deadlines
    • Must be able to handle high volumes of work
    • Must maintain high confidentiality at all times
    • Must have an understanding of the organization in order to deal with any general queries
    • Must have a clear criminal record
