    Integrated Management System Administrator (Hay Level 12/C1) (Internal & External)

    Key Performance Areas

    Document Management:

    • Establish document Management Philosophy, Policy and Procedures.
    • Ensure registration and revision of Pelchem controlled documents.
    • Arrange training of selected staff in use of the DOCMAN system.
    • Publish and distribute documents according to classification.
    • Ensure back up of documents are done, either by hard copy or soft copy.
    • Check compliance to document management procedures.
    • Keep records as per regulatory and other requirements.

    System Development and Maintenance

    • Implement and maintain the Integrated Management System (IMS) in compliance with applicable standards (ISO 9001, ISO 14001, ISO 45001, etc.).
    • Maintain and update IMS policies, procedures, and manuals.
    • Ensure the integration of IMS requirements into all business processes.
    • Establish folder structure on backup server of Pelchem.
    • Establish and manage updates of standard document templates.

    Auditing and Compliance

    • Coordinate and facilitate internal and external audits, including certification and surveillance audits.
    • Conduct internal audits to identify non-conformities, risks, and areas for improvement.
    • Maintain records of audit findings, corrective actions, and continuous improvement initiatives.
    • Ensure compliance with legal and regulatory requirements related to quality, health, safety, and the environment.
    • Plan the Management reviews meetings schedule and generate monthly performance reports on IMS.
    • Identify applicable regulations and monitor changes, and determine whether they apply to operations and processes within Fluoro-chemicals.
    • Participate in stakeholders engagements ( meetings, workshops, audits, investigations, customer complains)
    • Train employees on requirements of Doc-man and NCR procedure.
    • Assist employees in closing out NCR.
    • Maintain a register of accidents and injuries and provide an analysis on a monthly basis and participate in all incident investigations.
    • Conduct trend analysis of all NCR’s and submit monthly reports.

    Training and Awareness

    • Organize and conduct IMS awareness and training programs for employees at all levels; and
    • Promote a culture of compliance and continuous improvement across the organization.

    Requirements

    Minimum Qualifications and Experience:

    Minimum Qualifications:

    • National Diploma in Total Quality Management or Office Administration. NQF level 6.
    • Certification in ISO standards (e.g., ISO 9001 Lead Auditor,ISO 14001 Lead Auditor)

    Minimum Experience:

    • Minimum 3 year’s work experience with the IMS/QMS administrative work.
    • Experience in advanced computer literacy Microsoft and Windows, IT systems, Docman & Share point software will be advantageous.
    • Experience in Quality Management System ISO 9001, Implementation, internal auditing and Working with Integrated Management system (Minimum 2years’ experience)
