    Maintenance Clerk (Services)

    Key Performance Areas:

    • The Administrative Clerk plays a vital role in supporting the Maintenance Foreman and the maintenance team by handling administrative tasks efficiently. This role involves organizing and coordinating various administrative functions to ensure the smooth operation of the maintenance department.

    Documentation and Record-Keeping:

    • Maintain accurate and organized records of maintenance activities, work orders, and job cards.
    • Ensure timely and proper filing of documents for easy retrieval.

    Communication:

    • Facilitate effective communication between the Maintenance Foreman, technical staff, and external contractors.
    • Respond to queries and requests promptly.

    Scheduling and Coordination:

    • Assist in scheduling maintenance tasks, appointments, and inspections.
    • Coordinate with internal and external stakeholders to ensure timely completion of tasks.

    Inventory Management:

    • Assist in managing inventory and ordering office and maintenance supplies.
    • Keep track of stock levels and reorder when necessary.

    Data Entry:

    • Input data accurately into relevant systems, databases, and spreadsheets.
    • Generate reports and summaries as needed.

    Knowledge and Skills:

    • Minimum of 2 years of experience in administrative roles, preferably in a maintenance or related field.
    • Administrative Skills:
    • Proficient in office software (Microsoft Office Suite, Google Workspace).
    • Strong organizational and multitasking abilities.
    • Communication Skills:
    • Excellent verbal and written communication skills.
    • Ability to interact professionally with internal and external stakeholders.
    • Attention to Detail:
    • High level of accuracy and attention to detail in data entry and record-keeping.
    • Team Collaboration:
    • Ability to work collaboratively with the maintenance team and other departments.
    • Time Management:
    • Effective time management skills to prioritize tasks and meet deadlines.
    • Problem-Solving:
    • Capacity to identify and resolve routine administrative issues independently.
    • Confidentiality:
    • Understanding of the confidential nature of certain information and the ability to handle it appropriately
