A position is available for an organized and detail-orientated Office Co-Ordinator/Receptionist.
The successful candidate will report to the Personal Assistant of the Managing Director and must be able to co-ordinate various office and reception tasks to ensure the office and reception operations always run smoothly.
Responsibilities:
Attend to visitors by greeting, welcoming, and directing them appropriately;
Notify personnel when their visitors arrive;
Maintain stock levels for office supplies by submitting purchase requests to management;
Manage kitchen supplies and order stock when necessary, according to set guidelines;
Assist in preparing board rooms;
Assist in preparing for functions;
Co-ordinate all maintenance complaints;
Co-ordinate and allocate access control;
Update internal telephone list on a monthly basis;
Manage the switchboard in a professional manner and route calls to the appropriate personnel;
Maintain security by following procedures, monitoring logbook and issuing visitor’s badges; and
Ensure reception and public areas are kept neat and tidy.
Skills, Qualifications and General Requirements:
Grade 12 qualification;
At least 2-3 years experience in a similar position;
Fluent in Afrikaans and English;
Computer literacy and knowledge of the MS Office package;
Excellent communication and interpersonal skills;
Professional appearance; and
Excellent multi-tasking and time management skills
