    Programme Coordinator

    Key performance areas

    • Manage and coordinate multiple projects within APFP (including fellowship administration; ancillary services division; APFP facilitators, etc.) within the constraints of scope, time and budget.
    • Develop project plans including goals, scope, budget, deliverables, resources needed, schedules, timelines and methods to ensure timely completion of programme deliverables.
    • Manage and maintain good relations with all internal and external stakeholders(i.e.  APFP funders; APFP fellows and prospective candidates; UCT staff; APFP staff and committee members; African institutional partners; external agencies and affiliation institutions; Vendors and Suppliers; and those generally interested in the fellowship programme.)
    • Ensure strong communication channels that result in early problem identification and trouble shooting
    • Develop and document work procedures and processes.Test all documentation for correctness and application.
    • Identify and provide resources required by project teams for efficient project and programme implementation.
    • Track and report progress of the programme activities at regular intervals.
    •  Conduct and coordinate basic research activities to support programme development.
    • Manage and oversee all activities of the senior secretary and database and web administrator, actively supervising, providing direction and training.
    • Building an amicable and effective working relationship with APFP team.
    • Develop and maintain a detailed project schedule which includes administrative tasks.
    • Identify training needs and organise relevant training initiatives
    • Perform performance assessments of relevant staff and provide specific constructive performance feedback to staff at regular intervals
    • Co-ordinate activities related to human resource provision including: recruitment, contract management
    • Coordinate activities related to human resource  maintenance in regard to conflict resolution including: grievance procedure, disciplinary procedures
    • Liaise with finance staff at SCAH regarding financial management, providing data entry and input and track actual performance against planned performance, analyzing variances, scheduling expenditure and initiating corrective actions while maintaining control of the programme.                                                                                                                                                                                                                                                                                                                                                                                                                                   
    • Monitor project progress and project expenditures and effectively negotiate changes in scope with programme funders when necessary.

     

    Minimum requirements to apply for this position:

    • 3-5 years relevant Office Administration experience.
    • Staff management experience advantageous
    •  Demonstrated evidence of managing projects and budgets.
    • Well-developed leadership and management skills.
    • Excellent writing and communication skills.
    • Strong numerical skills.
    • Ability to adhere to funder requirements.
    • Knowledge of UCT policies and procedures essential.
    • Computer skills essential: MS Word, MS Excel, Microsoft Access, Microsoft Outlook and internet.

     

    Abilities, qualifications or experience that would be an advantage in your application

    • Grade 12 with Mathematics or Accounting

    • Self-motivated, able to work independently and work as part of the team
    • Able to work under pressure and adhere to deadlines
