Property Officer - Mossel Bay at Transnet

Position outputs:

• Obtain valuation from Valuers for periodic review of rentals as per lease agreement, calculate new rental, and prepare agreements and record revised rental to ensure maximum income for NPA.
• Issuing and capturing of source documents onto the Real Estate Invoicing System for services rendered to ensure that all costs are recovered correctly and timeously and raising of debits/credits for new leases, arrear rentals, credit rentals, increases in rental, decreases in rental, deposit recovery and deposit top ups.
• Perform daily monitoring of correspondence to ensure timeous responses and actions taken where appropriate.
• Obtain approval of lease plans, dispatching of plans including recovery of charges for verge deposits, inspection fees, plan scrutiny fees, etc. to ensure that no construction work or alternation to assets are done without TNPA approved pans.
• Control and maintenance of records, i.e lists of leases, agreement files, rates files, and rent review list, list of tenantscontact details etc. 
• To ensure efficient administration functioning of department and the effective filling of all relevant correspondence for future reference, arbitration, etc.
• Perform functions of the secretary of the port LSEC (Lease Specification & Evaluation Committee)
• Obtain information and compile submission documents in line with the LSEC and NPC (National Property Committee)
• standards from Property Manager who negotiates a new lease and prepare the lease agreements.
• Compiling of various agreements with Annexure’s
• Obtain agreement plans from Drawing Office and calculate rental
• Capturing sources documents and services entries on SAP.
• Updating of valuation database
• Control the BBBEE certificate status of tenants and ensure that BBBEE certificates are annually updated.
• Prepare and arrange for tenders to be advertised in the media
• Assist with the tenders process including the evaluation
• Assist with facilities management and relevant correspondence
• Assist with contract management

Qualifications & Experience:

• Matric
• Certificate in Property Management
• Computer Packages i.e Rave, SAP, Microsoft Office
• 1-3 years’ experience
• Registered with SAOPA (South African Property Owner Association) will be an added advantage
