    Senior Payroll Specialist

    Purpose & Overall Relevance for the Organisation

    • Manage and administer the full payroll function of adidas South Africa.

    Key Responsibilities:

    Payroll:

    • Manage the end-to-end payroll function, which includes:
    • Managing and setting payroll timelines with key stakeholders.
    • Plan, direct, supervise, and coordinate work activities, workload, and distribution of responsibilities between the payroll team members.
    • Manage monthly payroll processing for both back office and retail employees on SAP using the payroll checklists.
    • Managing the processing of retail hours and overtime from the Eco-time system (time and attendance system).
    • Running time evaluation for the full time and part-time payrolls.
    • Creating the Bank payment file and encrypting the file
    • Responsible for the management, delivery, and support of Global payroll related projects.
       

    Administration

    • Maintenance of employee personal files and data maintenance in SAP as well as hardcopy files where applicable
    • Managing and administering employee benefits and annual changes i.e. Hollard beneficiaries nominations forms, pension fund bi-annual changes, medical aid, car benefits etc..

     

    Reporting:

    • Generate monthly payroll variance reports during payroll review.
    • Generate and reconcile payrolls against supporting documentation (Journals, PDME, Net payment reports) for sign off.
    • Create monthly WCA, GL, staff loans, leave provisions reports.
    • Monthly submissions to the DoL – UIF declarations.
    • Monthly EMP201 submissions to SARS. Which includes mid-year and annual tax year end submissions.
    • Monthly payroll reconciliation of 3rd party payments and managing reviews.
    • Monthly 3rd party payment summary.
    • Quarterly stats submissions
    • Annual return of earnings submission (Workman’s compensation) and acquiring of LOGS (letter of good standing).
    • Generate EE reports
    • Adhoc payroll reports to assist with business requirements.
       

    System Maintenance:

    • Manage and maintain payroll changes in SAP test environment and Live / Production environment, which includes however not limited to
    • SAP annual updates and testing
    • Annual statutory tax tables updates and testing
    • Annual employee benefit changes and testing, to be ran parallel in testing processes on SAP RHR before moving into SAP production.
       

    Risk Control:

    • Minimise risk within the payroll function by applying accuracy and attention to detail when processing payroll.
    • Accountable for maintaining payroll compliance and governance, by maintaining payroll controls.
    • Support both internal and external audits. To assist in audit operations and implement audit recommendations.
    • Investigate all payroll errors and take appropriate corrective action timeously.
       

    Policies and Procedures:

    • Ensure that all policies are adhered to according to business requirements within the payroll function.
    • Provide specialist input and guidance to policy updates and or the writing of new policies
       

    Projects:

    • Lead continuous improvement and standardization of all payroll processes and systems.
       

    QUALIFICATIONS

    • To perform this job successfully, an individual must have completed a relevant qualification and 5+ years Payroll experience (of which at least 2 years should be in a people leader role) in a medium-large organization.
