    Storekeeper - Housekeeping (One&Only)

    Key Duties and Responsibilities

    • Ensure cleaning staff is familiar with order process of guest supplies according to the Standard Operating Procedures and that all on the job training is completed on a monthly basis.
    • Ensure that the stock is counted accurately on a daily basis.
    • Ensure the supplies storerooms are adequately stocked and updated with stock cards in place.
    • Ensure all shelves are labeled with the item description.
    • Manage all Guest supplies and cleaning materials’ related concerns which may impact on service delivery.
    • Keep an accurate daily stock control of all Guest supplies and cleaning material inventory.
    • Update daily all Guest supplies and cleaning material stock sheets.
    • Update all Guest supplies and cleaning material invoices from the day before on a daily basis by 10:00, and assess budget allocation for the month.
    • Ensure Inventory Control spreadsheets are completed and signed off by Executive Housekeeper before going off shift.
    • Keep an accurate total of expenditure for the month.
    • Ensure all concerns with service providers are communicated to the Executive Housekeeper.
    • Reconcile all relevant documentation pertaining to all Guest supplies and cleaning material movement.
    • Ensure the all Guest supplies and cleaning material is delivered to the rooms when required.
    • Submit daily checklist to the Executive Housekeeper by the end of each week.
    • Conduct and schedule a monthly inventory stock take by no later than the 25th of each month.
    • Ensure par levels are maintained.
    • Source quotes for all Guest supplies and cleaning material and submit to the Executive Housekeeper for approval.
    • Plan new all Guest supplies and cleaning material deliveries according to revenue and budget allocation.
    • File a copy of the purchase order & update the Order Control Sheet for reference and shortage follow up.
    • Once all Guest supplies and cleaning material has been delivered, the Receiving Clerk is to notify the Housekeeping department.
    • The stock is to be checked immediately, counted and placed in an appropriate storage area.
    • Check the delivered items against the invoice and the invoice is to be compared to the purchase order.
    • Any delivery discrepancies are to be reported immediately to the Executive Housekeeper.
    • Once all stock has been delivered and the delivery is accurate and complete, the invoice is to be submitted to the Purchasing Department for capturing purposes, immediately.
    • Deliveries received during the monthly stock take procedures are to be checked and counted and placed in a separate area as these items will not yet be in the system inventory.
    • Maintain a record file of all items which have been delivered and have been processed by the Purchasing department for reference purposes.

    • The employee will be required to perform similar such duties or tasks in any area of the hotel as may be designated by Management from time to time.
    • The employee will be required to attend training courses as required and continually strive for the improvement of own knowledge and skills.
    • The employee will be required to be familiar with the hotel policy on fire, hygiene, health, safety and emergency evacuation and that all staff in the department participates in fire and emergency drills.
    • The employee will be required to adhere to and have a complete understanding of the employee handbook and adhere to the regulations contained within.
    • The employee will be required, at all times, to maintain a high standard of personal appearance and hygiene and ensure that dress and attire meet with the hotel’s requirements and do not detract from the desired image of the hotel.
    • The employee will, at all times, be required to render the highest level of courtesy and service to hotel guests even where such service may fail beyond the main duties or scope of this position.

    SKILLS AND QUALIFICATIONS

    • Must have completed Grade 12
    • Must have computer knowledge on Word, Excel and Opera
    • Must have accounting skills.
