Vehicle Administrator at SIG Labour & Associates

LIMITS OF AUTHORITY:

• Capital expenditure: No Purchasing authority

MAIN JOB FUNCTIONS:

Stock Book Control

• Recording stock in stock book, allocating a number to the stock, and advising sales team of stock number (possible recording number on vehicle with tape)
• Capturing stock into computer system
• Safekeeping of keys to all stocked vehicles

Orders

• Raising, posting and processing orders
• Correct allocation of orders raised and timeous follow-up to ensure no orders outstanding for any unreasonable time
• Ensure timeous capture and posting of all sublet orders
• Authorisation of all orders

Invoicing

• Ensure all costs are captured onto vehicle before invoicing
• Ensuring complete deal files are collated to assist in costing and invoicing deals
• Processing invoices timeously

Deal Files

• Management of Deal Files
• Correct filing of deals once concluded

Floorplan

• Management and consolidation of floorplan account
• Monthly reconciliation between general ledger and BMW statement
• Continuous consultation with LR finance to ensure only genuine stock appears on floorplan
• Timeous settlement of vehicles

Debtors

• Reconciliation, management, recovery, collection and allocation of vehicles
• Stock location and Sourcing
• Daily reports produced for assisting sales team on current stock, etc.

Banking

• Payment and transfers of all settlements
• Banking of customers' cheques, as well as those from financial institutions

General administration

• Weekly stock counts
• Cross-departmental disciplinaries
• Vehicle admin experience
• Debtors and Creditors experience will be advantageous
