    Service Advisor - Upington

    Job Objectives:

    • Customer satisfaction and complain handling.
    • Planning the workshop utilisation capacity.
    • Calculation & preparation for retail invoicing, internal invoicing and claim handling.
    • To open and process job cards for repairs, maintenance and service.
    • To Transfer all relevant information from job card to computer system accurately.
    • To close job cards and monitor work in progress.

    Customer Service Specialist - Witfield

    Job Objectives:

    • To ensure and manage good Customer relations.
    • Serve as the first point of contact for dealers via support mailboxes, telephone, and Argus on dealer queries.
    • Interface with and respond to all dealer queries in a timely and professional manner.
    • Follow up on all dealer and supplier discrepancies, including credit notes and processing issues.
    • Analyze and act on inbound lead time follow-ups, coordinate with Customs & Freight Controller for Estimate Time of Arrival (ETAs).
    • Liaise with Vehicle off Road (VOR) Procurers/Helpdesks for VOR orders and manage order Class 1 and 2 Back Orders with the central warehouse.

    • Contribute to continuous improvement initiatives within the Customer Service Centre.
    • Ensure continuity of daily operations when acting as back-up within the Customer Service Centre.
    • Coordinate and communicate with internal departments to resolve cross-functional queries.
    • Evaluate dealer survey results and follow up on feedback to enhance service delivery.
    • Manage BA and Dealer ETA reports, ensuring accuracy and follow-through.
    • Handle dealer returns, core returns, and buybacks efficiently.

    Technical Customer Support Manager

    Job Objectives:

    • Act as a liaison between the Volvo Trucks SA (Servicemarket & Retail) and the Key Customers.
    • Providing solutions for the customer that will improve the customer experience and build long term relationships with the customer.
    • Facilitate and expedite technical queries as determined by the customer to the relevant Dealers or Departmental Managers.
    • Continuous Customer Relationship management with regular face to face visits and where necessary with the use of online meetings.
    • To keep the CRM tool monitoring tool up to date related to the technical aspects of the relationship.

    • Monitor and ensure that correct levels of Aftersales support is provided to the key customers.
    • To contribute and be involved with scheduled customer meetings regionally wherever and whenever necessary in order to present a unified Volvo Offer to the customers.
    • Advise and provide guidance to customer on systems (e.g. Volvo Connect, Services) and processes (e.g. VOSP).
    • Participate in the monthly Dealer Quality Meetings (DQM).

    Warehouse Assistant

    Job Objectives

    Receiving/Inbound 

    • Ensure and oversee that the receiving of goods are done according to Volvo procedure.
    • To ensure that all parts are received accurately against documentation and within prescribed time as set by KPI standards. 
    • To timeously record all discrepancies on the GDS system when parts received are not conforming to standards and to document descriptions and part numbers. 
    • Ensure that parts are binned according to system allocations and not according to label allocations. 

    Outbound 

    • Process all customer order requests and ensure correct picking, packing and distribution of parts according to the Volvo procedures. 
    • Must at all times make sure that the system is updated after authorization. 
    • To make sure the correct parts and quantities are dispatched as per invoice. 
    • To provide an efficient and effective service to the workshop by ensuring that all Technicians receive their parts as soon as orders are processed, and parts are picked. 

    Credit Notes 

    • To ensure that credit notes are checked and signed off for processing. All credit notes to be filed in sequence and stored. 
    • To ensure that the correct procedures are followed when processing credits i.e. No electrical parts are returned etc. 

    Perpetual Stock Counts and Bin Verifications 

    • Ensuring that perpetual counts are done on a daily basis as per set quantities on the total volume of the Warehouse. 
    • To make sure a thorough investigation is done when discrepancies occur. 
    • All adjustments to be investigated and updates to be authorized before the system is updated. 

    House Keeping 

    • Ensure warehouse premises (inside/outside) always neat and tidy. 
    • Ensure parts stored correctly. 
    • Ensure all parts are binned correctly. 
    • Ensure waste collected timeously. 
    • Perimeter secure. 

    Exchange Parts 

    • Ensure parts from customer are at the agreed exchange standards (See Manual). 
    • Responsible for physical receiving & storage. 
    • Responsible for preparing supplier/core returns. 
    • Ensure that the packing and labeling of core parts be returned to PDC. 

    Health and Safety 

    • To ensure that all warehouse personnel abide by the rules and regulations set aside in the Volvo procedures regarding health and safety. 

    Qualifications & Job Exprience

    • Matric / Grade 12.
    • Diploma in Warehouse management or a minimum of three years warehousing experience.

    Collections Officer

    Job Objectives: 

    • Debtors control and portfolio monitoring: identification and collection of overdue accounts with accurate reporting.
    • Make quality telephone calls, send clear, concise emails and letters of demand to recover overdue debt as often as required or dictated by policy, mandate and/or legislation, whilst maintaining accurate records.
    • Communicate, coordinate and liaise extensively with debtors, internal Remarketing Specialist, internal commercial teams, other internal departments, attorneys, dealers, and external agents to resolve disputes or queries, collect assets and queries to clear/collect the outstanding debt.
    • Daily tasks which include inter alia: liaison with attorneys, issuing of statements, performing direct debit runs, obtaining debit order mandates, CIPC checks, allocation on system of unknown deposits and/or EFT payments received in bank, reporting, rejected debit order follow up and refund coordination.
    • Contribute to income generation by collecting late payment/past due interest charges.
    • Enforce company credit policies, ensure compliance with local legislation and commend accounts for legal action when necessary.
    • Obtaining insurance confirmations for customers in default, arranging company insurance if required and regular monitoring of insurance confirmations being in place.
    • Be part of projects and system testing as required by business from time to time.
