    Finance Administrator (DTHF-C011)

    The Desmond Tutu Health Foundation is currently recruiting for a one year fixed-term contract Finance Administrator position. The main purpose of the position is to provide appropriate financial supervising, processing and support services to the heads, managers and finance staff within the operational units in accordance with DTHF requirements, policy and procedures.

    Minimum Requirements:

    • National Diploma in Accounting/Finance
    • Minimum of 3 years’ experience in a finance and accounting environment
    • Minimum 2 year experience working on SAP or similar financial accounting system
    • Basic accounting knowledge
    • Proficient in MS office
    • Effective communication (verbal and written) skills
    • Attention to detail
    • Problem-solving skills
    • Service oriented
    • High level of accuracy and efficiency

    Responsibilities:

    • Processing Credit Card and Petty cash APs for Head Quarters
    • Accurate and complete processing and submission of:
      • Purchase Requisitions (PR) for Head Quarters
    • Assist with processing of AP invoices from vendors and assist with payments when required 
    • Make sure all Tax invoices from Vendors meet the requirements for VAT input claim from local authorities
    • Assist with Petty Cash processing & requests
    • Assist with capturing receipts of customer payments
    • Assist the Finance Officer and Assistant Accountant with the processing of Debit order accounts payables
    • Assist with Head Quarters financial travel logistics
    • Liaise with vendors and staff with discrepancies of invoices or outstanding invoices
    • Shared cost allocation to projects
    • Prepare finance working papers
    • General journal processing
    • Maintain complete filing system to support Financial Records of source documents such as Invoices, Bills, GRVs
    • Assist with Audit preparation and queries
    • Ensure all backing documentation is collated, allocated, scanned and attached on SAP
    • Ensure the correct filing of all original documentation that is send from sites to the Finance Officer
    • Follow-up with site and internal parties for financial documents and/or support
    • Assisting the Finance Department when required and as related duties are assigned by management
    • Any other financial tasks assigned by Finance Manager and Finance Team

    Finance Officer (DTHF-C012)

    The main purpose of this position is to provide assistance and guidance for the day-to-day finance operation of purchasing and submitting payment for goods and services.

    Minimum Requirements:

    • Degree in Accounting/Auditing
    • Minimum of 4 years’ experience in finance and accounting environment
    • Basic Accounting Knowledge (IFRS, VAT and Fixed Assets)
    • MS Office – Intermediate
    • Software proficiency – SAP, a minimum of 3 years’ experience

    Responsibilities:

    • Ensure that the Creditors Master Data are updated as needed on SAP
    • Processing of vendor accounts payable invoices and credit notes in SAP 
    • Add new vendors to the banking system
    • Process AP invoices from vendors and assist with payments
    • Reconciliations for month-end (creditors & bank)
    • Reconcile invoices/suppliers before AP is captured
    • Prepare all weekly and monthly creditors age analysis for review by Assistant Accountant
    • Ensure depreciation is allocated correctly and fixed asset registers are kept up to date and assets are adequately insured
    • Ensure correct allocations of all Assets in the asset register and SAP
    • Adhere to the standard operating procedures (SOP) for the acquisition, maintenance, retention and disposal of the fixed assets and associated records of the asset register
    • Manage insurance risk covers and pay-outs of claims
    • Garnishee and Union fees pay overs
    • Assist the Finance manager with internal, statutory and project audits
    • Ensure the correct filing of all original documentation
    • Follow-up any discrepancies
    • Report all suspected fraudulent or irregular payments or invoices to the Finance Manager or Chief Financial Officer (CFO)

    Data Capturer

    The main purpose of Data Capturer will be to  provides critical study conduct support through basic clinical reviews, query generation, reconciliation, and reporting. Additional responsibilities include supporting clinical study team members in the completion and filing (paper and electronic) of clinical data, reports and administrative study documentation along with data entry on a daily basis.

    Minimum Requirements:

    • Grade 12 Certificate
    • 1-year research experience in capturing data or data administration
    • Computer skills, ability to maintain excel spreadsheets/ and REDCap
    • Excellent written and oral communication skills in English
    • Ability to work under pressure with high volumes of daily processing
    • Good interpersonal skills and excellent attention to detail
    • Good planning and organising skills
    • Ability to set and meet deadlines with high quality
    • Work Standards
    • Ability to work within a team and independently

    Advantageous:

    • Valid Good Clinical practice certificate (GCP) from an accredited provider like Crede

    Responsibilities:

    • Data quality control – perform regular data checks on the REDCap database and generate data queries if necessary
    • Proof read of data captured
    • Ensure accurate, timeous data entry into databases as per study protocol, SOP and as per Data Manager’s request
    • Complete quality control log with all errors that were picked up during data review and circulate them to staff members daily, including sending daily reminders to staff to correct errors according to QC log
    • Ensures data forms from source documents for the trail are accurately reflected on the Case Report Forms (CRF) or electronic data system
    • Transcribe paper case report forms which may be collected in the event study staff are unable to access the study electronic database (REDCap)
    • Conduct basic review, query generation/resolution to support clinical study team activities according to the protocol.
    • Identifies problems or potential problems and reports them to the Data Manager
    • Ensure hardware and software required to carry out data administrator tasks are maintained and in working order

    Grant Finance Officer

    The Desmond Tutu Health Foundation is currently recruiting for an experienced Grants Finance Officer to ensure smooth financial administration and end-to-end management of projects and grants, and provide financial administration support to Project Leaders and on-site clinical research staff. The ideal candidate should be professional, organised and capable of dealing with all aspects of grants, finance and procurement within a diverse multi-disciplinary research team. The position is based at the DTHF Head Quarters in Woodstock, however the successful candidate would be required to work at all DTHF Sites in line with their portfolio.

    Minimum Requirements:

    • National Diploma in finance and/or related field of study
    • Minimum of five years hands on financial management/accounting experience, management accounts and income and expenditure statements
    • Minimum of five years hands on experience in compiling donor financial reports
    • Computer literacy in Ms Office; Excel Advanced
    • Minimum 3 years working knowledge of SAP or similar financial package
    • Excellent verbal and written communication; proficiency in English
    • Ability to work methodically, efficiently and meticulously
    • Strong planning and organizing skills and deadline driven
    • Problem solving and decision making skills
    • Ability to multitask, work under pressure
    • Ability to work independently and accurately with minimal supervision

    Advantageous:

    • Grant administration experience within the academic health research environment or donor funder environment

    Responsibilities:

    • Day-to-day financial administration and management of all grants assigned
    • Understand, interpret and advise on donor/funder contracts and grant policy guidelines
    • Preparation of financial reports in line with funder requirements
    • Analysis of financial reports in a narrative format
    • Resource planning and management
    • Communication, training and adherence of financial and purchasing policies and procedures to site staff
    • Manage projects assets by informing Asset Coordinator of purchase and movement
    • Monitor monthly expenditure allocations in SAP
    • Prepare monthly project budget vs expense reports for internal review
    • Salary allocation management – project current month allocations for assigned projects
    • Manage site petty cash requests (daily/weekly/ monthly)
    • Manage site credit card transactions  (daily/weekly/ monthly)
    • Staff management of Site finance administrators
    • Any other tasks and duties that may be appropriate to this position
