    Operations Manager - Durban

    Job Purpose    

    It is the responsibility of the Operations Manager to oversee and co-ordinate the operations within the facility, ensuring maximum productivity and high levels of customer service in addition to maintaining full compliance to all Warehouse standards.

    Qualifications & Experience    

    • Matric.
    • Tertiary Qualification in Supply Chain/Logistics/Operations Management would be beneficial.
    • A minimum of 3 years work experience in Warehouse Management.
    • Related work experience with regards to Customer Service and Inventory Management.
    • Previous work experience on Warehouse Management Systems. Experience in initiating and chairing disciplinary enquiries.

    Key Responsibilities    

    Finance

    • Manage the operational budget, with high focus on cost management.
    • Authorize expenditure within authority levels.
    • Assist with operational budget inputs (resources, material handling equipment, labour, consumables, etc.).
    • Prepare capex motivations and ensure that quotes have been obtained.
    • Participate in the Monthly billing and sign off on invoicing. Management of claims.

    Customer Service

    • Communicate and meet with clients as and when required.
    • Managing adherence to client and service providers SLA's.
    • Assist with quote preparation in terms of scope of works.
    • Investigate client complaints and prepare reports accordingly.

    People Management

    • Conduct performance appraisals for all immediate sub-ordinates.
    • Managing absenteeism, overtime and access control.
    • Ensure that Company IR process is adhered to at all times, in addition initiate and chair disciplinary enquiries as and when required.
    • Identify and address training needs through the work place skills plan received from the training department.
    • Ensure that BPL standards are implemented and understood by all employees by discussing them in the blue area talks and ensure that updates are placed on notice boards.
    • Convene Quality Circle Meetings with employee representatives and HR on a regular basis.
    • Motivate staff and coordinate all staff functions.
    • Review employee potential and growth plan, follow-up on the plans (Encourage employee development).
    • Identify and assist with retaining high flyers.

    Operations / SHERQ

    • Maintain operational legal compliance with SHERQ Coordinator.
    • Conduct a daily management walk-about of the facility to ensure compliance and to enforce 5S.
    • Convene daily operations discussions with departmental heads.
    • On a daily, weekly and monthly basis review stock take/cycle count reports and sign-off and report on discrepancies.
    • Conduct regular meetings with key suppliers in order to maintain good relationships.
    • Implement and maintain SLA's with key suppliers and measure compliance to SLA's on monthly basis.
    • Chair monthly safety meetings as and when required.
    • Ensure that all departments are operating at optimal levels and that customer SLA's are being adhered to.
    • Ensure that the operation adheres to licensing and permit requirements (MHI, Group 1 Hazardous Permit, Flammable Permit, etc.)
    • Manage and co-ordinate response to incidents on site as and when required (spills, injuries etc.)
    • Manage and co-ordinate emergency drills. Ensure all incidents are reported immediately, chair incident investigations and assist with compiling the incident reports.
    • General Attend monthly management meetings and present operational performance stats.
    • Compile daily, weekly & monthly management reports. Adhere to corporate governance. Assist with achieving facility objectives, targets and plans (OTP's).
    • Provide in-put into business continuity plan.
    • Prepare for internal and external audits (ISO, SQAS, CDI, SHERQ, Bidvest Freight, Customer, Etc).
    • Identify and manage continuous improvement projects. Participate in the review of business and SHE risk assessments with action plans.

    Skills & Competencies    

    • Excellent Leadership and People Management skills.
    • Ability to handle stress and work under pressure.
    • Knowledge of CHEP processes and familiar with ISO standards.
    • Knowledge and understanding of dangerous goods handling and storage.
    • Full understanding of the requirements of the OHS Act, including knowledge of a 16.2 Appointee's responsibilities.
    • Manage Bond Stores in compliance to SARS requirements.
    • Have extensive experience with managing imports and exports.

    Maintenance Controller

    Job Purpose    

    The ideal candidate will have the technical ability to maintain / repair various makes of Truck Tractors and Trailers ustilised in the Transport Industry in South Africa.  A Diesel Mechanic Trade Test certificate (Red Seal) is a prerequisite for this position.

    Experience

    • 5 years as a qualified diesel mechanic
    • Technical Ability to maintain / repair various makes of truck tractors and trailers utilised in the transport industry in South Africa
    • HMV Diagnostic Systems
    • OEM Diagnostic Systems

    Key Responsibilities    

    Planned Maintenance 

    • Maintain and monitor all systems utilised for the planned maintenance the BILT fleet including but not limited to OEM systems, BIL schedules, R2MS, service provider and client systems.
    • Ensure that the necessary bookings are made with the OEM's timeously and in conjunction with operations managers to mitigate impact on operations.                             
    • Analyse diagnostic reports received from the OEM's and or complete and analyse diagnostics reports on vehicles. Ensure that all necessary work required on vehicles per diagnostics, inspections, are verified - test drive vehicles if necessary.
    • Scrutinise job cards, quotations received on outsourced work to ensure all required work is catered for and at acceptable pricing. Obtain comparitive quotes for the parts required for internal repairs, obtain necessary management approvals and place order. Ensure that all work is carried out according to OEM specifications.    
    • Ensure that the regular inspections carried out on the fleet, including lubrication, electrical, suspension, brakes, air systems, equipment, etc. and complete necessary preventative maintenance.                                 

    Unplanned Maintenance

    • Scrutinise all vehicle checklists on a daily basis.
    • Prioritize repair requirements and plan with operations manager for necessary repairs to be completed. T
    • Trouble shoot, diagnose and resolve faults on fleet where possible / allowed per warranty and maintenance contract or book vehicles in to OEM workshops where necessary. Scrutinise job cards, quotations received on outsourced work to ensure all required work is catered for and at acceptable pricing. Ensure all work is carried out according to OEM specification.
    • Attend to vehicle breakdowns, equipment failures, incidents, accidents timeously and following set policies and procedures.                                

    Tyres 

    • Ensure that onsite service provider carries out required functions per contract/SLA.
    • Tasks include but not limited to, surveys, pressure maintenance, repairs, replacements, rotations, matching, branding, scrapping reports, casing credits, casing recaps. Scrutinise various reports and ensure no tyres under 3mm in the fleet, cost for abuse is recovered, we achieve required cpk, correct tyres on the fleet.                                 

    SLA Management 

    • Ensure that service providers and managed according to set SLA/KPI's. Monthly meetings to be held to address issues and short comings and to put in place necessary corrective measures

    Safety and Quality 

    • Ensure that all incidents, damages, loss and claims are reported immediately and accruately.
    • Ensure all work permits (hot and cold) are issued prior to any work being carried out by third parties.
    • Ensure that only approved service providers are utilised.                                  

    Permits / Licencing / Tracking / Fleet Cards 

    • Ensure that all permits, licences, Bidtrack Tracking, Bidtrack Recovery, Bidtrack Cameras and fleet cards per vehicle are tracked and renewals, replacemnets and repairs are done timeously. Includes but not limited to Licence, COF, Port Permits, Cross Border Permits, Fire Permits, tracking units, recovery units, camera's, fleet cards.                                

    Washing / Branding

    • Ensure that all vehicles are washed minimum once per week. Ensure that all branding is done in line with BIL specifications.        

    Administration

    • Ensure that all asociated administration is carried out according to BIL policies and processes.
    • Collate all necessary documents for completed work and update systems, vehicle files.
    • Ensure that all parts stock and tools is effectively controlled and utilised.
