    Sport Co-Ordinator - Durban North

    Duties and Responsibilities:

    • Manage the registration process of the VC Sports Club and ensure all students that participate in sporting activities on campus, pay the annual VC Sports Club fees.
    • Manage the VC Sports Club for Durban North Campus and drive and monitor student participation across all sports clubs on campus.
    • Ensure the VC Sports Club caters for students wanting to participate in either an individual and/or team sport and at both competitive or social level.
    • Design, manage and co-ordinate, together with the Sports Club Administrators, the campus sports calendar of events/fixtures/practises/leagues both on and off campus.
    • Recruitment, selection and management of sports bursary students for all major The IIE's Varsity College team sports clubs with the main focus being VC Hockey and/or Rugby Club.
    • Recruitment, selection and management of the administrators for each sports club on campus.
    • Manage the administration and growth of the Major Sports Club i.e. VC Hockey and/or Rugby Club e.g. player management, facilities management etc.
    • Work with the VC Sports Club committee to build the VC Sports Club supporter base and social environment of the VC Hockey and/or Rugby Club.
    • Provide accurate reporting of all sports activities for the Durban North Campus, within the time frames provided.
    • Be accountable for all sporting equipment, playing kit and apparrel owned by each campus's Sports Club and maintain strict stock control procedures.
    • Manage all 3rd party relationships with regards to venues, leagues and sponsorships.
    • Manage and control the campus sports budget.
    • Assist in the management of the VCSportsLife Instagram and Twitter account. Ensure that information and pictures for VC Sports Club activities namely practises, matches, events etc. are collected and submitted to ensure maximun coverage on all VC social media platforms, press releases and the IIE's College website.
    • Coordination of high-perfomance sports programme such as Varsity Cup, Varsity Sports and USSA.

    Project Co-Ordinator - Roodepoort

    Duties and Responsibilities

    Administrative Support

    • Manages and updates the Campus Head’s calendar.
    • Drafts and distributes relevant correspondence.

    Minimum Qualification Required:

    Junior HR Officer - Sandton

    Duties and Responsibilities:

    Independent Contractor (Lecturer) Administration Management

    • Responsible for the day-to-day administrative management of the campus Independent Contractor payroll.
    • Keeps the Academic Support Co-ordinator updated at all times and collaborates them on the Lecturer appointment process to ensure that the process is streamlined and all audit and policy/process requirements are met prior to any Independent Contractor Agreements and related Annexures being issued or work being offered or carried out.
    • Performs background screening checks including; ID verifications, qualification verifications, professional membership (where applicable), passport and visa verification (where applicable) and criminal checks for new Independent Contractors and ensures that any unfavourable results are reported to the Head: Academic and National HR department for guidance prior to any work being offered to the Independent Contractor.
    • Attains two references for new Independent Contractors and notifies the head: Academic of any unfavourable feedback to ensure that unsuitable candidates do not progress further in the recruitment process.
    • Drafts all Independent Contractor Agreements and Annexures for the campus once all required checks and processes have been followed.
    • Schedules appointments with the Authorised Signatory for Independent Contractors to sign the Independent Contractors Agreement at the beginning of the year/semester or when they start.
    • Liaises with the relevant parties to arrange photocopy codes and biometrics for new Independent Contractors.
    • Hands new and returning Independent Contractors the required payroll documentation as per the P15 Engagement Checklist to complete before the monthly deadline.
    • Checks the completed pack of forms that the Independent Contractor submits for processing to ensure that it is completed correctly, that all supporting documentation is attached and that the entire pack of forms meets the audit standards.
    • Ensures that the relevant payroll forms are uploaded in the HR & Payroll System under the file manager for each Independent Contractor and their details are loaded correctly in the HR & Payroll System (Personal Info, IC Agreement details etc.).
    • Ensures that all Independent Contractor Agreements and Annexures meet the required company and audit standards.
    • Follows up on any queries and outstanding documentation from the Independent Contractor packs before filing relevant originals and copies on campus in an orderly manner.
    • Oversees the original national approval and tracking processes on campus for Independent Contractors in line with the Foreign National Guidelines, and ensures that no offers are made prior to receiving pre-approval from National HR and that any work offered does not extend beyond the passport /or work permit expiry date.
    • Ensures that timesheets deadlines are communicated to all Independent Contractors at the start of the year/semester and reminders are sent on a monthly basis. 
    • Trains all new Independent Contractors on the HR & Payroll System Timesheet process and assist with any timesheet related queries.
    • Checks that Independent Contractor P18 payroll reports are correct, by liaising with Head: Academic and other relevant team members, on a monthly basis to ensure that the correct tax has been deducted for Independent Contractors and all claims are reflected accurately on the report.
    • Ensures that the P18 form is signed by the Campus Head together with the correction schedule (if applicable) and that they are submitted to the National Human Resources/ Payroll team timeously.
    • Assists Independent Contractors with any payments/payroll related queries and escalates unresolved queries to the National Human Resources/ Payroll team if need be.
    • Advises on, and assists Independent Contractors with the relevant payroll and supporting documentation required to update their details (e.g. change of address or banking details etc.) in the HR & Payroll system when changes are required and ensures that these changes are processed accurately and timeously. 
    • Advises and guides Independent Contractors on the company payroll forms and requirements.
    • Communicates any payroll related information to the Campus Independent Contractor team. 
    • Monitors and ensure the correct and up-to-date version control of Independent Contractor related payroll related documentation on campus.
    • Maintains and orderly filing system (including both hardcopy files and files saved in the HR & Payroll File Manager System) that is up-to-date and contains all Independent Contractor documentation in line with company and audit requirements. 
    • Communicates important announcements/ news/ updates to the Campus Independent Contractor team and all other relevant parties as and when required.

     Campus Synergy and General

    • Collaborates with all relevant departments on campus to facilitate optimal performance within the portfolio or scope of duties.
    • Campus specific ad-hoc administrative duties.
    • Assists the National Office Human Resources team with Independent Contractor payroll related projects.
    • Provides relief cover/support for the campus Junior HR Officer or HR Officer as or when required.
    • Complies with The Protection of Personal Information Act legislation relevant to the role.

    Administration of the Casual, Invigilator and Coach Payrolls

    • Performs Managed Integrity Evaluation (MIE) verification checks for new Casuals, Invigilators and Coaches as required by the company.
    • Hands new and returning Casuals, Invigilators and Coaches the required payroll documentation as per the P15 Engagement Checklist to complete before the monthly deadline.

    • Captures the timesheet (P23) information for all Casuals in the HR & Payroll Information System each month in line with the claiming deadlines.
    • Captures the Independent Contractor Annexure information for all Invigilators and Coaches in order for their monthly claims to then be processed against this information on a monthly basis.
    • Captures all Invigilator and Coach claims on the HR & Payroll Information System on a monthly basis in line with the payroll deadlines.
    • Checks that the Casual and Independent Contractor (for Invigilator and Coaching claims only) P18 payroll reports are correct on a monthly basis and ensures that the correct tax has been deducted and all claims are reflected accurately on the report.
    • Ensures that the P18 cover sheet is signed by the authorised campus signatory together with the correction schedule (if applicable) and is submitted to the National Payroll team.
    • Responsible for investigating and assisting Casuals, Invigilators and Coaches with any payment queries and escalating these to the National Payroll team if need be.
    • Adheres to the provisions of the Protection of Personal Information Act (PoPIA) in all matters relating to processing the casual payroll on campus.

    Training and Development Support       

    • Supports the HR Officer with any training logistics or administrative requirements for the campus.  

    Campus Recruitment/ Talent Acquisition Support

    • Assists the campus management team with shortlisting CV's, telephonically screening candidates, setting up interviews, attending all first round interviews, regretting unsuccessful candidates and any other recruitment support required. JHRO can assist up to level B.
    • Uploads interview notes/feedback in the applicant tracking system.
    • Performs Managed Integrity Evaluation (MIE) verification checks; including, identification verifications, qualification verifications, credit checks (where applicable), professional membership verifications (where applicable), Drivers License (where applicable), Verify Passport and Visa (where applicable) and criminal checks for the relevant positions and ensures that any unfavorable results are escalated (to the Campus Head, hiring manager & National HR) and is dealt with accordingly prior to any offers being made.

    Head: Academic - Randburg

    Duties and Responsibilities:

    Academic Management                          

    • Creates and manages the implementation of the campus academic delivery plan with Programme Managers, Teaching and Learning Specialist, Educational Technologist, Lecturers, Junior Lecturers, Information Specialist and Assistant Information Specialist.

            This will be achieved through the following:

            a) The achievement of greater student success (by achieving set targets) via an ongoing analysis of academic results, reporting on and addressing areas of risk;
            b) The improvement of student retention rates through the management of the quality student support interventions and strategies to improve student perseverance/resilience;
            c) The measurement of the effectiveness of student support interventions on an ongoing basis; and
            d) The management and development of the lecturing team with a focus on lecturer upskilling and scholarship, allocation of modules and lecturer workload.

    • Ensures equity of academic delivery across Programme Units.
    • Accountable for compliance to the policies and procedures of The Independent Institute of Education.

Within this, the clear communication of roles and responsibilities of each permanent academic team member.
    • Promote and support the development of academic best practice.
    • Co-ordinates the development of the permanent academic team.

     Research and Scholarship

    • Plans, manages and reviews the research target deliverables on campus, and makes the necessary adjustments throughout the year to ensure that the required research outputs are achieved.
    • Responsible for the annual reporting to the National Academic Manager on the research points achieved and qualifications completed by the permanent Academic staff and Independent Contractors.
    • All designated academic employees are required to promote a culture of scholarship within their practice, discipline and campus/team and are also required to contribute towards Vega School achieving its annual research output targets. Individual research output unit/s will be set in consultation with the line manager on an annual basis (Informed by The IIE 018 Academic Conditions of Service Policy)   

    Minimum Qualification Requirements:

    • Minimum of Postgraduate Diploma/Honours Degree in Teaching Methodology or Subject Specialisation and a willingness to register for a Masters Degree (NQF Level 9). Masters Degree advantageous. 

    Minimum Experience Requirements:

    • Minimum 3 years management experience with 6 years teaching or lecturing experience within a tertiary environment. Must have management experience in an academic setting and an understanding of the current regulatory framework and its impact on higher education and private colleges.

    Results Administrator X2 - Durban North

    Duties and Responsibilities:

    Credit Accumulation 

    • Assists with the capturing of students' automatic credits on the academic system
    • Ensures that all data entries for the summative assessment calculation have been complied with
    • Ensures that the summative assessment outcome is correct and thereafter is responsible for the release of these results on the student portal

    Post Assessment Mark Collation 

    • Co-ordinates the marking process with lecturers and ensures these marking deadlines are adhered to and managed according to the timeline
    • Co-ordinates the marking deadlines with the relevant Programme Manager to ensure there are no delays in the process
    • Ensures that result capture sheets are emailed to lecturers timeously for electronic completion
    • Captures the results / imports result capture sheets into the academic system
    • Completes regular audits on all activity logs relating to the marking process and ensures that all scripts are accounted for at any given point in time
    • Ensures that all Integrated Curriculum Engagement (ICE) results are captured by the lecturer outside the system
    • Facilitates the process of Individual Integrated Curriculum Engagement (ICE) task marking by managing the milestone dates with lecturers
    • Proactively applies early detection mechanisms to ensure that student queries relating to results discrepancies are minimal during peak assessment time
    • Verifies scripts received against the marks captured on the mark sheet for the Online Centre and submits the mark sheet to the Online Centre for processing on the academic system thereafter
    • Cumulative Assessment Mark Release (Formative) 

    Captures all formative assessment results

    • Compiles the Question by Question analysis when requested
    • Ensures that all results entries captured for the Cumulative Assessment (CASS) calculation have been complied with
    • Ensures that the cumulative assessment determination results also include ICE (Integrated Curriculum Engagement) assessment results

    Internal Moderation

    • Supports the campus Academic department in accessing scripts required for the internal moderation and decentralised marking process, as well as for the marking centre
    • Assists with the selecting and scanning of scripts for moderation and completing the activity logs pertaining to the steps involved in results processing, moderation and storage of an assessment
    • Liaises with the relevant Programme Manager responsible for deciding which scripts are moderated, and once confirmed, prepares all documents required for the moderation process to take place
    • Updates the Internal Moderation Tracking Grid accurately and timeously

    External Moderation 

    • Assists with scanning necessary scripts and uploading them on to the moderation tracking system and assigning this to the relevant Central Academic Team (CAT) member
    • Completes the Moderation Control Sheet (MCS) to be included with every set of External moderation
    • Ensures that the Moderation Control Sheet (MCS) and scripts/Portfolios of Evidence (POE's) are attached and assigned to the relevant Central Academic Team (CAT) and the Head of Programme (HOP) outcome is actioned correctly as per the release instruction on the MCS at campus level
    • Updates the External Moderation Tracking Grid accurately and timeously

    Post Assessment Mark Release  

    • Ensures that results are captures accurately against the script
    • Ensures that results capturing is up-to-date and released timeously on the system for students to view their system
    • Notifies students with overdue accounts of supplementary entry requirements where applicable

    Script Viewing and Remarks 

    • Identifies and co-ordinates script viewing requests made on The Student Hub reports and informs the Academic department to arrange a viewing appointment with the student
    • Identifies and co-ordinates remark requests made on The Hub and checks that payment has been made in respect and co-ordinates the remark with an appropriate marker thereafter
    • Follows up on the remark process to ensure that it happens within the allotted time
    • Ensures that the correct outcome is applied once the remark has been completed and returned to the Results Centre as per policy
    • Flags any marking discrepancies or concerns with regards to moderation and remarks with the relevant Academic staff member
    • Responsible for the archiving of scripts and Portfolios of Evidence (POE's) for on and off site storage in line with the policy

    Team Support & General

    • Assists with campus specific projects/ events (e.g Graduation, Open Day etc)
    • Collaborates with all departs on campus to facilitate optimal

    • Lecture on Intermediate Phase specific programmes (must lecture on an IIE qualification) across various modes of delivery where relevant.
    • Marking of assessments and feedback to students in subjects lectured. May be required to internally moderate assessments scripts that fall within their subject fields, where necessary across IIE sites of delivery.

    Lecturer Development and Support

    • Assist in lecturer development and support processes and procedures. This may include conducting peer reviews, facilitating workshops and one-on-one consultations.

    Student Development & Support

    • Championing/leading and managing academic development and support for a specific programme and its students.
    • Tracking student success and implementing support interventions where required. 

    Research & Scholarship

    • The incumbent is required to promote a culture of scholarship within their practice, discipline and campus/team and is also required to contribute towards IIE Varsity College achieving its annual research output targets.

    Minimum Education Requirements:

    • Bachelor of Education Degree in Intermediate Phase and Honours/Masters in Education.

    Minimum Work Experience Requirements:

    Wellness Navigator - Durban

    Duties and Responsibilities:

    • Provision of Student Emotional and Mental Counselling Services
    • Creates a plan and schedule of provision of counselling services for on campus students
    • Provides individual primary counselling to The IIE Vega School students and explores/determines if the student should be referred for secondary counselling and unpacks their referral options if necessary. (Up to 6 Sessions)
    • Provides students with coping techniques and skills to deal with life challenges
    • Receives the signed consent form from the student prior to the commencement of the first counselling session
    • Establishes trustworthy relationships with students that opens channels for communication between the The IIE Vega School campus and students
    • Facilitates group counselling for students with similar problems
    • Establishes a referral network for secondary counselling services
    • Presents Life Skills workshops addressing relevant social and emotional problems experienced by students
    • Assist with mediation and conciliation with students during brand activation and brand challenge
    • Creates awareness campaigns surrounding universal social and emotional issues and sources relevant guest speakers to add value to the campaign to address students on relevant topics
    • Creation, Rollout and Monitoring of Awareness Campaigns
    • In collaboration with the academic, academic operations co-navigators and student experience teams, sets a bi-annual calendar for the following semester of awareness campaigns, based on the reports compiled throughout the previous year
    • Identifies key themes, suggests possible campaigns and plans awareness campaigns accordingly
    • Designs, develops, implements and manages awareness programmes and campaigns and includes and oversees the IIE Vega School Voice committee to assist with marketing and creating awareness for these campaigns.  
    • Planning, Rollout and Monitoring of Community Engagement Programmes
    • Facilitates engagements between The IIE Vega School students, staff and Non Government Organisation (NGO's) and identifies opportunities for Community Engagement projects
    • In collaboration with the academic, academic operations co-navigators and student experience teams, sets the bi-annual community  engagement and outreach programme calendar
    • Markets sustainable community engagement outreach programmes and encourages student participation in these programmes
    • Creates awareness amongst students regarding social issues and volunteerism opportunities
    • Manages logistics and implementation plans for the successful rollout of community outreach programmes
    • Empowers students with a sense of citizenship and encourages students to get involved in activities for community projects in their area (e.g. by donating blood in their area, donation drives and outreach projects)
    • Educates students about giving back and sharing the skills with them to do so
    • Co-ordinates communication and visibility of campaigns (including sharing posters on the WhatsApp community groups)
    • Identifies beneficiary organisations with students for community outreach programmes. 
    • Budget and Vega Voice Committee
    • Identifies, appoints and manages the Vega Voice Committee to ensure involvement, creation and rollout of sporting, social, career, wellness and community engagement initiatives and projects on and off campus
    • Organises students clubs and societies that cater for a range of social and cultural needs to promote social interaction and cultural diversity
    • Conduct mid year reviews with the Vega Voice committee to monitor academic performance and provide feedback on roles and responsibilities. Ensuring Vega Voice training and development programmes are curated to ensure upskilling of committee
    • Manage the Vega Voice budget to ensure projects and initiatives are aligned with the financial requirements
    • Augments budgets through fundraising initiatives
    • Wellness Navigator Administration and Reporting
    • Provides annual registration process support specifically relating to the marketing of the Wellness Navigator services
    • Communicates and liaises with students specifically in relation to Wellness services available on campus
    • Compiles and submits weekly Wellness status and progress reports as well as the weekly Student Activity Report to the National Student Wellness Manager including statistics and details of counselling sessions and referrals
    • Markets, uploads and maintains a monthly register of workshops and awareness campaigns available and in the designated wellness weeks
    • Ensure all marketing material / posters / infographics / videos are approved and available to students prior to the commencement of the initiatives
    • Compiles and submits the necessary reports to the national office and ADvTECH head office as and when required
    • Ensure effective and efficient service delivery to students by monitoring and communicating with students via the various platforms (Online Booking form, IIE Assist, Email)
    • Assist HR with staff wellness days / events, through outsourced resources, catering and campus logistics
    • Workshop facilitation (Midas Touch) such as WRP (Work Readiness Programme)
    • Compiles and reports on monthly Corporate Social Investment (CSI) activities on the CSI Tertiary Hub

    Minimum Qualification Requirements:

    • Minimum of Postgraduate Diploma / Bachelor Honours Degree (NQF Level 8) in Counselling Psychology or Social Work.
    • Ideal qualification Social Worker / Psychologist (NQF Level 9)
    • Legal Requirements - Registered with Social Work Council or Health Professions Council of South Africa as a counsellor and Driver's License

    Minimum Work Experience Requirements:

    • Minimum of 2 years Trauma Counselling and 2 years Community Engagement experience
