Contract Operational Register Administration

• Perform monthly/weekly reconciliations
• Verify Kilometre and rate charges in agreement with the terms of the contr
• Confirmation that all PODs are intact
• Capture financial transactions on SAP
• Validate total expense to Vendor invoices

General Ledger Administration

•  Create and change journals for Dedicated Hauliers
• Sign off on Haulier invoices ensuring VAT compliance.
• Create Purchase Orders for External Hauliers
• Create/Change Customer Sales orders
• Process non-stock GRVs
• Invoice Verification

SAP Administration

• Maintain reference numbers on Planforge website Management of Group POD collection ensuring minimal risk to the business.
• Ensuring compliance to processes and procedures.
• Management of revenue generated ensuring accurate billing within the correct accounting month.
• Ensuring that all income and expenses are correctly accounted for in the correct month.
• Monthly compilation of RCL Group transport reconciliations within target dates.

Minimum Requirements    

• National Diploma in Safety Management or equivalent qualifications in Occupational, Health and Safety;
• A minimum of 3 years working experience on safety, health and environmental issues in a heavy or medium engineering industry;
• Computer literacy (proficiency in Microsoft Office) is essential;

Duties & Responsibilities    

• Ensure that Corporate SHE policies, standards and procedures are implemented and adhered to;
• Act as an adviser in all incident investigations, make sure they are closed and check effectiveness of preventive measures taken;
• Update and keep record of all legal appointments in accordance with the company policies, procedures and standards;
• Administer Accident Prevention using the NOSA Integrated System in consultation with Management;
• Conduct SHE training needs, make recommendations and arrange SHE training;
• Co-ordinate fire training Fire Team employees;
• Facilitate SHE induction for all employees and contractors and keep all relevant records on file;

Duties & Responsibilities

Category Management

• Analyse shelf health (on-shelf availability, right forward share, best shelf position).
• Analyse pricing data (from relevant pricing tools).
• Monitor product availability, visibility and affordability and consolidate feedback into actionable plans for the customer team to implement.
• Use and leverage specific category insights.
• Execute brand standards (brand DNA) and support development and execution of channel-specific brand standards.
• Measure and review category performance; retail/wholesale margins and customer profitability.

Information Analysis, Management and Reporting

• Provide detailed reports illustrating trends, predictions, and relevant strategies, with a focus on NRM analytics.Analyse and interpret key data.

• Compile and consolidate business dashboards, scorecards, and measurements, conducting category performance analysis (including causes of deviation) with an eye on NRM opportunities.

Duties & Responsibilities

Legislative and Policy Compliance

• Ensure compliance with the Food Safety and the OHSACT and regulations.
• Ensure the region and sites has have the current Vector quality and food safety standards and procedures in place.
• Ensure documentation completion and submission requirements are adhered to.
• Ensure all internal policies are aligned to legislative requirements and best practices.
• Review and update all SHERQ procedures and checklists.

 Operational Compliance Support and Auditing

• Co-ordinate the development, implementation and management of a standardized integrated SHERQ management system as per the required standard.
• Conduct internal audits and inspections.
• Implement and maintain quality tools to ensure quality control and compliance.
• Provide management and staff training Ensure that all traceability and recalls procedures are followed
• Accompany inspectors during on-site inspections and respond to regulatory non-compliance
• Maintain the HACCP system and other safety information and documentation
• Implement, administer, monitor and maintain the warehouse foods safety programme and associated documentation
• Update all SHE & food safety systems, lists and files
• Ensure that fire prevention and emergency procedures are identified and implemented.
• Conduct workplace and job-specific hazard analysis to identify potential hazards

Incident Investigation

• Conduct post-incident investigations in order to identify root causes and determine appropriate preventative and corrective action
• Ensure proper administration of the incident reporting and investigation system, legal documents and registers
• Analyze and investigate customer complaints. Facilitate interventions to address the problem and monitor improvements
• Seek continual improvement in the SHERQ space by regularly monitoring regional and site activities and assessing new developments' implications.

 Communication and Reporting

• Analyse data, develop leading indicators, determine trends and produce and present required reports to advise management accordingly.
• Engage with external bodies (eg. Department of Health and service providers) regarding compliance requirements and best practices.
• Advise project managers regarding the requirements of contractors on site, safety files etc.
