    Inventory Controller - Elandsfontein

    Purpose of the Job

    • Carry out inventory procedures within an operation or as allocated in line with Value inventory procedures and customer inventory requirements. Ensure all reports are managed and maintained and inventory accuracy levels are maintained at all times.

    Key Responsibilities 

    • General
    • Ensure that the Standard Operating Procedures relating to the management and control of inventory are known, understood and followed
    • Understand and know how to make use of the various systems in the business
    • Carry out inventory-related investigations and queries needing resolution and sustainable corrective, action and driving the required actions
    • Ensure that NCRs/NCPs /IOs are raised and completed for all areas required as identified during inventory processes and investigations
    • Ensure that stock is accounted for at all times and that claims and damages are managed and kept to a minimum
    • Storage
    • Ensure consolidation of pallets in the replenishment areas to improve utilisation
    • Conduct spot checks on bin locations to ensure bin accuracy
    • Ensure that the product is correctly handled to ensure that product quality is maintained and no damages occur
    • Ensure that all units of measure are understood and applied
    • Ensure that physical and system aligns in terms of product, location and quantity
    • Measure obsolete stock as well as expired/nonmoving stock
    • Master data and WMS
    • Ensure that master data (product master) is maintained and managed in all operations for the purpose of accurate inventory levels
    • Ensure that the product information is correctly uploaded upon receiving
    • Ensure that WMS functionality is understood, correctly used and applied as required
    • Book-to-book, cycle counts, and stock takes
    • Ensure that book-to-books are carried out as per the required frequency and that all variances are investigated and resolved timeously
    • Ensure cycle counts are carried out daily as required to maintain high stock accuracy levels with minimal losses
    • Ensure empty bin checks are carried out daily
    • Report on cycle count results and ensure that any discrepancies are resolved time
    • Ensure stock take preparations are carried out correctly prior to all stock takes and ensure that the respective inventory records are in place and managed
    • Ensure stock takes are carried out effectively and correctly as per the Value and customer requirements
    • Ensure cycle count and stock take results are reported to senior management and clients as required
    • Ensure all inventory records are correctly filed and easily accessible should they be required (Stocktake, cycle counts, inventory investigations etc)
    • Reporting 
    • Ensure that daily, weekly and monthly inventory reports are completed and provided to the relevant management
    • Ensure that inventory KPI is maintained and reported on
    • Investigate inventory KPI failures
    • Investigate stock variances and assist in the provision of resolution actions
    • Analyse reports with the aim of identifying solutions for improvement and or resolution of problem areas

     Minimum Requirements

    • Grade 12 (Matric)
    • Logistics/warehouse/business management diploma/degree beneficial
    • 3 years of experience in the logistics/warehouse industry with inventory knowledge

    Dispatch Supervisor (Nightshift)

    Purpose of the Job

    • Supervise the dispatch processes and staff working in the dispatch area to ensure that the required activities are carried out as per Value and customer requirements.

    Key Responsibilities 

    • Process
    • Ensure that the Standard Operating Procedures are known, understood, trained on and maintained to ensure that the dispatch procedures are carried out correctly
    • Understand and know how to make use of the various systems in the business
    • Ensure effective planning of outbound stock is done daily as per the volumes to be dispatched
    • Ensure effective planning of staff requirements to manage volumes expected
    • Ensure that picking is planned correctly in order to meet volume requirements
    • Ensure that sufficient materials and equipment is available to effectively carry out the dispatch tasks
    • Ensure that all stock is handled in a manner which maintains the condition of the stock and its packaging as well as any specific the requirements of the products
    • Carry out investigations where required for discrepancies of documentation, vehicles, seals or products upon dispatch
    • Communicate issues with the customer where necessary
    • Resolve all issues within 24 hours
    • Arranging of vehicles when required to ensure that vehicles are booked and available on time for dispatch of stock
    • Ensure that handover of stock to other operations are controlled as per the respective system processes
    • Ensure that all loading procedures, when carried out, are done so correctly as per the required procedures
    • Ensure that all loads dispatched from the warehouse are properly secured prior to departure
    • Ensure that the WIP report is managed and maintained on a daily basis
    • Ensure that control of all documentation is maintained at all times and all filing is up to date
    • Ensure all dispatch reports are managed, maintained, monitored, actioned upon and reported to the respective managers
    • Analyse dispatch stats from reports and use the information to action as required
    • Staff
    • Supervise staff and their productivity within the dispatch area
    • Ensure correct and effective resource planning is done to meet operational requirements
    • Ensure overtime is kept to a minimum and only required on an exception basis
    • Ensure that dispatch staff have the necessary training
    • Carry out on-the-job training where required
    • Quality, Health and Safety and KPIs
    • Ensure that dispatch KPIs are known, understood, measured, managed and maintained and reported on monthly
    • Ensure proactive actions are taken
    • Ensure that all QMS procedures are implemented and maintained
    • Ensure NCRs/NCPs and IOs are raised daily, and staff are motivated to use the system to improve the operation
    • Ensure that all NCR’s/NCP’s and IO’s are closed off within the required lead times (5 working days)
    • Ensure standards of Health and Safety are maintained as well as the requirements of the Occupational Health and Safety Act
    • Ensure that all monthly checks are carried out as required
    • Maintain housekeeping standards on a daily basis
    • MHE and asset management
    • Ensure that the facility, stock and assets are adequately secured and that all Loss Control policies and procedures are implemented
    • Ensure that assets are well maintained, accounted for and reported on as required
    • Ensure that all assets and MHE are optimally utilised

     Minimum Requirements

    • Grade 12 (Matric)
    • Logistics/warehouse/business management diploma/degree beneficial
    • 5 years of experience in the logistics/warehouse industry

    Branch Administrator - Witfontein

    Purpose of the Job

    • To ensure that all rental agreements have been debriefed daily, completed correctly, and sent to head office within specified timelines. To ensure that a general administration in the branch is managed. Ensure that fines are administered upon receipt, asset registers are maintained, fuel and e-tolls are up-to-date, and all deadlines are met.

    Key Responsibilities 

    • Operational
    • Compile a Sequence Audit Report of rental agreements received with a report supplied from embrace, debriefed, and closed as soon as vehicles return, and submit it to the invoicing department within the relevant time frame
    • Ensure a register is kept of contracts issued to operations to control the sequence
    • Ensure that rental agreements are updated daily
    • Ensure that before doing cost estimates, all rental agreements are to be closed correctly by checking that all fields are correct with all the checks that are in place when closing off rental agreements
    • Compile a handover sheet stating the RA number, date of hire, customer, and contracts, and send it to invoicing only once the costing estimates have been processed, checked, and approved
    • Confirm the correct fuel recovered, the correct e-toll recovered, and all rental agreements for the month have been verified as billed once invoicing has rolled over
    • Resolve any queries relating to rental contracts, cost estimates, and debriefing
    • Ensure all RA’s and customer/company documentation are locked in the safe after office hours
    • Updating of fuel and e-tolls is to be done daily to ensure full recoveries on all rental agreements
    • Maintain the asset register for non-vehicle assets. This should be updated monthly by comparing it with the asset register from the Assets department
    • Immediately advise the Assets Department of any changes or discrepancies
    • Ensure that all assets are labelled with the relevant asset tag
    • Ensure that correct VMA’s are completed and filed for any assets transferred
    • Ensure asset verifications are conducted quarterly, annually, and within the required timelines
    • Ensure that fines administration is executed daily
    • Maintain the fines register with all details pertaining to the fine
    • Ensure that paid fines are indicated on the register and that the rental agreement and invoice number are on the register
    • Ensure that updated customer proxy details are kept on file
    • Ensure that sufficient stationery is available for the fax/copier machine
    • Exercise strict control over the ordering and issuing of stationery. All orders must be approved by the Branch Manager before ordering
    • Ensure Embrace requisitions are completed for stationery and fuel and approved timely for GRV
    • Ensure copies of orders created on Embrace are kept on file for ledger verification
    • Ensure Embrace orders are receipted once the order has been delivered, and a copy of the receipt is kept with the order on file
    • Gather sales fuel slips weekly and update them to meet the deadline for submissions of fuel claims
    • Fuel Recon to be done every Monday and submitted for approval and payment
    • Ensure that all administration and filing are up-to-date
    • Maintain professional conduct
    • Ensure the dress code is in accordance with the company’s Standard Operating Procedures
    • Maintain housekeeping standards daily
    • Ensure standards of Health and Safety are maintained

    • Grade 12 (Matric)

    Purpose of the Job

    • To repair, service and maintain all value vehicles as per job card.

    Key Responsibilities 

    • To carry out services, maintenance & repairs on all value vehicles as per job card

    Purpose of the Job

    • To Keep Branch Administration up to date, Manage Contracts on Embrace from opening to closing and submitting to invoicing. Establish Good Customer Relations. Assist with Express operations.
