    Project Administrator, Medical Devices Capital Equipment | Gauteng

    Job Description

    • This is an Equity position
    • The offices are in Midrand and candidates must live in close proximity

    Reporting

    • This position will report to the Projects Supervisor.

    Areas of Responsibility include, but are not limited to the following:

    Processing capital equipment orders which include:

    • Ensuring that all new orders are captured on the database and the status is kept up to date
    • Preparing invoicing calculations
    • Loading of Sales Order / Back Order
    • Instructing Procurement department to place order for required stock (after Product Manager confirmed configuration & product class) if there is no stock
    • Schedule order accordingly for invoicing and preparing Invoicing and Profitability Analysis
    • Queries i.e. short deliveries, credit requests, etc.
    • Credit and re-invoice as per requests received
    • Liaise with Technical and Logistics divisions to arrange for delivery, installation and QA
    • Keeping track of demo stock and ensuring that equipment is checked by the Technical division before returning to stock
    • Serial allocations on SCT’s (Transfers)
    • Keeping record (detailed reconciliation) of Building Alteration expenses if applicable
    • Sending copies of commissioning certificates and POD’s to Technical division for all JHB deals
    • Rate of Exchange variation calculations and invoicing
    • Processing Injector/Printer placement deals based on usage of contrast/film and arrange depreciation with our Finance Department;
    • Pro-forma invoices / Packing Lists / Commercial for Export Deals;

    Reporting:

    • ETD/ETA updates to branches weekly (Account Executives, Product Managers, Technical Staff & Branches, etc.)
    • Monthly invoice forecast list to be finalised at the beginning of each month – confirming ETA’s for stock expected within that specific month
    • Debtor’s List – (POD/Commission certificate follow up’s advise Debtors Department when OK to follow up on payment & follow up with Account’s on the outstanding payment)
    • Technical sheet (update installation dates, ensure warranties & installation monies are allocated correctly)

    Internal Sales Manager | Manufacturing | East Rand

    Job Description

    • Our client is South Africa’s leading supplier of perspex and polymer products, serving diverse industries ranging from events and exhibitions to architecture, agriculture, food production, and large-scale lighting installations.
    • They are seeking an experienced Internal Sales Manager to join their team. In this role, you will manage a small team, fostering a dynamic, high-performance environment and strong team morale.
    • We are looking for a manager who thrives in fast-paced, high-performance businesses, with a meticulous eye for detail and a systems-oriented mindset.
    • Ideally, your background will be in the manufacturing or production sector—such as chemicals, lubricants, or engineering—with proven experience collaborating across departments like finance, production, logistics, and more.

    Responsibilities:

    • Seek opportunities to upsell products and services to existing accounts.
    • Nurtures working relationships with clients throughout the project cycle.
    • Tracks client’s processes and provides prompt assistance when needed.
    • Designs and executes solutions tailored to client needs.
    • Leads and handles complex accounts. Ensures compliance with company policies and follows ethical standards.
    • Manages client expectations and ensures delivery of client requests.
    • Supervising day-to-day operations in the customer service department.
    • Managing the approved budget of the customer service department.
    • Exceeds client expectation by anticipating needs and working to resolve potential issues before they become problematic.
    • Utilizes various forms of tools and technology to deliver an unprecedented client experience.
    • Maintains contact with all the members of a team who provide client satisfaction to ensure that goals are being met.
    • Continually challenging standard operating procedures with the aim of identifying a better way of working
    • Ensures that client expectations are continuously met by those responsible for providing customer service.
    • Takes over escalated telephone calls to work toward issue resolution with the client.
    • Follows up with clients once action has been taken to ensure that all issues were resolved.
    • Manages the team of individuals responsible for providing customer satisfaction.
    • Ensure the company is communicating the right messaging to attract prospective customers and retain existing ones
    • Represent the marketing team to cross-functional groups including product management, sales, or customer support.

    Requirements

    • Excellent interpersonal skills
    • Outstanding written and verbal communication skills
    • Detail and goal oriented.
    • Proven critical thinking and problem-solving skills
    • Project management certification desired (e.g., CSM, APM).
    • Proficiency in Microsoft Office and customer service software.
    • Excellent leadership skills.
    • Willing and able to work with clients committedly to resolve issues.
    • Intimate understanding of traditional and emerging marketing channels.
    • Professional judgment and discretion that comes from years of experience in the field.
    • Analytical skills to forecast and identify trends and challenges.
    • Familiarity with the latest trends, technologies and methodologies in graphic design, web design, production, etc.
    • Demonstrable experience in marketing together with the potential and attitude required to learn.
    • Proven experience in identifying target audiences and in creatively devising and leading across channels marketing campaigns that engage, educate and motivate.
    • Solid knowledge of website analytics tools (e.g., Google Analytics, NetInsight, Omniture, WebTrends).
    • Experience in setting up and optimizing Google Adwords campaigns.
    • Numerically literate, comfortable working with numbers, making sense of metrics and processing figures with spreadsheets.
    • A sense of aesthetics and a love for great copy and witty communication.
    • Up to date with the latest trends and best practices in online marketing and measurement.
