    Dispatch Manager

    Responsibilities

    • To supervise and lead the dispatch team in the day to day operational activities to ensure that the following tasks are performed according to company standards and in time.

    Procedures:

    •  Ensure all procedures for the loading and offloading of trucks and the wash bay are up to date and applicable to the operational workings of the company
    • Ensure all staff old and new are trained on all the applicable dispatch and wash bay procedures and that regular refreshment training is provided
    • Ensure that all relevant training records are presented to the Quality Manager in due course

    Equipment

    • Ensure that all loading and offloading equipment, fittings and pipes are regularly checked and serviced to ensure optimal performance and meets the food and safety standards of the company
    • Ensure all wash bay equipment is regularly checked and serviced to ensure optimal performance and meets the food and safety standards of the company

    Loading of trucks:

    • Ensure vehicle availability according Sales Operations requirement
    • Ensure that all trucks are inspected and that all inspection sheets are completed before loading commences
    • Ensure that all filter inspection sheets are completed and submitted when loading oil trucks

    Wash bay:

    • Ensure that all incoming SOILL trucks are washed and inspected as per food safety and QC standards
    • Ensure all truck fittings are washed and returned to the specific trucks for dispatch to the drivers
    • Ensure all cans and flow bins are washed and inspected as per food safety and QC standards
    • Ensure the wash bay is clean and waste free at all times
    • Report problems with the wash bay to the QC Manager and Maintenance Manager

    Personnel Management :

    • Administrate the shift system and manage leave of subordinates to ensure fluent functioning of dispatch at all times
    •  Authorise overtime for all subordinates
    • Lead, motivate and inspire the dispatch team in order to ensure that discipline, top performance and productivity of the team is achieved continuously.
    • Investigate non-conformances with regards to the loading and off-loading of trucks and loads and suggest solutions to be implemented.

    Inventory control:

    • Will be responsible for all the cleaning stock in the wash bay 
    • Will report all deviations to Agriculture Resource Manager daily         

    Housekeeping:

    • To take ownership of the premises’ housekeeping and cleaning according to food safety standards, routine inspections and reporting of non- conformances in this regard to the food safety team.
    • Will ensure all site cleaning and waste removal activities are performed according waste management program.
    • Ensure all cleaning programs are implemented.
    •  Ensure all housekeeping inspections are up to date.
    • Arrange for effective waste removal.

     Health and Safety

    • Participate in safety forums created by Soill for example safety meetings and safety talks
    •  Follow-up on any activities assigned through safety meetings / committees / representatives / management
    • Report all safety incidents to the relevant people
    •  Attend safety education and refresher programmes
    • Comply with safety policies and procedures at Soill
    •  Distribute safety information as and when required
    • Wear protective clothing (where applicable) at all times

    Requirements

    Qualification and Experience

    • Grade 12
    • Degree/Diploma in Transport Management/Supply Chain would be an advantage
    • Computer literacy i.e., MS Word, MS Excel and experience in computerised accounting packages e.g.  SAP system.

    Operations Supervisor

    Responsibilities

    • Controls vehicle movements into and out of the site, as well as the safe parking into allocated bays.
    • Ensures the adherence to site SOP’s during the loading and off-loading of all vehicles
    • Ensures that loading and off-loading times, in addition to health and safety standards are always maintained
    • Perform regular job observations
    • Actively promotes the Group goal of continuous improvement by recommending changes to SOP’s to the benefit of the business when noted
    • Ensures that all product transfers and tank dips are strictly controlled and 100% accurate
    • Ensures that written instructions are completed for every stock movement and distributed timeously to the correct department.
    • Performs regular checks on the effluent system, grease trap and other drains
    • Ensure loading bays are thoroughly cleaned before close of business daily

    • Appropriate allocation of resources to meet operational demands
    • Ensure adequate succession planning in order to meet ongoing and anticipated business requirements

    Requirements

    Qualification and Experience

    • Grade 12
    • At least 2 years of relevant working experience
    • Technical understanding and experience in the operational and maintenance environment recommended

    Quality Assurance Practitioner

    Responsibilities

    • Ensure the correct calculation of quantities of antioxidants are recorded on the load sheets.
    • Ensure that each customer has a fully and correctly completed Test Report.
    • Responsible for operating sensitive laboratory equipment.
    • Daily and weekly verification checks in the Laboratory.
    • Inspection of goods received and raw materials.
    • Management of retainer and shelf-life samples.
    • Preparation of chemical solutions and standards.
    • Strict adherence to Laboratory Rules and Regulations.
    • Involvement with all Laboratory projects for Production.
    • Assist in the training and verifying of new Laboratory trainees.
    • Ensure continuous housekeeping within the Laboratory.
    • Handling and monitoring Critical Control Points and Operational Prerequisite Plans.
    • Verification activities.
    • Trending, data analysis and reporting.
    • Corrective action implementation and verification.
    • Order laboratory consumables as required.

    External microbiology testing

    • Ensure samples are submitted for microbiology testing as per specific customer requirements.
    • Ensure all results are sent to customers
    • Ensure invoices are signed off and customers are invoiced accordingly.
    • PCB testing: Ensure bi-annual PCB testing takes place.

    Internal and external Audits/Inspections

    • Assist with gathering information
    • Maintaining systems
    • Corrective action verification

    Customer complaints/Rejections

    • Assist with investigation

    Quality Assurance Administrator

    Responsibilities

    Legal requirements

    • Review and update food safety & quality acts, standards and regulations.
    • Registrations, certification and legal compliance.
    • Assisting with External Audit compliance and regulatory aspects

    Training

    • Assisting with compiling of training /awareness material relating 
    •  Assist with training and internal refresher training of food handlers.
    •  Assist with the verification of training effectiveness.

    Documentation

    • Continuously updating food, safety and quality documentation as requested
