    Customer Relations Officer - Johannesburg

    PRIMARY PURPOSE OF THIS JOB:

    • The Customer Relations Officer is the first line of support for students and prospective students, providing high-quality, solutions-driven service in alignment with our commitment to gold-standard student experiences. This role ensures that queries are resolved efficiently and professionally, supports the roll-out of national student service initiatives, and works cross-functionally with campus heads and internal teams to maintain a consistently exceptional service experience across all campuses.

    KEY RESULT AREAS

    Student Query Resolution

    • Respond to student and prospective student queries via the Assist platform, email, and phone in a timeous and customer-centric manner.
    • Troubleshoot student concerns and facilitate resolution in collaboration with relevant departments (Finance, Academic, Admissions, Campus Teams, etc.).
    • Ensure that all service interactions are tracked, escalated, and resolved according to internal SLA timelines.
    • Develop and maintain response templates, FAQs, and support resources for high-frequency queries.

    Student Experience & Service Excellence

    • Maintain a high standard of professionalism, warmth, and empathy in all student communications.
    • Escalate complex cases while continuing to act as a consistent support touchpoint for the student.
    • Assist in the creation and maintenance of a customer service playbook and tone-of-voice guidelines.

    Cross-Functional Support & Issue Tracking

    • Coordinate with Campus Heads, Lecturers, CEAs and CCCs to support student issues requiring onsite follow-up.
    • Identify recurring student concerns, feedback, or process gaps and provide insight to the Student Services Manager for continuous improvement.
    • Support issue resolution through follow-ups and holistic case management approaches for unresolved or multi-departmental queries.

    Reporting, Feedback & Analysis

    • Compile weekly and monthly service reports detailing query volumes, types, response rates, and unresolved cases.
    • Conduct root cause analysis of repeated concerns and share insights with leadership and relevant departments.
    • Track and report on student satisfaction indicators or sentiment analysis trends from service interactions.

    Operational Implementation of Student Service Initiatives

    • Support the national implementation and consistency of student service initiatives across all campuses.
    • Participate in the planning and logistics of projects such as Student Orientation, Passport implementation, or retention campaigns.
    • Collaborate with marketing and operational teams to align communications and roll-outs.

    Training and Knowledge Sharing

    • Assist in onboarding campus-based teams on Assist platform usage, tone of voice, and student service best practices.
    • Deliver refresher training or contribute to learning materials to ensure consistency in service delivery.
    • Help maintain a knowledge hub of guides, policy interpretations, and system walkthroughs.

    Omnichannel Communication Monitoring

    • Monitor official inboxes and social media platforms for inbound queries, and respond or escalate accordingly.
    • Uphold brand tone and service standard across all digital platforms and ensure timely engagement.

    Retention & Student Relationship Support

    • Identify at-risk students based on service interactions and flag them for follow-up with the academic or pastoral support teams.
    • Support the implementation of retention and re-engagement strategies / campaigns by ensuring positive service touchpoints.
    • Participate in student satisfaction surveys and post-service feedback collection initiatives.

    QUALIFICATION & EXPERIENCE REQUIREMENTS:

    • Matric (compulsory)
    • Higher Certificate (NQF05) in Hospitality, or similar (Diploma or Degree in advantageous)
    • Minimum 2 years of customer service or student support experience
    • Experience working with CRM, ticketing systems, or educational support platforms is an advantage

    Independent Contractor: Teaching Experience Supervisor (Foundation Phase) (Part Time)

    Credit Controller

    Duties and Responsibilities:  

    Collections/Handover                                                                                                 

    • Collections on outstanding accounts as per assigned aging. 
    • Following protocol in line with Standard Operating Procedures when dealing with different aging buckets.                                                                                                 
    • Receiving inbound calls/ ensuring outbound quality call quota is reached daily/weekly/monthly.  
    • Meeting monthly collection targets and reducing portfolio risk.                
    • Ensure that all payment plans are adhered to.                               
    • Escalation and assistance of account related queries (Billing/statements/Payments).   
    • Ensure all debit order returns are dealt with immediately and account payers are contacted to settle arrears and informed of rejection fee. First priority is to re-activate rejected debit order.
    • Ensure follow-ups are done on PTP's (Promise to pay) made on specific dates.
    • Manage holds on all accounts (current to be removed/arrears to be added).
    • Ensure suspensions/Handover list are sent to CSCC/NSCC first to be checked before sign-off. Prepare handover pack in accordance with check-list and send to CSCC/NSCC for approval and upload.
    • E-mails/Letters on overdue accounts must be sent at the appropriate time and in accordance with aging bucket.
    • Detailed notes to be inserted on Excalibur for each account monthly as per assigned Age. Relevant contact information and debit order details if applicable must be confirmed and updated.                                                                                                 

    Administrations/Customer Service                                                                                                     

    • Prepare documents for adjustments/refunds/transfers/Bursaries/ payment plan changes for approval by Campus Senior Credit Controller/Natinal Senior Credit Controller and action once approved.
    • Accurate processing of unallocated payments.                                             
    • Work closely with the admissions team by preparing pro rata calculations on cancellations. 
    • Credit balance investigations and updating status/notes on portal.        
    • Assisting with administration functions as and when required.                        
    • Handle account payer/student queries or compliants and provide appropriate solutions and alternatives. 
    • Assisting and dealing with queries via FreshDesk (VC Assist) and walk-ins.
    • Build sustainable relationships with internal and external stakeholders through open and interactive communication in-order to resolve outstanding account queries.

    Quality Management & Reporting

    Job Purpose:

    • The Financial Administrator is responsible for any financial related task of the campus and ensures all finance administration is complied with on site.

    Duties & Responsibilities:

    Overall Purpose of the Job responsibilities are:

    • Analyze procurement data to develop category plans and propose cost-saving methodologies.
    • Oversee daily procurement operations, ensuring compliance with procurement policy and procedures.
    • Maintain comprehensive procurement documentation and records from initiation to completion.
    • Recommend policy and procedure enhancements to ensure compliance and process success.
    • Coordinate with internal departments to ensure effective and timely procurement of goods and services.
    • Lead, train, and supervise purchasing clerks, ensuring team capability and compliance.
    • Review and monitor capital purchases for policy compliance.

    Contract Management Alignment

    • Collaborate with the Contracts Manager to evaluate tender proposals and select suppliers in line with internal policy.
    • Review existing contracts with the Contracts Manager to identify opportunities for improved value for money.
    • Provide inputs to Service Level Agreements (SLAs) and key performance indicators (KPIs) to the Contracts Manager to manage supplier performance

    Customer Relationship Management

    • Build & maintain strong customer relations  with internal customers in the respective Brands and with vendors/ suppliers
    • Handle customer complaints and lead the provision of support to customer and vendors
    • Monitor queries logged on Freshdesk and ensures the satisfactory resolution of these
    • Identify training & development needs amongst Brand and GSS staff on procurement policies and procedures
    • Initiate the provision of the required training, as appropriate

    Education (Formal Qualification required)
