    Complaints and Investigations Officer: POPIA

    REQUIREMENTS

    • Matric certificate plus a 4-year Law Degree at National Qualifications Framework (NQF) Level 7 or 8 as recognised by South African Qualifications Authority (SAQA); 
    • Minimum of three (3) to five (5) years in conducting of investigations preferably within a regulatory environment; 
    • Technical and practical knowledge of the Protection of Personal Information Act 4 of 2013; and 
    • Experience in alternative dispute resolution will be an added advantage.

    KEY PERFORMANCE AREAS 

    • Ensure compliance with applicable protocols and prescribed standard operating procedures, including confidentiality and non-abuse of investigation powers. 
    • Identify and implement methods to improve efficiency and quality investigation of complaints. 
    • Draft and execute investigation plans with clear and reasonable timelines. 
    • Assess complaints in terms of POPIA. 
    • Conduct quality investigations into alleged breaches of POPIA (gathering all relevant, admissible evidence and analysing such evidence). 
    • Resolving complaints by means of dispute resolution mechanisms, i.e. settlement, mediation and/or conciliation. 
    • Drafting of pre-investigation reports, investigation reports and closing reports. 
    • Conduct mediation sessions with data subjects and responsible parties 
    • Draft, submit investigation reports to the Enforcement Committee 
    • Liaise directly with various internal and external stakeholders 
    • Providing reasonable assistance to any person(s) who wishes to make a complaint to the Regulator. 
    • Respond to enquiries by the responsible parties; 
    • Various other duties as may be determined from time to time by the Regulator.

    Compliance and Monitoring Officer: POPIA

    REQUIREMENTS

    • Matric certificate plus a four (4) year Law Degree at National Qualifications Framework (NQF) Level 7 or 8 as recognised by South African Qualifications Authority (SAQA); 
    • Five (5) years’ experience in conducting compliance and monitoring activities preferably within a Regulatory environment; 
    • Technical and practical knowledge of the Protection of Personal Information Act 4 of 2013; and 
    • Admission as a Legal Practitioner will be an added advantage. 

    KEY PERFORMANCE AREAS 

    • Identify and implement methods to improve efficiency and quality assessment; 
    • Ensure compliance with applicable protocols and prescribed standard operating procedure; 
    • Conducting of assessment in terms of section 89 POPIA; 
    • Drafting of assessment reports; 
    • Review and analyse submissions by responsible parties against the provisions of POPIA;
    • Receive and analyse all relevant admissible evidence as related to section 89 assessments; 
    • Conduct assessments on responsible parties and provide guidance relating to the implementation of guidelines and SOPs on applications for prior authorisations, exemptions, personal information of children, special personal information and codes of conduct; 
    • Perform monitoring of compliance activities as assigned; 
    • Draft, submit and communicate the outcomes of an assessment in terms of section 91 of POPIA; 
    • Liaise directly with various internal and external stakeholders in the pursuit of ensuring compliance with POPIA; 
    • Respond to enquiries by the responsible parties; and 
    • Perform various other duties as may be determined from time to time by the Regulator.

    • Ensure compliance with applicable protocols and prescribed Standard Operating Procedure. 
    • Identify and implement methods to improve efficiency and quality assessment. 
    • Maintain compliance monitoring and enforcement registers. 
    • Provide policy inputs to enhance the monitoring and enforcement of compliance. 
    • Coordinate the submission of Annual Reports in terms of section 32 and 83(4) of PAIA. 
    • Participate in consultations with interested parties on any matter affecting access to information.

    Registry Officer

    REQUIREMENTS

    • Matric Certificate plus National Diploma in Public Administration or equivalent relevant qualification at National Qualifications Framework (NQF) Level 6 as recognised by South African Qualification Authority (SAQA); 
    • A minimum of 3 years’ experience in a Legal, compliance, complaints management or regulatory environment; 
    • Experience in providing administrative support and maintaining a register of matters within a regulatory environment; and 
    • Previous experience in a related field will be an added advantage. 

    KEY PERFORMANCE AREAS 

    • Receive, assess, classify, record and register all complaints, applications, security compromises and enquiries logged. 
    • Adequately assess matters received for completeness in line with the Standard Operating Procedures. 
    • Ensure a written official reply letter is provided to all external stakeholders. 
    • Acknowledge receipt of matters received and assign reference number. 
    • Ensure that written feedback/outcome is provided. 
    • Maintain and update all relevant registers. 
    • Referral of matters to relevant divisions and sub-divisions within the Regulator and other external Bodies that have jurisdiction. 
    • Assess all matters and refer to the relevant sub-division or stakeholders. 
    • Continuously follow-up on progress made in the finalisation of all matters 
    • Notify all relevant stakeholders on the status of the complaint. 
    • Produce monthly reports on the status of matters received. 
    • Gather information and statistics on all matters received and resolved. 
    • Referral of filing of closed documents/records and files to records management division.

    Admin Assistant: POPIA /PAIA

    REQUIREMENTS

    • Matric certificate plus National Diploma in Administration or equivalent relevant qualification at National Qualifications Framework (NQF) Level 6 as recognised by South African Qualifications Authority (SAQA). 
    • Minimum of one (1) to three (3) years’ experience in relevant working environment. 
    • Basic knowledge of office administration and interaction with clients and stakeholders will serve as added advantage 
    • Knowledge of Acts, Regulations, Policies and Procedures governing the public sector. 
    • Knowledge of POPIA and PAIA will be an added advantage. 

    KEY PERFORMANCE AREAS 

    • Provide administrative support service for the division 
    • Effectively manage diary and all activities of the Senior Manager and Managers. 
    • Render administrative support such as coordination of travel and accommodation as well as prepare travel claims. 
    • Support regarding meetings and ensure that minutes are timely prepared. 
    • Receive written correspondences and direct them accordingly and follow-up of responses.
    • Liaise with internal and external stakeholders in relation to procurement of goods and services. 
    • Obtain quotations, complete procurement forms for the purchasing of standard office items. 
    • Prepare submissions and letters on behalf of the division. 
    • Compile reports for the Division 
    • Provide internal and external stakeholders with basic relevant information as and when required. 
    • Take messages and convey to relevant staff.

    • Matric certificate plus Secretarial Diploma or equivalent relevant qualification at National Qualifications Framework (NQF) Level 6 as recognised by South African Qualifications Authority (SAQA); 
    • Three (3) to five (5) years’ experience in rendering a secretarial support services to Senior or Executive Management; 
    • Knowledge of Acts, Regulations, Policies and Procedures governing the public sector; 
    • Basic knowledge of office administration and interaction with clients and stakeholders; 
    • Experience in providing executive support to the higher-level offices will be an added advantage; and 
    • Certificate in Microsoft office or typing will be added advantage. 

    KEY PERFORMANCE AREAS 

    • Effectively manage diary and all activities for the Full-time Member; 
    • Render administrative support such as coordination of travel and accommodation as well as prepare travel claims for the Full-time Member; 
    • Provide logistical support regarding the administration of the budget for the Full-time Member; 
    • Organise meetings on behalf of the Executive and ensure that minutes are timely prepared; 
    • Receive written correspondences and direct them to relevant offices and follow-up of responses; 
    • Prepare submissions, letters, memos and reports on behalf of the Full-time Member. 
    • Typing of documents on behalf of the Full-time Member; 
    • Perform other administrative duties assigned by the Full-time Member; and 
    • Draft accurate minutes.

    Cleaner

    REQUIREMENTS

    • Matric certificate at National Qualification Framework (NQF) level four (4) as recognised by South African Qualifications Authority (SAQA); 
    • Minimum of two (2) to five (5) years’ experience of cleaning in Public Service or Private Sector; 
    • Knowledge and understating of Office administration; and 
    • Basic knowledge of interaction with clients and customer service. 

    KEY PERFORMANCE AREAS 

    • Cleaning of offices occupied by the Leadership, Executives and ordinary staff of the Regulator; 
    • Cleaning of all the common areas and ensure timely replenishment of supplies in restroom; 
    • Provide refreshments for meetings; 
    • Operate and maintain the cleaning equipment, electronic appliances, utensils and cutlery; and 
    • Timely empty and wash waste bins.
