    Office Manager

    Job description

    Purpose Of Role

    Directly reporting to the General Manager, the office manager is responsible for direct support to the South Africa office facilitating a professional, efficient and effective office environment for both internal associates and external visitors.

    Key Duties & Responsibilities

    • Maintaining relationship with facilities and maintenance 3rd party providers and negotiating appointments and some related costs.
    • Organisation and supervision of internal and external office buildings including air conditioning, carpet cleaning, office decoration
    • Travel organisation for South Africa and International associates
    • Ordering of Computer & Office Equipment
    • Events Planning
    • Garden Service Management
    • Line management and co-ordination of the receptionist
    • Security Staff Management

    • Measure of success
    • Access control and company identification is both compliant and appropriate
    • Internal / external verification audits are passed
    • H&S requirements are met to an acceptable standard
    • Internal / external audits are passed
    • Office equipment is maintained to an acceptable standard
    • Stationary and consumables are available when needed
    • Mail and parcels are administered in a timely manor
    • Incoming and outgoing mail is managed daily
    • Clerical work is performed to a high standard
    • Delivered on time, in appropriate format and with no errors

    Skills / Knowledge / Experience / Qualifications

    • Excellent organisation skills with ability to plan and prioritise
    • Excellent verbal and written communication
    • Self-motivated with the ability to work under own initiative
    • Strong Time Management Skills
    • Strong IT skills – Word, Powerpoint, Excel and Outlook
    • A ‘can do’ attitude
    • Accuracy and attention to detail
    • A formal administration qualification is desirable, however, appropriate work experience will also be considered
