Admin Supervisor (Butchery Production) (Airport Industria) at Econo Foods

PURPOSE OF THE ROLE

• The Admin Supervisor is responsible for overseeing the administrative functions of the meat processing facility. This role bridges the gap between the production floor and the front office, ensuring that production data, compliance records, staff scheduling, and B2B customer requirements are managed with precision.
• The goal is to maintain seamless operations that support high-volume meat processing and distribution.

KEY RESPONSIBILITIES

Production & Inventory Administration

• Yield & Production Tracking: Monitor and record daily production yields, ensuring data accuracy between raw intake and finished output.
• Stock Control: Manage inventory levels of raw materials, spices, and finished goods using FIFO (First-In, First-Out) principles.
• Supply Chain Support: Oversee the procurement and inventory of essential non-meat items, including PPE, chemicals, and packaging materials.
• Labeling Compliance: Ensure all product labels, batch codes, and pricing tags meet legal and customer-specific requirements.

Compliance & Quality Assurance

• Record Maintenance: Maintain meticulous files for HACCP, health certificates, and cold-chain temperature logs.
• Audit Readiness: Ensure all administrative documentation is organized and ready for internal or third-party safety audits at all times.
• Policy Enforcement: Uphold company protocols regarding data security, hygiene standards, and workplace safety standards (OHS).

Stakeholder & Sales Support

• Wholesale Coordination: Act as the primary administrative contact for B2B clients, managing order processing and resolving delivery discrepancies.
• Vendor Relations: Coordinate with suppliers to ensure timely delivery of processing inputs and office supplies.
• Reporting: Generate daily, weekly, and monthly reports on sales, inventory variances, and operational expenses for the leadership team.

Requirements

QUALIFICATIONS & EXPERIENCE

• Grade 12 (Matric) certificate or equivalent; a diploma in Administration or Logistics is a plus.
• Proven experience of at least 2 years in a similar position, with a preference for experience within the red meat industry and/or red meat production.
• Proficiency in Microsoft Excel.
• Experience and knowledge of the Meat Matix program or similar programs.
• Knowledge of health and safety regulations and food safety and hygiene standards related to meat processing.
