    Benefits Administrator (6 Months Contract)

    Job Purpose

    Responsible for ensuring all benefits transactions that impact employee Core HR and payroll data is accurately captured. Processing all benefits for each employee end to end, including new joiners, changes and separations.

    Key responsibilities:

    Administer and understand the entire payroll and benefits process including:

    • Coordinate and capture data in accordance to the process followed between HR, Benefits, Talent and Payroll
    • To ensure that all payroll files that impact benefits for all new joiners, leavers and job information changes are ready for submission to payroll as per the timelines
    • Ensure the payroll files are checked for completeness prior to submission to payroll
    • Administer bulk processing for all benefits related processes
    • Understand and collaborate with Core HR and Onboarding Service Delivery teams
    • Assist and support the benefits manager as required for all new joiner, leavers and changes to employee benefits.
    • Be the point of contact for all payroll and benefits related activities including:
    • Liaising with the Core HR team around data for new joiners, separations or transfers
    • Trouble shoot all payroll and benefits queries on the call tracking system Service Now
    • Manage the payroll data on a month to month basis to ensure that all employee data which impacts benefits  is correctly captured on the Core HR and payroll systems. This is done through checking variances month on month and case management.
    • Teaming with the Core HR team to ensure that the new joiner, leavers or employee data changes are actioned timeously
    • Prepare benefits bulk files for all employees’ benefits annual updates
    • Assist with projects where needed such as data audits, annual benefits revision, graduate intake, adhoc benefits update etc
    • Adherence to the monthly deadlines as stipulated by the Service Delivery and Payroll department s
    • Collaborate and consult with various stakeholders such as the Benefits Manager, Talent, Service Delivery and payroll teams to ensure that employee related benefits matters are resolved within the benefits guidelines and processes  
    • Assist and coordinate the payroll review process on a monthly basis with the Talent Service Delivery, Payroll and Talent teams
    • Activate all  new joiners benefits and related employee boarding requirements  
    • Capture employee benefits monthly and obtain sign off from the Benefits Manager  before submission for payroll processing
    • Responsible for preparing reports and reconciling Core HR employee personal and job information to Payroll data to check for accuracy and action corrections by following the set out policies and guidelines as shared by the Benefits Manager
    • Reconcile Long Leave of Absence records recorded in Core HR Success Factors and SAGE
    • Assist with benefits, payroll and IRP5 related queries
    • Regular reviews performed on employee personal information updates and ensure to activate the appropriate benefit
    • Track and monitor all employee benefits ensuring that all potential risks are flagged and managed accordingly  
    • Escalate compliance or risk matters to the Benefits Manager
    • Liaise with 3rd party vendors on employee benefits and payroll related administration

    To qualify for the role you must have

    • Minimum 3 years Payroll/Benefits Administration in a Contact/Call Centre experience
    • Relevant qualification preferably a degree in managing Employee Benefits

    Education: Diploma/degree

    • Experienced with payroll processing, invoice preparation and actioning payments to vendors
