    Executive Assistant - Johannesburg

    Purpose of Role:

    The successful candidate will be responsible for all executive assistant duties to support the Sales; Supply Chain and Manufacturing Directors.

    Key Responsibilities:

    • Demonstrate 100% commitment to our zero harm behaviors in support of our drive towards developing a world class safety culture.  Adhere to all Safety Health Environment (SHE) and housekeeping requirements at the branch and customer sites at all times.  Adhere to Duty of Care Policy at all times. Keep contract packs up to date.
    • Provide general office administration support, i.e. collating travel and expense claim forms with all the required supporting documentation attached; reconcile executive expenses for authorisation; assist with executive travel plans when required including but not limited to: Coordinating local and international travel arrangements in line with company policy such as Passports, Visas, Flights, Car hire, transport, Insurance, Accommodation, Foreign currency; draft letters, reports, memorandums, schedules and presentations in the required format on behalf of the executive team; arrange meetings and functions when required.
    • Assist the manufacturing site with reconciliation of costs related to the canteen, transportation, service providers and labor brokers.
    • Prepare agendas and programs for meetings and attend meetings and take minutes of meetings, both in the office and at other locations; consolidate; type, compile and distribute professionally prepared management reports to relevant parties.
    • Analyse reports and highlight key issues to the executives.

    Job Knowledge/Education and Qualifications:

    • National Diploma in Office Administration or equivalent
    • 3-5 years related experience in an Engineering manufacturing environment
    • High level of computer literacy including Microsoft Office suite
    • You will be a proactive, confident and self-motivated individual that takes pride in the quality of work you deliver.  In addition, you should possess solid communication and presentation skills.
